Introduction
Led by Young People, for young people. YFC’s around the country provide their 25,000 members aged between 10 and 26 years with a unique opportunity to develop skills, work with their local community, travel abroad, take part in a varied competitions programme, and enjoy a dynamic social life.
The organisation has been fortunate to have the continued support from Nottinghamshire County Council through the Local Improvement Scheme. Southwell Agricultural Society have also continued a financial agreement to support the organisation, for which we are incredibly grateful, and we enter our fourteenth year of the YFC office being hosted by Newark & Nottinghamshire Agricultural Society at the Showground. The ‘new’ office has settled well at the showground, however for all of this YFC year it has sat empty as the staff work from home during the pandemic.
Membership
We were optimistic that the start of the 2020 YFC year would allow us to get started with less restrictions from the Covid-19 pandemic, we were wrong, and those restrictions lasted for the majority of the YFC year, which resulted in us losing 70% of our membership as all our activities moved online. We did, however, reach out to a lot more young people who we supported through the pandemic.

Staf
Lauren Clark remains the County Development Officer and enters her twelfth year in the post. Felicity Rodziewicz continues as Administrator part time covering membership and competitions, this post is partly funded by the club administration fee.
Volunteers
Clubs are run by a team of officers which are elected at their own AGM’s, roles include Chairman, Vice Chairman, Secretary, Programme Secretary, Sports & Competitions secretary, Club leaders and an Advisory committee. Each club has representatives which attend the county committee meetings, Executive, Show & Rally and Competitions.
The County management committee consists of the President, President Elect, Treasurer, County Chairman, County Vice Chairman, Ex-officio Chairman and the County Development Officer.
It is always a challenge to measure the full value and contribution of the volunteers in our organisation as so many people, such as parents and exmembers help in an informal capacity, as well as our named officers. Our members volunteer weekly within their clubs, and for those members who are involve in County, Area and National committees the commitment is often more than once a week.
We project that we have a minimum of 100 volunteers working weekly at club level plus another 20 supporting at county level, doing a total of 100 hours volunteering a week. Additionally, we ask associates, ex-members, and friends of the organisation to judge, steward or give up their time for many competitions we hold throughout the year, the support of these volunteers is greatly appreciated and without such help YFC would struggle to deliver its vast programme of positive activities. During the pandemic we still had volunteers working each week and called on them for virtual or online competitions and events.
Executive Committee
This is the decision-making committee, with all other committees and representatives feeding into it. Meetings are chaired by the County Chairman; there are 8 meetings a year, plus the Annual General Meeting in October. The committee also encompasses the Finance & Development committee. Currently there are 38 members of the committee, which includes two representatives from each club, Vice Presidents, Co-opted members from external organisations and the management committee, although the committee is open to any member of Notts YFC. During the pandemic we also formed a Covid impact and response group to take over the management of the charity, this included the management committee and a member representative from each club.
Show and Rally Committee
This committee is combined and makes decisions and plans regarding YFC’s involvement in the Nottinghamshire County Show, and the planning for the YFC rally. These two events are a highlight in the YFC calendar; it has 24 members but is open to all members of YFC.
Competitions Committee
This committee organise the Sports and competitions programme each year, it is also their job to manage those competitions and encourage membership participation. It has 24 members but is open to all members of YFC.
All the above committees are run by the members, within membership age, all committees are open to all regardless of age, gender, club, or ethnicity.
Report
The year started with the 74[th] Annual General Meeting, and for the first time in the charities history it was held virtually, on zoom, chaired by the county President Mr Adrian Baugh, who would be standing down following the meeting after two years in the role. Daisy Haigh of Tuxford YFC was elected as County Chairman, with Harvey Gillatt & Jessica Rose both of Tuxford YFC as Joint Vice Chairman. Notts were keen to be part of the National fundraising campaign; The Welly Relay, where a ‘welly’ would be tossed around England and Wales via every YFC club, the welly landed in Nottinghamshire on the 8[th] November 2020 and we set off on our 188 mile leg (that’s twice round the Nottinghamshire clubs) A big thank you to everyone who got involved, we had bikes, wellies, dogs, horses and even a tank doing the miles, which raised an incredible £1495.00, which was a great kick start to our alternative fundraising for the year.
Santa came to join the party in December, and as we entered lockdown #2 we were unsure whether our new (covid secure) Santa Tractor Run would be able to go ahead, luckily for us we had Nottinghamshire Police and highways on our side, and the prime minister must of heard about the amount of Christmas cheer we were going to spread across rural Nottinghamshire, the Monday before the event lockdown was lifted and Santa and 65 decorated tractors left Manor Farm at Morton, by kind permission of the Hammond Family to spread some Christmas cheer around Southwell and surrounding villages, we were completely overwhelmed with the response from the communities to the event in its first year, people lined there driveways whilst social distancing to hear the tractors beep and whoop as they travelled around. The villages: Fiskerton, Rolleston, Staythorpe, Upton, Southwell, Halam, Edingley, Farnsfield, Oxton, Epperstone, Lowdham, Thurgarton, Bleasby and Morton, we owe you so much, thank you for making it magical. The icing on the cake was raising over £5000!
July 2021 was etched with heartache for our YFC family, with the sudden and unexpected loss of Melissa Hatton, Papplewick stalwart and County Competitions Chair, she has left a huge hole in YFC, one which we will fill with keeping her legacy alive.
Competitions
During this YFC Year our competitions programme had a change, if we could run a competition, remotely, virtually or at a distance then it got added in! October started with Pumpkin Carving, competitors had to submit a time lapse video of them creating the designs; 1[st] place was Jessica Rose Tuxford, 2[nd] place was Gabi Pritchard, Papplewick and 3[rd] place was Chloe Allsopp Cropwell. November saw a creative competition launch with members having to make a bonfire inspired piece of art; 1[st] place was Katie Gent, 2[nd] place Jessica Rose both of Tuxford and 3[rd] place Sammy Allen, Collingham. We got in the Christmas spirit and asked members to make a Christmas decoration for their tree, Daisy adorned hers with pheasant feathers and was awarded 1[st] place, with 2[nd] place Chloe Allsopp and 3[rd] place Sammy Allen. The Tuxford girls took on the romantic challenge of creating a table centrepiece for Valentine’s Day, Katie Gent was 1[st] , Jessica Rose 2[nd] and 3[rd] place was awarded to Cropwell member Ellie Marrian.
Members enjoyed getting creative for Easter, the decorated Eggs were won by Worksop YFC member Jack Pickering, 2[nd] place Lucy York, also Worksop and 3[rd] place Jessica Rose, Tuxford. Michael Wilkinson wowed the judges with his easter bonnet, 2[nd] place was Jessica Rose and 3[rd] place Georgia Betts of Worksop YFC. We also asked members to get creative and draw some spring lambs; first place was awarded to Jessica Rose, 2[nd] place Millie Hunter, Worksop, and 3[rd] Kate Walker, Tuxford YFC.
This years Interview Day took place via zoom, thank you to judges Alison Pratt, Sarah Poucher, Kate Walker, Michael Hardstaff, Harvey Gillatt, Ali Burns and Lucy Cook. Congratulations to Senior Member of the Year; Harvey Gillatt, Tuxford YFC, runner up Thomas Holm-Johansen Collingham YFC and joint 3[rd] place Kate Walker and Jessica Rose both Tuxford YFC. Congratulations to Junior Member of the Year Tuxford member Kaetlin Padgett, runner up Michael Wilkinson, Collingham and 3[rd] place Chloe Allsopp, Cropwell YFC. Miss YFC was awarded to Collingham member Sammy Allen, runner up was Ellie Marrian, Cropwell YFC and joint 3[rd] place was Kirsty Annable, Papplewick and Georgie Cooper, Cropwell YFC. Situation vacant was won by Josie Troop, Collingham YFC and second place was Jessica Rose, Tuxford YFC.
The year of competitions ended with the annual clay shoot, which in turn, turned out to be the only competition of the year we were able to run face to face, hosted by Cockett Farm it was won by Worksop YFC member Jack Briggs, 2[nd] place was Harry Troop Collingham and 3[rd] place Connor Gerrard, Cropwell. The highest scoring junior on the day was Michael Wilkinson, Collingham YFC. Both Jack and Michael went on to represent the county at the National finals of the competition in September, Jack narrowly missed out on the win, coming 2[nd] and Michael placed.
County Show
Another year came and no county show, once again YFC ran an online show, with the theme “Time to Celebrate”. Before the weekend members submitted photo entries for decorated cakes, garden design, a British wool craft, lockdown photo and floral rainbows. Wool craft was awarded to Tuxford, 1[st] Jessica Rose, 2[nd] Andy Hill and 3[rd] Daisy Haigh. Floral Art was won by Cropwell member Ellie Marrian, 2[nd] place Jessica Rose, Tuxford and 3[rd] place Sammy Allen, Collingham. The decorated cake was a tribute to Sir Tom Moore and was won by Jessica Rose, runner up was Michael Wilkinson, Collingham and 3[rd] place was Amelia Wright, Cropwell. We saw some great lockdown photos, the competition was won by Hollie Clark, Worksop YFC, 2[nd] place was Josh White, Collingham and 3[rd] place was Jack Briggs, Worksop YFC. We asked the members to design a garden fit for a celebration and it was won by Cropwell member Vicky Harker, runner up was Kate Walker, Tuxford YFC and 3[rd] place was Thomas Holm-Johansen, Collingham YFC
On the Saturday we hosted a virtual pallet upcycling, where competitors had to create an item of garden furniture in 30 minutes via zoom, whilst the judge, Ben Theaker, watched on; The winner was Jessica Rose with her Potting Bench, runner up was Michael Wilkinson Collingham YFC with his bench, expertly modelled by his parents and 3[rd] place was Eddy Allen who also got the award for fastest finisher.
Saturday afternoon also saw us virtually dress up our animals for the decorated pet and owner class, we had sheep, dogs and even a tortoise; the joint winners Harry the sheep with Beth Sharpe & Floss the Dog with Jessica Rose both of Tuxford YFC.
Lastly the Sunday saw us come together, in groups of 6 for some diary stock judging at retired presidents Adrian Baugh, it was great to get some people together safely to compete. The final presentation of ‘trophies’ was streamed live. Collingham took the victory with 59.5 points, followed by 2[nd] place Tuxford YFC with 57.5, 3[rd] place Worksop and 4[th] place Cropwell.
We had some success in stock judging this year too, with our team of girls, in the area finals; Daisy Haigh, Tuxford YFC won the Stockman of the Year and Isabel Chennells, Collingham YFC finished 3[rd] in the same competition while Beth Sharpe also Tuxford won the Junior Stockman. Daisy went on to represent the county at the National finals of the Dairy stock judging, which should have been at the Great Yorkshire Show, but instead was held virtually, she finished in 14[th] place.
Other national success came in the form of Flowers, Cropwell member Ellie Marrian took the road to Malvern for the national floral art competition and was placed. Daisy Haigh was a finalist in the NFYFC Achiever awards for Entrepreneur of the Year, along with Jessica Rose who was also a finalist in the Community Supporter category. A great well done to everyone who has represented Nottinghamshire at either area or national competitions.
County Rally
Again, it was another year without a rally, so we decided to virtually Back British Farming with some online competitions. Club created Milk boat race videos; 1[st] place was Tuxford, 2[nd] place Worksop and 3[rd] place Collingham. We tasked members with making a very British Breakfast first place was awarded to Jessica Rose, and Amy Smith of Lowdham was the runner up. This year’s nature trail was in the form of a scavenger hunt, which could be done from home, Katie Gent, Tuxford was the winner, 2[nd] place was Emily Hennell, Tuxford and joint 3[rd] place was Isabel Chennells Collingham and Jessica Rose, Tuxford. The wooden re-vamp challenge was won by Collingham member Eddy Allen, runner up was John Voase Worksop and 3[rd] place was Oliver Clarke, Lowdham. Junior Photography was won by Tuxford member Kaetlin Padgett and runner up was Jack Pickering Worksop, the senior photography was won by Collingham members Isabel Chennells with Thomas Holm-Johansen finishing 2[nd] . Overall trophies went to Tuxford YFC with 32 points, 2[nd] place Collingham YFC 23 points, 3[rd] place Worksop YFC 18 points and 4[th] place Lowdham YFC with 11 points.
Acknowledgements
We had high hopes that September 2020 would allow us to get back to ‘normal’ YFC activities, following the latter part of the 2020 membership year being in lockdown, what we didn’t envisage was a full membership year with restrictions in place and numerous lockdowns to content with. The Covid Impact and response group continued to meet virtually and keep YFC sailing, we continued to utilise the furlough scheme for much of the year, with Fliss and Lauren
working half hours, this certainly helped the financial constraints we were facing with not being able to run our usual fundraising events.

- 1 Accounting Policies
(a) Accounting Convention
The Accounts have been prepared under the historical cost convention, except for investments which are included at market value, and in accordance with applicable United Kingdom accounting standards. The Statement of Recommended Practice "Accounting and Reporting by Charities" and the Charities Act 2011
(b) Incoming Resources
Income is recognised in the period in which the Charity is entitled to receipt and only when the amount can be measured with reasonable certainty. Income is deferred only when the charity has to fulfil specific conditions before becoming entitled to it or where the donor has specified that the income is to be expended in a future period.
(c) Resources Expended
Expenditure is accounted for on an accruals basis
(d) Fund Accounting
Unrestriced funds are available for the use at the discretion of the trustees in furtherance of the general objectives of the charity.
Restricted funds are to be used for specified purposes laid down by the donor. Expenditure for those purposes is charged to the fund, together with a fair allocation of overheads and support costs
Designated fund are unrestricted funds that have been designated for specific purposes by the Trustees.

REPORT OF THE TRUSTEES FOR THE YEAR ENDED 31 AUGUST 2021
The Trustees present their report along with the statement of accounts of the Charity for the year ended 31 August 2021. The statement of accounts have been prepared in accordance with the accounting policies set out in note 1 to the accounts and comply with the Charity’s trust deed, applicable law and the requirements of the Statement of Recommended Practice, “Accounting and Reporting by Charities (SORP 2015).
Structure, Governance and Management
Governing Document
The Nottinghamshire Federation of Young Farmers’ Clubs governing document is the constitution adopted on 10 December 2015.
Constitution and Membership
A County Federation is an association of the Young Farmers’ Clubs in a County or such other areas as shall be approved by the National Federation formed in accordance with the form of constitution and rules for County Federations approved by the Council of the National Federation. The County Federation shall be affiliated to the National Federation.
The members of the County Federation shall consist of:

(a) All Young Farmers’ Clubs formed in Nottinghamshire and affiliated to the NFYFC.

(b) All persons who have been elected or nominated by the General Meeting as Honorary Members.
Administration
In the administration of the County, subject to their duties as Trustees, the Executive Committee shall have regard to the wishes of the Membership as stated at:

Trustees
The Executive Committee forms the Trustees of the Charity and has the power to appoint additional Trustees. The Executive Committee consists of elected and co-opted members, the majority of whom are required to be over eighteen years of age and are the Trustees of the Charity. Any member under eighteen years of age may not vote on matters which affect the management of the Charity.

(a) Elected Members – each Member Club is required to elect annually two representatives

(b) Co-opted Members – the Executive Committee may co-opt for such period as they may think fit representatives of other organisations and individuals interested in the Young Farmers Movement in the County. The total number of co-opted members cannot exceed fifteen persons.

Objectives, Organisations and Activities
The objects of the Federation are:

(b) In the interests of the social welfare of such members to provide, and promote the provision of, facilities for recreation and other leisure time occupations, being facilities which will improve their conditions of life and will assist in the development of their spiritual and mental capacities, selfreliance and individual responsibility so that they may grow to full maturity as individuals and members of the community.
In furtherance of its objects but not further or otherwise the County Federation.

(a) Shall work in collaboration with the National Federation of Young Farmers’ Clubs;

(b) Shall co-operate with, and assist, Young Farmers’ Clubs in the County by co-ordination of activities and otherwise;
-
(c) May co-operate with local authorities and other bodies having the same or similar objects;
-
(d) May solicit and receive contributions to its funds, whether in the of grants, donations, legacies, subscriptions, loans or otherwise providing that the County Federation shall not undertake any permanent trading activities in raising funds for the above-mentioned objects;

(e) May invest any monies not immediately required for its purposes in such securities as are for the time being authorised by law for the investment of trust funds and may transpose any such investments, and;
-
(f) May do all such lawful acts and things as are necessary for the attainment of its objects.
Review of Activities
The financial results for the period are set out in the statement of accounts.
Reserves Policy
The Reserves represent the unrestricted funds arising from past operating results. The also represent the free reserves of the charity. The Trustees believe that the level of reserves is appropriate to ensure the longterm stability of the Federation. The Trustees had previously designated £50,000 of the Federation’s reserves as a “Building Fund”. During the previous years, £20,437 of this fund was spend in acquiring and setting up a portacabin, to use as the Federation’s County Office facilities. Further expenditure amounting to £5,552 was incurred this year and further expenditure will be incurred in the forthcoming year to finalise this project. There has been a delay in the finalisation of this project due to the Coronavirus pandemic.
After completion, the Trustees will review the need for these designated funds going forwards.

Risk Management
The Trustees actively review the major risks which the Charity faces on a regular basis and believe that maintaining reserves at the current levels, combined with an annual review of the controls over key financial systems, will provide sufficient resources in the event of adverse conditions. The Trustees have also examined other operational and business risks which the Charity faces and confirm that they have established systems to mitigate the significant risks.
Responsibilities of Trustees
Charity law requires the Trustees to prepare accounts for each financial year which give a true and fair view of the state of affairs of the Charity at the year end and of its incoming resources and resources expended during that year. In preparing those accounts, the Trustees are required to:

Select suitable accounting policies;

Make judgements and estimates that are reasonable and prudent;

State whether applicable accounting standards and statements of recommended practice have been followed subject to any departures disclosed and explained in the financial statements; and
-
Prepare the financial statements on the going concern basis unless it is inappropriate to presume that the Charity will continue in business.
The Trustees are responsible for keeping proper accounting records which disclose with reasonable accuracy at any time the financial position of the Charity and enable them to ensure that the financial statements comply with the Charities Act 2011. They are also responsible for safeguarding the assets of the Charity and hence for taking reasonable steps for the prevention and detection of fraud and other irregularities.

Respective Responsibilities of Trustees and Examiner
The charity’s trustees are responsible for the preparation of the accounts. The charity’s trustees consider that an audit is not required for this year under section 144 of the Charities Act 2011 (“the Charities Act”) and that an independent examination is needed.
It is my responsibility to:

Examine the accounts under section 145 of the Charities Act,

To follow the procedures laid down in the general Directions given by the Charity Commission (under section 145(5)(b) of the Charities Act, and
-
To state whether particular matters have come to my attention.
Basis of Independent Examiner’s Statement
My examination was carried out in accordance with general Directions given by the Charity Commission. An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts, and seeking explanations from the trustees concerning any such matters. The procedures undertaken do not provide all the evidence that would be requires in an audit, and consequently no opinion is given as to whether the accounts present a “true and fair view” and the report is limited to those matters set out in the statement below.
Independent Examiner’s Statement
In connection with my examination, no matter has come to my attention.
