Leader’s Report AGM September 2023 Petts Wood Playgroup for Children with Special Needs

Children

We are at capacity each session with the 33 children on our register 3 of whom were eligible for school in September 2023 but the local authority have failed to place them. For those children EHCPs have been completed so further funding threads are being explored. We have 7 children on our confirmed waiting list who we hoped to start and will do so as soon as a place becomes available. A one sheet newsletter was shared at the start of term to provide term dates and contact details. A further and fuller edition will be shared before the end of the term. During the next half term EHCP applications will start for the children due to start school September 2024.

Helpers

We are very fortunate to have a strong team of volunteers and have been fortunate to recruit some new members to our team but would continue to welcome offers of support. Carmela has been employed for a year now and confidence in that role has grown. Her training to achieve a relevant qualification has started. Janet has similarly gained confidence and additional responsibilities. The support from them is invaluable enabling the team to function well and ensuring all is safe and thus, with our amazing volunteers, we can provide the best service to our children and families. Kirsty has managed to keep on top of the funding which is challenging at it’s best. Yet again, Bromley changed the contract. With that and the claims being required monthly, the funding claim now encroaches far more than in the past.

General

Sensory toys and equipment need replacement and this is underway. The garden needs extensive clearance and the church has been approached to clarify if they would like PWPG to do the work as the prime users but respecting the property belongs to the church. Mandatory first aid training update and safeguarding training update will need to be arranged plus annual dysphagia training during his academic year. The first two will incur a cost.

Minibus

There are no problems with the minibus reported by the bus staff who are working and liaising very well, providing a clean and safe journey to and from home each session. The bus crew currently do not need to attend on a Tuesday as the registered children do not need transport, but this may change as other children start, Diane has queried how that will impact on her wages. There will be occasions she will use that morning to clean the bus.

Treasurer’s Report AGM 26 September 2023 Petts Wood Playgroup for Children with Special Needs

The Playgroup remains in sound financial health as we look ahead to 2023/24. Our balances ended the year returning to the levels we’ve seen typically across the Charity’s history as we saw possibly the last of the major capital projects and improvements funded by the balances remaining of a series of large legacies we were grateful to receive at the end of the last decade.

Given our funding from Bromley remains level, this means we are more grateful than ever for our Friends, and the Church for hosting us, in ensuring the playgroup can continue successful operation.

During 2022/23 we also reviewed our staff structure, aiming to create clear and resilient roles that will leave us able to face any changes coming in the years ahead.

We have also not been immune from the more general inflationary pressures that have affected organisations and individuals across the country. Our own costs have been rising both on everyday expenses like fuel and equipment, plus the capital works we’ve commissioned in the year. In that environment we once again thank those who continue to make space in their finances to support our work through donation.
