Chairmans Report for the Year ending 31st March 2025

I would like first of all to take this opportunity to thank all Committee Members for their continued support during the year. Their support has ensured another successful year of activities and achievements for Fulford Village Hall.

During the year the Committee carried out all statutory requirements needed to maintain the Hall at the highest level of safety and compliance. A Fire Risk Assessment was done during the year and as a consequence all stage curtains and backdrops were scheduled for replacement to comply with the report. A Health and Safety Assessment was also done to comply with requirements.

The Committee was successfully awarded grant funding for a major project to replace most of the flat roofs and this work was done during the year giving 25 year life time cover on completion. The front door was replaced with double locking offering more security and a Key system was also installed to comply with Insurance requirements.

In order to improve the bookings process an online Booking system was installed making it simpler for hirers to make bookings and to take pressure off the Booking Secretary. Required Policies were also put in place for Data Protection, Privacy, Safeguarding and CCTV, all of which are on the Village Hall website.

The Village Hall offers a wide range of activities for residents in the community with a Little Learner School, Community Choir, Dancing, Bowls, Badminton, Yoga, Patchwork, Art, Table Tennis and a Medieval Re-enactment Group. There is also a monthly village Coffee morning and many weekend events open to local residents.

The Committee work with the Parish Council, St Nicholas Church, the local Police and First Responders where ever possible.

I would like to acknowledge again the hard work and time that the Committee give to supporting the Village Hall and I know that this is appreciated also by the local community.

Treasurer’s Report

As Treasurer of Fulford Village Hall I am pleased to report that for the year ending 31st March 2025 income from weekend Bookings and Regular users totalled £36443. Expenditure for the maintenance and operating costs for the hall for the year totalled £25385 resulting in an £11058 surplus. The Committee were pleased to be granted funding of £8130 from the National Lottery Community Funding to replace the flat roofs and in addition to the a new front door was installed. Work was also started to replace stage curtains to comply with the Fire Risk assessment report.

An application for grant funding from the National Lottery Community Fund to replace flooring for the large hall has been requested. If successful it is hoped that this work would be undertaken during the following year.

The financial report has been prepared by Josephine Barnard, Treasurer for Fulford Village Hall.

Independent Examiner’s Statement

I have completed my examination. I confirm that no material matters have come to my attention in connection with the examination which gives me to believe that in, any material respect:

1. accounting records were not kept in accordance with section 130 of the Act; or

2. the accounts do not accord with the accounting record.

I have no concerns and have come across no other matters in connection with the examination to which attention should be drawn in order to enable a proper understanding of the accounts to be reached.
