**1. Introduction and welcome  - Graeme introduced formal AGM Agenda**

**3. Section presentations** 

The following are the recipients of the Annual Trophys, Congratulations: 

- Beavers - Tuesday:  Beaver of Year: Harry Borzacchiello  Best Attender:  Lachlan Emmet 

- `o` Beavers - Thursday  Beaver of Year: Arjun Karavadara  Best Attender: Grace Pownall

## **Groups scout leaders report** 

- Return to basic scouting 

- Recent Break ins 

- Health and safety volunteer vacancy 

- Quartermaster vacancy 

- Capitation fee and subs increase – which covers the insurance etc 

- Beach party is 1[st] July which marks end of term 

- `o` November. Bonfire is 2[nd] 

- Thanks have been sent to us from Wymeswold preschool for their use of the building 

- Kitchen and floor refurbishment plans 

- 140 young people currently on the role and young leaders doing DoE 

- Thanks given to 

   - Rebecca for the cleaning, 



   - Shaun Black for all the odd jobs and maintenance, 

   - Carol Black for the guidance and leadership of the events we run, 

   - District Team for the events 

   - Wymeswold parish council – for the lease 

   - Wymeswold parochial charities – for the land 

   - Wymeswold cricket club for putting up with the bonfire and fall out 

   - All leaders, occasional helps, dbs cover 

   - Graeme Baxter as chair of the Trustee Board and the Trustees 

   - Anita and Jon Boz both leave at the end of the term as uniformed leaders – we’ll see them at the beach party. 

- We have some leaders retiring leaving gaps which may affect the running of the sessions, uniformed and non uniformed. Some sessions may need to be cancelled if we cannot cover the safeguarding minimum. 

- Peter will also retire as GSL next year so we are looking for a replacement for the Group Lead Volunteer role.

**4. Introduction to the AGM -** Graeme introduced formal AGM Agenda including standing down for the upcoming year, thanks given to the trustees and leaders and helpers for making the sections such a success

## **Formal AGM -Governance topics** 

- a. Approve the minutes of the Annual General Meeting held on 15[th] May 2023 

   - Chair proposed formal approval 

Tom Emmett seconded the motion, no objections 

- b. Adopt the model constitution from Policy, Organisation and Rules (POR) Chair proposal formal approval 

Formally adopted by everyone, no objections 

- c. Note the Group’s financial year 

   - 1[st] March 2023 – 29[th] Feb 2024 

- d. Approve appointed and community members of the Group Scout Council 

All the parents form part of the scout council

- e. Agree the number of members that may be appointed to the Trustee Board 

Chair Proposed 10

- f. Agree the quorum for future meetings of the Group Scout Council (excluding this AGM)

## **6. Formal AGM - Review of the previous year** 

- a. The Group Lead Volunteer’s review of Scouts in the 1[st] Wolds Group 

Presented as part of the pre AGM in front of the Beavers Cubs and Scouts and minuted in section 3 

- b. Receive and consider the Annual Report of the Group Trustee Board, including the annual Statement of the Accounts 

   - Presented by Simon Birchall and notes attached 

   - Lease renegotiated for 15 years 

   - Solar panels and Gift Aid all up to date 

   - Many thanks for all the donations we have received throughout this year including the tractor run and the Wymeswold Parochial and Wymeswold gardens charities
