Guiding Groups - Michelle reported that they have been holding a recruitment drive and that numbers have increased. They now have a waiting list. Pensnett Guiding Group is the only group who is now accepting 4 year olds (optional). They are the only group accepting children and young people with Special Educational Needs and/or disabilities (SEND). Guiding groups income has increase from May due to the recruitment drive, however the group have in the past lost some of its members in September due to college/Exams etc. The guiding groups have 2 new volunteers from Sept.

St John Ambulance - continues to do well. 26 Badgers and 52 cadets currently, have a waiting list. Presentation Evening to be held at the centre on Friday 21[st] July 2023 (last session until return in Sept).

Fundraiser on Friday 30[th] June 2023 being held at Pensnett Social and Welfare Club. Tickets available. Jenny thanked the committee for allowing use of the building for a car wash – donation was given to the centre for this. Other fundraising events planned for Sept which includes a sponsored walk visiting every St John Unit in the area. This potentially being a Saturday, access to building may be required. St John has a new leader starting with them soon.

Afternoon Plus - The group is doing well. 21 regular members attending weekly. The group have a couple of events planned so far this year 28[th] July going out for a meal and they are having a party on 8[th] August. Christine and Michelle thanked Phil (caretaker) for his help with setting up/tidying away the room for them each week.

Stay and Play - Two sessions running weekly. Tuesday and Thursday mornings term-time only. Numbers fluctuate but on an incline at the moment. Thursdays session (29.06.23) was extremely busy considering Dudley MBC were hosting their under 5s day. Elaine reported that the profit for the 2 sessions for the last 6 weeks was £326.28 in total which is an average of £54.38 per week. Committee members agreed this was very good.

Councillors Surgery - Cllr Judy Foster and Cllr Karen Westwood appreciate the support given to them with regards to their surgeries. Sometimes have to change times/dates according to the Councillors political calendars. The surgeries have been taking place in the main hall for a couple of sessions recently. Cllr Foster told committee to still charge normal rent even though they are in the hall with another group. Committee expressed thanks for this.

Bouncy Castle - Jenny asked if Bouncy Castle could be left inside after the presentation event. It was agreed on the understanding that it was put in the back room and that PDCA was not held responsible for any loss or damaged. Jenny confirmed this.

Guiding – Michelle A asked if Teresa could prepare their every six weeks. Elaine said that she would leave her a note but asked Michelle if she could provide a list of the dates for which invoices and when they are required.

Michelle will pop in and speak to Teresa on Wednesday 5[th] July. Michelle also reported that Teresa was not sending invoices regularly. Elaine will look into this.

Cleaner Appraisals - Elaine asked for feedback from committee re any issues regarding the cleanliness of the centre. Michelle reported that on Wednesdays the back room not clean. Some of the craft materials left on floor from week before. Elaine also said that Phil (caretaker) does extra cleaning due to issues in different rooms. Elaine suggested some sort of 3 monthly review and Judy said to implement a Performance Improvement Plan. Committee agreed.

Painting - issues re paint was raised. White paint peeling. Elaine did say that Ian (painter) had reported issues with the paint not drying properly due to the cold weather. Elaine will contact Ian to discuss and to verify when he will come in to do the main hall.

Guiding sleepovers - Elaine asked if sleepovers had been approved following on from requests for policies. Michelle has confirmed the centre has been approved and that the person asking for the reports should not have done so.

First Aid Boxes - First aid boxes have been updated following reports from Stacy and Michelle re being out of date. Elaine has also asked Phil (caretaker) to take responsibility for monthly checks. He has agreed to do this. Elaine also asked if a first aid box would be best placed in the committee room or the back room. The committee decide in the back room. Phil will action putting it on the wall.

Play Area - the consultation period is now ended. All voting papers have gone to Julia Morris (DMBC – parks dept) for verifying. EB waiting for her to make contact following her holiday.

Lease - Judy reported that she had spoken to corporate landlord services and that rumours of charges for renting community buildings were inaccurate. DMBC have no intention of charging. It is contrary to DMBC policy to charge charities for running from their building. Judy will let us know if this changes. She is now the Shadow Cabinet Member for Corporate Landlord Services.

Dear all,
As you can see from the Annual Accounts, we are £9132 in profit for the financial year 2022.
Comparisons with 2021 accounts show a £1508.00 surplus for the year ending Dec 2022.

Fundraising up from £1265 to £4393, which is most likely to be the return of Action Heart following COVID shutdown.

Chairperson’s Report AGM 2023
First of all I would like to say a big thank you to Phil our caretaker, Megan our cleaner and Teresa our admin for their hard work to look after our Community Centre. Thanks to Phil for cutting the grass and keeping the grounds maintained.
To you the members of our committee I extend my thanks for your dedication and continued support to our community association.
My thanks goes to Elaine for her continued support for the centre.
A huge thanks goes to our volunteers for running groups, helping with events and supporting our fundraising efforts by giving the time and money to enable us to raise much needed funds. We have held a few events ourselves this year such as table top sale, breakfast with Santa.
Over the past 12 months our user groups have continued to run at full strength and we have limited spaces now for the main hall during week day evenings. We also have new user groups regularly using the committee room - Solutions 4 Health, Drop in vaccine clinic and we had a private hire by a Birmingham based company to meet with a client. We have also had BKA Martial Arts use the main hall on a Saturday morning. This is for additional training for two team GB Olympic Champions.
Following on from our community consultation, we have had the centre painted outside, the inside has been painted (main hall still has to be done). A planter has been purchased to brighten the front of the building.

We have also been consulting with the local community with regards to installing a play area and having adaptations to the building for people with additional needs and/or disabilities. Elaine has been liaising with DMBC parks dept and equipment providers. Elaine is also working on a lottery bid to secure funding for this project.
We have had 11 weekend Party bookings from June 2022 up to today with several more bookings for the remainder of the year.

Independent Examiner’s Report
I report on the attached accounts of Pensnett & District Community Association for the year ended 31[st] December 2023.
Respective responsibilities of trustees and examiner
As the charity’s trustees you are responsible for the preparation of the accounts; you consider that an audit is not required for this year under section 144(2) of the Charities Act 2011 (the 2011 Act) and that an independent examination is needed. It is my responsibility to:
-
examine the accounts under section 145 of the 2011 Act;
-
to follow the procedures laid down in the general Directions given by the Charity Commission under section 145(5)(b) of the 2011 Act; and
-
to state whether particular matters have come to my attention.
Basis of independent examiner’s report
My examination was carried out in accordance with the general Directions given by the Charity Commission. An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts and seeking explanations from you as trustees concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit and consequently no opinion is given as to whether the accounts present a ‘true and fair view’ and the report is limited to those matters set out in the statement below.
Independent examiner’s statement
In connection with my examination, no matter has come to my attention:

Which gives me reasonable cause to believe that in any material respect the requirements
-
to keep accounting records in accordance with section 130 of the 2011 Act; and
-
- to prepare accounts which accord with the accounting records and comply with the accounting requirements of the 2011 Act
have not been met; or
- To which, in my opinion, attention should be drawn in order to enable a proper understanding of the accounts to be reached.
