## **NOTTON VILLAGE HALL TRUST** Minutes of the Trustees’ Meeting on 20[th] May 2026 held in the Hall at 7.00. Present: Janette Smith Chair Alan Shand Vice-chair Dennis Gillibrand Peter Taylor Secretary Helen Jaggar John Hicks Mel Sclater Apologies received from Bairbre Hepworth and Frank Carter. The minutes of the last Trustees’ meeting, the Village Hall AGM, the Treasurer’s report and the 2025 Accounts as audited were approved, and the Chair will upload them to the Charity Commission website. It was noted that ad-hoc bookings were no longer being taken for the Pavilion, which is already being well used by the sports groups (Cricket, Archery, Football) and by the Rainbows. This takes the pressure off the diary arrangers. Social events in the Hall continue to be well attended, including by “new” residents, some of whom it is hoped might join the Management Committee in due course. Alison King will continue to look after the bookings of regular users (income c £10,000), and ad-hoc hirers (income c £8000) will be dealt with by an ad-hoc group still being formed. It was thought that a key-safe on the wall by the front door might be a good way for hirers to pick up and return keys. Some way of making an on-line diary viewable by all those involved (subject to “privacy”) was being investigated. Trustees examined the report produced by the Independent Examiner, Marten Fraser, in some detail, and generally found that the various procedures currently in place covered the risks identified. The good management of the Hall depends ultimately on the honesty and good will of the Committee and its Officers, and very little can be done to prevent a breach of trust by an individual. It was not thought that anything would be gained by a valuation of the Trust lands, buildings and other assets. It was not currently required by the Charity Commission. It was noted that in general routine and maintenance expenditure on the Hall is covered by hiring income, which continues to hold up well. I honestly can’t thank you all enough for the time, effort and commitment you put in week after week. It’s because of you that our Village Hall – and everything connected to it – continues to be such a fantastic hub for village life. We should all feel very proud of what we have here in Notton and what a lovely, welcoming place it is to live. I’d like to say a special thank you to those of you with specific roles: - Peter Taylor – Treasurer and Secretary - Helen Jagger – Vice Chair - John Hicks – Our organiser and minute taker - Alison King – Bookings Clerk - Alison King, Bairbre Hepworth, Cheryl Morton and the wider team – Social and fundraising - Bairbre Hepworth – Sports and Social Pavilion bookings and Facilities Manager - Darrel Cartwright – Village Hall website and Facebook - Phil Cartwright – Technical Systems and support - David Pywell - Resilience Lead - Eleanor Turner – 200 club - Gareth Williams – for being a brilliant all-round supporter I’d also like to give a special mention to Eleanor Turner, who is stepping down from the 200 Club. Eleanor, thank you so much for everything you’ve done – you’ve done a fantastic job coordinating and growing this over the years. And thank you to Cheryl Morton for stepping in and taking over – we really appreciate it. That said, everyone in this room – and often your families too – gives a huge amount to the village, and it really doesn’t go unnoticed. You’re all amazing. I’d also like to thank everyone involved in the Bonfire. This year we were able to donate more to charity than ever before, while keeping a healthy bank balance, which is a great achievement. Moving into 2026 we’ve made the decision not to actively promote the Sports and Social Pavilion for ad hoc bookings, as we now have the Rainbow Group using it twice a week, which is great to see. We’ve also welcomed a girls’ football team as a regular booking – both are fantastic additions to what we offer as a committee & a community. With the regular coffee mornings and all the social events that continue to be organised so well, it’s fair to say Notton remains a very welcoming and sociable place to live. It would great I know to welcome some 'new blood' to the committee, particularly new people to the village with a new set of eyes so if anyone gets any 'leads' let me know & I'll try and coax them in! Thank you. Finally, thanks to the vast majority of you in this room (I did start off listing everyone but then quickly realised the list was very long) we’ve made some really positive improvements to the hall and surrounding areas this year in terms of maintenance, resilience, efficiencies, replacements, security, new additions and these will help us in 2026. A huge thank you for all the effort in terms of researching and finding and organising quotes and suppliers through to the purchase and installation. As always, if you have any ideas or suggestions that could help improve things even further or make our roles easier, please do bring them forward as we go through the year. Treasurer Report by Peter Taylor:** ## **Treasurer’s Report covering 2025 for the 2026 AGM.** The 2025 accounts have been examined by Marten Fraser: his report has been circulated with the accounts to everybody. More detail can be found in the accounts spreadsheet for December 2025 which I circulated at the end of January. I closed the “secondary” bank account last April and transferred the balance to the main account. This account was originally opened in 2019 while constructing the new Sports and Social Pavilion: it was then used while raising money to buy the Pastures in 2020/21 but was no longer necessary. During the year we transferred another £20,000 to our interest-bearing deposit account. We have recently completed the installation of solar panels and battery storage, almost entirely financed by a grant from Northern Powergrid. This provides some “resilience” to the Hall in the event of power cuts, and I hope will slightly reduce our electricity bills. I continue to make the point that without the income from the Bonfire we would struggle to maintain the Hall to the standard that we would like. Hirings plus other fundraising events – for which the fund-raising committee are to be thanked - covers basic running costs but leaves little for redecorating or major upgrades or replacements. We do need to keep having an annual fireworks event and encouraging younger people to help (and eventually replace the older participants). Income from the Bonfire enables the Trust to continue to support village activities outside the Hall itself, like the Christmas Tree on the Green and the new defibrillator on Bleakley Lane. Notton Pastures continues to provide a small steady income with little effort on our part. I propose that the accounts be accepted.
