In conductin8 the tasks assoclated wlth belng Treasurer. durlng the past year I have been alded by Tom Capper, Deputy Treasurer and by JIM McDonnell. Membership Secretary. To both I pass on my thanks for thelr help throughout the year. Examination and A roval of Accounts These accounts were completed and approved by the Trustees on 16th May 2024. The report by the Charity's Independent Examiner wa5 completed 26th April 2024 Re-or anifation of Financial recordin ractices From the beginnlng of the prevlous financlal year (my flrst as Treasurer), the U3A funds held on behalf of Group Actlvltles have been fully separated from the funds held for all other U3A activlty. In the Banklng system thls has entalled holdlng funds In the Groups Accounts {for Group actlvltles) and the Maln Account (for all notFgroup related U3A actlvlty- e.8. membershlps. room hlre, paylng for speakers, IT expenses etc}. Thls Is better practlce and wlll greatly facllltate the admlnlstratlon of the Tasur functlon. Wlth this comlng year belng the flnal year In whlch l am permitted to be Treasurer, I hope that the above work we have done to date, alongside the full migration we have conducted to use ONLY the Beacon system for financlal recording, and productlon of Flnanclal statements, will allow for a rnore seamless transltlon for a new treasurer coming 5n. It has certainly proved extremely useful to date. Grou Activities These represent the funds managed on behalf of Groups durlng the year. The funds are restrScted to be used onI for the acclvltles of each indlvldual group and a not avallable to central Belfast U3A funds nor to be transferred between groups. Group actlvity has Increased, malnly due to the formatlon of a number of addltlonal groups and the sSgnlflcant Increase In membershlp. Wlth all Group flnancla5 activlty now rlng- fenced from other monles (both on Beacon and w5thin our 8ankln8 account5) It Is easler to ensure that all Group activlty is belng correctly recorded and accounted for. Membershlp numbers have Increased agaln thls year to the polnt where we now have over IOCKI members. We contlnue to encourage all to sign up for Direct Deblts, as It reduces the amount of work associated with admlnistratlon of membershlp fees. We would also encourage those who have not already done so to sign up for Glft Ald (It costs members nothing), as a considerable sum for the organlsatlon can be gained from thls. act of Recei ts and Pa ments of Account on O eratin Sur lus We now record all flnanclal transactions {in or out) on Beacon at a polnt In tlme as close as possible to when they occur on the Banking system. The alm Is to have the banking system balances totally aligned with the Beacon balances at all tlmes whlch allows for total transparency and, more importantly, for a system that G3n be readily understood by people with only basic knowledge of Accountancy.
Room Hlre for our monthly meetings in the Balmoral Hotel remain5 one of our larger costs. However, we have managed to ensure that the costs for next year will not Increase despite the general levels of Inflation. Overall, a surplus for the year of £5,5761up by over 50% on last year} from operatlon of the Charlty was reported. The Charlty has sufficlent general fund reserves for the next financial year. In the past year we alded 2 groups in purchasing equipment and in start-up funds. We purchased wlne lasses for the Winfrta5tlng group {prevlously members purchased their own individually). And we purchased some equiprnent and training sessions for the new Pickleball group. We would encourage anv group. especially new ones, to make a case for one-off additional funds. especSally to help In starting up which can be a difficult perlod. Financial Reconciliation Sundry Recon (rom last year) Includes amounts unldentified when transferrlng balances to the Beacon flnance system. There was no reconclliatlon requlred thSs year as everythln8 fully reconclled {mainly due to fvll and correct recording on the Beacon system).
