1[ST] BOSTON SCOUT GROUP ANNUAL GENERAL MEETING 9[th] March 2021 8pm MINUTES

2. CHAIRMANS REPORT –

• Due to now aligning financial period to that of Boston District this will therefore cover from 1[st] August 2019 to 31[st] December 2020

• Due to Covid-19 no meetings were held periods March to September and November to current.

• Expectations is for face-to-face meetings to resume from the 12[th] of April onwards, this is still subject to meeting government targets and approval from scouts association.

• During last year leaders have undertaken a clean up of site including bank compound, plus improvements as follows

• -New gates to bank frontage

• -Main Hall floor professionally refurbished

• -Additional racking in dry store

• -Grant from Boston Council in 2019 used to purchase 5 new tents

• -Community grant from Co-op used to purchase 40 chairs, trolley and 2 folding tables

• -Further to above we have purchased an additional 40 chairs, trolley and 6 tables

• -Fencing has been repainted New outside lighting has been installed

• Further planned improvements – a meeting of the trustees has taken place to approve all the larger spends listed below, from additional government grants, this was confirmed by GC and RA during the meeting. These will meet health and safety concerns and insurance recommendations.

• -Over roofing of upstairs kitchen and meeting room including facia and guttering £8200 -Replacement of jetty decking £1500

• -Replacement of guttering and facias on main hall building £1300

• Scouts 27 plus 2 young leaders

• Cubs 18

• Beavers 7

• Leaders 15

• Exec committee 8

Cub scout & beavers’ numbers approx. 7% down on January 2020 census, whereas Boston District as a whole is down 30%. This latter figure represents the national trend across the country.

• Restarting procedures will be as October 2020 - Temperature checks prior to entering building

• Hand sanitiser

• Face masks for all scouts

• Face masks/visors for all adult leaders

• Disinfectant spray for cleaning at the end of the session

• • All subscriptions to be paid via standing order

• Numbers limited to 15 including leaders

3. TREASURERS REPORT

• 17 months since the last report this is an overview

• Opening Balance of £4509 with a closing balance of £13888

• Income

• £28852 income with and expenditure of £19473, this seems high but the work that has been done is documented above in the chairman’s report

• Playgroup income was £6750 as they continued to operate during this time

• Football club donations was £260 - restricted matches due to covid £180 outstanding will be reported in next financial year

• 2 lots of gift aid at a total of £1762

• Expenditure

• Our biggest expense was utilities at a cost of £4800 however 88% is recharged back to playgroup so £4000 was paid back so total cost to the group was £800.

• Other key expenditure was equipment including new camping equipment, tables, chairs, and PPE needed for restarting under restrictions.

• Repairs and maintenance had a spend of £4876 including £1675 on the main deck floor, new gates and outside works has also been completed.

• Donations

• Boston Town Council small grants scheme donated £2048

• As we pay business rates and were unable to operate fully, we were eligible for the Government covid grant scheme; we received £11334 last year, we have also been given an additional £6239.21 in January 2021 with a further £2096 due all from the same scheme.

We have been lucky to not have to ask district for financial support during this time and we are in the fortunate position of being self-sufficient, if anyone has any requests for spends to improve the group facilities and activities, please put your ideas forward.

4. ELECTION OF OFFICERS

• GC confirmed all those in elected positions are happy to be re-elected – all those in attendance confirmed yes.

• GC to contact all those not in attendance to confirm the above.

5. SECTION REPORTS

• Beavers – note read by GC from TC

• Numerous badges have been awarded including hobbies badge, personal survival, gardening, cooking, cycling - due to lockdown these have all be award through achieving at home

• Face to face resumed October–first week in November so limited activity was done

• • Beavers continued via Zoom where activities such as bingo, lego challenge, pizza wraps, paper crafts and pancake making were done

• A big well done to Thomas and Sky who have made it into the local paper for their hard work doing a litter pick in the local community

• Cubs

• No representative at the meeting

• Scouts

• October return saw all but 1 scout return from pre lockdown, the 1 scout felt more comfortable at the time to delay their restart

• CC praised the scouts for adapting very well to the changes due to covid restrictions

• Outdoor activities were done including flower arranging which was done by a scout parent

• November onwards saw virtual scout meetings with challenges done

• • The chief scout award was also given out last year

Other comments

• Congratulations to Mark and Sam for completing their mandatory leaders training

• Congratulations to CC for completing her Training manager training to become a TA

6. ANY OTHER BUSINESS

• GC thanked the leaders, as without them it’s not possible to hold meetings and run all the activities, visits, and camps.
