## **Introduction**
Led by Young People, for young people. YFC’s around the country provide their 25,000 members aged between 10 and 26 years with a unique opportunity to develop skills, work with their local community, travel abroad, take part in a varied competitions programme, and enjoy a dynamic social life.
The organisation has been fortunate to have the continued support from Nottinghamshire County Council through the Local Improvement Scheme. Southwell Agricultural Society have also continued a financial agreement to support the organisation, for which we are incredibly grateful, and we enter our thirteenth year of the YFC office being hosted by Newark & Nottinghamshire Agricultural Society at the Showground. We now have a new location on the showground, with a new YFC HQ, complete with training/meeting room, kitchen, office space and toilets. We cannot wait to welcome you for a cup of tea!
## **Membership**
We were not able to get our final spring boost of membership in during this year due to the Covid-19 pandemic, which arrived in March 2020, so we finished the year 12% down on the previous year, but with optimism that we would start the new YFC year with less restrictions.

## **Staff**
Lauren Clark remains the County Development Officer and enters her eleventh year in the post. Felicity Rodziewicz continues as Administrator part time covering membership and competitions, this post is partly funded by the club administration fee.
## **Volunteers**
Clubs are run by a team of officers which are elected at their own AGM’s, roles include Chairman, Vice Chairman, Secretary, Programme Secretary, Sports & Competitions secretary, Club leaders and an Advisory committee. Each club has representatives which attend the county committee meetings, Executive, Show & Rally and Competitions.
The County management committee consists of the President, President Elect, Treasurer, County Chairman, County Vice Chairman, Ex-officio Chairman and the County Development Officer. It is always a challenge to measure the full value and contribution of the volunteers in our organisation as so many people, such as parents and ex-members help in an informal capacity, as well as our named officers. Our members volunteer weekly within their clubs, and for those members who are involve in County, Area and National committees the commitment is often more than once a week.
We project that we have a minimum of 120 volunteers working weekly at club level plus another 20 supporting at county level, doing a total of 100 hours volunteering a week. Additionally, we ask associates, ex-members, and friends of the organisation to judge, steward or give up their time for many competitions we hold throughout the year, the support of these volunteers is greatly appreciated and without such help YFC would struggle to deliver its vast programme of positive activities.
## **Executive Committee**
This is the decision-making committee, with all other committees and representatives feeding into it. Meetings are chaired by the County Chairman; there are 8 meetings a year, plus the Annual General Meeting in October. The committee also encompasses the Finance & Development committee. Currently there are 38 members of the committee, which includes two representatives from each club, Vice Presidents, Co-opted members from external organisations and the management committee, although the committee is open to any member of Notts YFC.
## **Show and Rally Committee**
This committee is combined and makes decisions and plans regarding YFC’s involvement in the Nottinghamshire County Show, and the planning for the YFC rally. These two events are a highlight in the YFC calendar; it has 24 members but is open to all members of YFC.
## **Competitions Committee**
This committee organise the Sports and competitions programme each year, it is also their job to manage those competitions and encourage membership participation, in 2016-2017 members had the opportunity to compete in over 35 different competitions. It has 24 members but is open to all members of YFC.
All the above committees are run by the members, within membership age, all committees are open to all regardless of age, gender, club, or ethnicity.
## **Report**
The year started with the 73[rd] Annual General Meeting, held in the Lady Eastwood Building on Newark Showground, chaired by the county President Mr Adrian Baugh, who had served a year in the post. Callum Kendall of Lowdham YFC was re-elected as County Chairman for the second year, with Harvey Gillatt & Daisy Haigh as Joint Vice Chairman.
Another successful year for the Annual County Ball, members enjoyed an evening of entertainment at the Colwick Hall Hotel. Miss YFC was won by Tuxford YFC Member Kate Walker, Mr YFC was won by Harvey Gillatt Tuxford YFC, Senior Member of the Year went to fellow Tuxford member Daisy Haigh and Junior Member of the Year was awarded to Micheal Wilkinson, Collingham YFC.
## **Competitions**
Our competitions programme got off to a strong start in the autumn, with the county quiz, Congratulations to Southwell who were crowned champions and our pub quiz which we ran in aid of the Kings Mill Scanner Appeal. Clubs headed to compete in the Bowling competition which Cropwell took the victory in.
During the autumn & winter we took on a new project, Tree planting at Farm Eco at Screveton; the beginning of our YFC woodland, as part of the iWill for nature project, we hope that each year a group of members will prune and care for our woodland and help it sustain for many years. Thank you to David Rose and team for the opportunity along with the woodland trust, the planting days were a great, if a little soggy day out in nature, made ever so slightly better by warm tea & sausage cobs!
We just about managed to host a EMA weekend in Cleethorpes. We had the full team, Fliss as coOrdinator, Lauren as Secretary and Daisy as EMA Chairman. Nottinghamshire saw successes across the board in Junior Member of the Year (Well done Michael Wilkinson, of Collingham YFC) along with Cheerleading and Commercial Dance. County Chairman Callum was part of both squads, and this is what he said – “If anyone had asked me at the start of the year if I thought I would win a cheerleading competition I would have said they were mad, but we did it. It was no small feat for Jess to teach us how to do it, there was lots of Sunday night practices at Laxton Village Hall.” The cheerleading team won the area round, and the dance team came a remarkably close second to Derbyshire. What a shame that the NFYFC final was to be cancelled!
Then our YFC world got turned on its head, we heard about the Covid-19 Pandemic, and prepared the office to work from home for a ‘few weeks’ that was in March 2020, as we come to the end of the year and our AGM that end still isn’t in sight.
But our members quickly saw it as an opportunity and embraced the digital world. For 5 months, we hosted a Facebook quiz live every week to keep spirits up and keep connected with our membership. We raised over £1200 for NHS Charities Together as part of our fundraising efforts, our members made over 30 scarecrows across Nottinghamshire all in support of key workers; Farmers, Nurses, Doctors, Emergency Services, Carers, Supermarket workers—An amazing display that lifted the spirits in our local communities, and firmly planted YFC in our wider communities.
Worksop YFC played a huge part in their communities, offering to create and distribute care packages to the vulnerable members in their own community, a great achievement from all involved.
## **County Show**
May 2020 would have seen a new look Nottinghamshire County Show, but the pandemic did not allow that, instead our members embraced technology and we moved all our classes online. Videos were uploaded to social media and voted on, cushions were crafted, cakes were baked, and floral crowns made and judged. Thank you to the judges who had the tricky job of the virtual judging. Congratulations to Tuxford who were the highest scoring club, followed by Collingham and Cropwell in joint 2[nd] .
Over the spring & early summer the competitions team created different creative competitions for members to become involved in and we continued to host our county meetings online.
## **County Rally**
No County Rally in 2020, but that did not stop us, we hosted the first ever virtual Rally-A positive event for our members to get involved in, nature trails on your daily walk, re-vamp challenges, photography and a cookery challenge. Tuxford YFC took the double and were crowned Rally winners, with Collingham in 2[nd] and Worksop in 3[rd] .
## **Acknowledgements**
The year of two halves, the first year saw a normal start to YFC, followed by a global pandemic that turned our world upside down. It was not the final parting gift that retiring President Adrian Baugh wanted to have, but we thank him for helping to steer the ship whilst we navigated the furlough system, tech update and embracing zoom!

## **Report of the Trustees for the year ended 31st August 2020**
The Trustees present their report along with the statement of accounts of the Charity for the year ended 31 August 2020. The statement of accounts have been prepared in accordance with the accounting policies set out in note 1 to the accounts and comply with the Charity’s trust deed, applicable law and the requirements of the Statement of Recommended Practice, “Accounting and Reporting by Charities (SORP 2015).
## **Structure, Governance & Management**
## **Governing Document**
The Nottinghamshire Federation of Young Farmers’ Clubs governing document is the constitution adopted on 10 December 2015.
## **Constitution and Membership**
A County Federation is an association of the Young Farmers’ Clubs in a County or such other areas as shall be approved by the National Federation formed in accordance with the form of constitution and rules for County Federations approved by the Council of the National Federation. The County Federation shall be affiliated to the National Federation.
The members of the County Federation shall consist of:
- (a) All Young Farmers’ Clubs formed in Nottinghamshire and affiliated to the NFYFC.
- (b) All persons who have been elected or nominated by the General Meeting as Honorary Members.
## **Administration**
In the administration of the County, subject to their duties as Trustees, the Executive Committee shall have regard to the wishes of the Membership as stated at:
- (a) General Meetings (b) Executive Committee Meetings
The Financial Year of the County Federation shall end on 31 August.
## **Trustees**
The Executive Committee forms the Trustees of the Charity and has the power to appoint additional Trustees. The Executive Committee consists of elected and co-opted members, the majority of whom are required to be over eighteen years of age and are the Trustees of the Charity. Any member under eighteen years of age may not vote on matters which affect the management of the Charity.
- (a) Elected Members - each Member Club is required to elect annually two representatives
- (b) Co-opted Members The Executive Committee is may co-opt for such period as they may think fit representatives of other organisations and individuals interested in the Young Farmers Movement in the County. The total number of co-opted members cannot exceed fifteen persons.

In addition to the above members the Executive Committee is required to appoint:
- (a) A Chairman and a Vice Chairman
- (b) A Treasurer
## **Objectives, organisation and activities**
The objects of the Federation are:
- (a) To advance the education of young members of the public at large in agriculture, home crafts, country life and related subjects; and
- (b) In the interests of the social welfare of such members to provide, and promote the provision of, facilities for recreation and other leisure time occupations, being facilities which will improve their conditions of life and will assist in the development of their spiritual and mental capacities, self-reliance and individual responsibility so that they may grow to full maturity as individuals and members of the community.
In furtherance of its objects but not further or otherwise the County Federation.
- (a) shall work in collaboration with the National Federation of Young Farmers’ Clubs;
- (b) shall co-operate with, and assist, Young Farmers’ Clubs in the County by co-ordination of activities and otherwise;
- (c) may co-operate with local authorities and other bodies having the same or similar objects;
- (d) may solicit and receive contributions to its funds, whether in the form of grants, donations, legacies, subscriptions, loans or otherwise providing that the County Federation shall not undertake any permanent trading activities in raising funds for the above-mentioned objects;
- (e) may invest any monies not immediately required for its purposes in such securities as are for the time being authorised by law for the investment of trust funds and may transpose any such investments, and;
- (f) may do all such other lawful acts and things as are necessary for the attainment of its objects.
## **Review of Activities**
The financial results for the period are set out in the statement of accounts.
## **Reserves Policy**
The Reserves represent the unrestricted funds arising from past operating results. They also represent the free reserves of the charity. The Trustees believe that the level of reserves is appropriate to ensure the long-term stability of the Federation.
The Trustees had previously designated £50,000 of the Federation’s reserves as a “Building Fund”. During the previous year, £20,437 of this fund was spent on acquiring and setting up a portacabin, to use as the Federation’s County Office facilities. Further expenditure amounting to £5,552 was incurred this year and further expenditure will be incurred in the forthcoming year to finalise this project. The has been a delay in the finalisation of this project due to the Coronavirus pandemic.
After completion, the Trustees will review the need for these designated funds going forwards.

## **Risk Management**
The Trustees actively review the major risks which the Charity faces on a regular basis and believe that maintaining reserves at the current levels, combined with an annual review of the controls over key financial systems, will provide sufficient resources in the event of adverse conditions. The Trustees have also examined other operational and business risks which the Charity faces and confirm that they have established systems to mitigate the significant risks.
## **Responsibilities of Trustees**
Charity law requires the Trustees to prepare accounts for each financial year which give a true and fair view of the state of affairs of the Charity at the year end and of its incoming resources and resources expended during that year. In preparing those accounts, the Trustees are required to:
- select suitable accounting policies;
- make judgements and estimates that are reasonable and prudent;
- state whether applicable accounting standards and statements of recommended practice have been followed subject to any departures disclosed and explained in the financial statements; and
- prepare the financial statements on the going concern basis unless it is inappropriate to presume that the Charity will continue in business.
The Trustees are responsible for keeping proper accounting records which disclose with reasonable accuracy at any time the financial position of the Charity and enable them to ensure that the financial statements comply with the Charities Act 2011. They are also responsible for safeguarding the assets of the Charity and hence for taking reasonable steps for the prevention and detection of fraud and other irregularities.
**Independent Examiner’s Report to the members of the Nottinghamshire Federation of Young Farmers’ Clubs on the Accounts for the year ended 31st August 2020**
## **Respective responsibilities of trustees and examiner**
The charity's trustees are responsible for the preparation of the accounts. The charity’s trustees consider that an audit is not required for this year under section 144 of the Charities Act 2011 (“the Charities Act”) and that an independent examination is needed.
It is my responsibility to:
- examine the accounts under section 145 of the Charities Act,
- to follow the procedures laid down in the general Directions given by the Charity Commission (under section 145(5)(b) of the Charities Act, and
- to state whether particular matters have come to my attention.
## **Basis of independent examiner’s statement**
My examination was carried out in accordance with general Directions given by the Charity Commission. An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts, and seeking explanations from the trustees concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit, and consequently no opinion is given as to whether the accounts present a ‘true and fair’ view and the report is limited to those matters set out in the statement below.
## **Independent examiner's statement**
In connection with my examination, no matter has come to my attention
1. which gives me reasonable cause to believe that in, any material respect, the requirements:
- to keep accounting records in accordance with section 130 of the Charities Act; and
- to prepare accounts which accord with the accounting records and comply with the accounting requirements of the Charities Act
have not been met; or
2. to which, in my opinion, attention should be drawn in order to enable a proper understanding of the accounts to be reached.

## **1. Accounting Policies**
## **(a) Accounting Convention**
The Accounts have been prepared under the historical cost convention, except for investments which are included at market value, and in accordance with applicable United Kingdom accounting standards, the Statement of Recommended Practice "Accounting and Reporting by Charities" and the Charities Act 2011.
## **(b) Incoming Resources**
Income is recognised in the period in which the Charity is entitled to receipt and only when the amount can be measured with reasonable certainty. Income is deferred only when the charity has to fulfil specific conditions before becoming entitled to it or where the donor has specified that the income is to be expended in a future period.
## **(c) Resources Expended**
Expenditure is accounted for on an accruals basis.
## **(d) Fund Accounting**
Unrestricted funds are available for the use at the discretion of the trustees in furtherance of the general objectives ofthe charity.
Restricted funds are to be used for specified purposes laid down by the donor. Expenditure for those purposes is charged to the fund, together with a fair allocation of overheads and support costs.
Designated funds are unrestricted funds that have been designated for specific purposes by the Trustees.

## **Report of the Trustees for the year ended 31st August 2020**
The Trustees present their report along with the statement of accounts of the Charity for the year ended 31 August 2020. The statement of accounts have been prepared in accordance with the accounting policies set out in note 1 to the accounts and comply with the Charity’s trust deed, applicable law and the requirements of the Statement of Recommended Practice, “Accounting and Reporting by Charities (SORP 2015).
## **Structure, Governance & Management**
## **Governing Document**
The Nottinghamshire Federation of Young Farmers’ Clubs governing document is the constitution adopted on 10 December 2015.
## **Constitution and Membership**
A County Federation is an association of the Young Farmers’ Clubs in a County or such other areas as shall be approved by the National Federation formed in accordance with the form of constitution and rules for County Federations approved by the Council of the National Federation. The County Federation shall be affiliated to the National Federation.
The members of the County Federation shall consist of:
- (a) All Young Farmers’ Clubs formed in Nottinghamshire and affiliated to the NFYFC.
- (b) All persons who have been elected or nominated by the General Meeting as Honorary Members.
## **Administration**
In the administration of the County, subject to their duties as Trustees, the Executive Committee shall have regard to the wishes of the Membership as stated at:
- (a) General Meetings (b) Executive Committee Meetings
The Financial Year of the County Federation shall end on 31 August.
## **Trustees**
The Executive Committee forms the Trustees of the Charity and has the power to appoint additional Trustees. The Executive Committee consists of elected and co-opted members, the majority of whom are required to be over eighteen years of age and are the Trustees of the Charity. Any member under eighteen years of age may not vote on matters which affect the management of the Charity.
- (a) Elected Members - each Member Club is required to elect annually two representatives
- (b) Co-opted Members The Executive Committee is may co-opt for such period as they may think fit representatives of other organisations and individuals interested in the Young Farmers Movement in the County. The total number of co-opted members cannot exceed fifteen persons.

In addition to the above members the Executive Committee is required to appoint:
- (a) A Chairman and a Vice Chairman
- (b) A Treasurer
## **Objectives, organisation and activities**
The objects of the Federation are:
- (a) To advance the education of young members of the public at large in agriculture, home crafts, country life and related subjects; and
- (b) In the interests of the social welfare of such members to provide, and promote the provision of, facilities for recreation and other leisure time occupations, being facilities which will improve their conditions of life and will assist in the development of their spiritual and mental capacities, self-reliance and individual responsibility so that they may grow to full maturity as individuals and members of the community.
In furtherance of its objects but not further or otherwise the County Federation.
- (a) shall work in collaboration with the National Federation of Young Farmers’ Clubs;
- (b) shall co-operate with, and assist, Young Farmers’ Clubs in the County by co-ordination of activities and otherwise;
- (c) may co-operate with local authorities and other bodies having the same or similar objects;
- (d) may solicit and receive contributions to its funds, whether in the form of grants, donations, legacies, subscriptions, loans or otherwise providing that the County Federation shall not undertake any permanent trading activities in raising funds for the above-mentioned objects;
- (e) may invest any monies not immediately required for its purposes in such securities as are for the time being authorised by law for the investment of trust funds and may transpose any such investments, and;
- (f) may do all such other lawful acts and things as are necessary for the attainment of its objects.
## **Review of Activities**
The financial results for the period are set out in the statement of accounts.
## **Reserves Policy**
The Reserves represent the unrestricted funds arising from past operating results. They also represent the free reserves of the charity. The Trustees believe that the level of reserves is appropriate to ensure the long-term stability of the Federation.
The Trustees had previously designated £50,000 of the Federation’s reserves as a “Building Fund”. During the previous year, £20,437 of this fund was spent on acquiring and setting up a portacabin, to use as the Federation’s County Office facilities. Further expenditure amounting to £5,552 was incurred this year and further expenditure will be incurred in the forthcoming year to finalise this project. The has been a delay in the finalisation of this project due to the Coronavirus pandemic.
After completion, the Trustees will review the need for these designated funds going forwards.

## **Risk Management**
The Trustees actively review the major risks which the Charity faces on a regular basis and believe that maintaining reserves at the current levels, combined with an annual review of the controls over key financial systems, will provide sufficient resources in the event of adverse conditions. The Trustees have also examined other operational and business risks which the Charity faces and confirm that they have established systems to mitigate the significant risks.
## **Responsibilities of Trustees**
Charity law requires the Trustees to prepare accounts for each financial year which give a true and fair view of the state of affairs of the Charity at the year end and of its incoming resources and resources expended during that year. In preparing those accounts, the Trustees are required to:
- select suitable accounting policies;
- make judgements and estimates that are reasonable and prudent;
- state whether applicable accounting standards and statements of recommended practice have been followed subject to any departures disclosed and explained in the financial statements; and
- prepare the financial statements on the going concern basis unless it is inappropriate to presume that the Charity will continue in business.
The Trustees are responsible for keeping proper accounting records which disclose with reasonable accuracy at any time the financial position of the Charity and enable them to ensure that the financial statements comply with the Charities Act 2011. They are also responsible for safeguarding the assets of the Charity and hence for taking reasonable steps for the prevention and detection of fraud and other irregularities.
**Independent Examiner’s Report to the members of the Nottinghamshire Federation of Young Farmers’ Clubs on the Accounts for the year ended 31st August 2020**
## **Respective responsibilities of trustees and examiner**
The charity's trustees are responsible for the preparation of the accounts. The charity’s trustees consider that an audit is not required for this year under section 144 of the Charities Act 2011 (“the Charities Act”) and that an independent examination is needed.
It is my responsibility to:
- examine the accounts under section 145 of the Charities Act,
- to follow the procedures laid down in the general Directions given by the Charity Commission (under section 145(5)(b) of the Charities Act, and
- to state whether particular matters have come to my attention.
## **Basis of independent examiner’s statement**
My examination was carried out in accordance with general Directions given by the Charity Commission. An examination includes a review of the accounting records kept by the charity and a comparison of the accounts presented with those records. It also includes consideration of any unusual items or disclosures in the accounts, and seeking explanations from the trustees concerning any such matters. The procedures undertaken do not provide all the evidence that would be required in an audit, and consequently no opinion is given as to whether the accounts present a ‘true and fair’ view and the report is limited to those matters set out in the statement below.
## **Independent examiner's statement**
In connection with my examination, no matter has come to my attention
1. which gives me reasonable cause to believe that in, any material respect, the requirements:
- to keep accounting records in accordance with section 130 of the Charities Act; and
- to prepare accounts which accord with the accounting records and comply with the accounting requirements of the Charities Act
have not been met; or
2. to which, in my opinion, attention should be drawn in order to enable a proper understanding of the accounts to be reached.

## **1. Accounting Policies**
## **(a) Accounting Convention**
The Accounts have been prepared under the historical cost convention, except for investments which are included at market value, and in accordance with applicable United Kingdom accounting standards, the Statement of Recommended Practice "Accounting and Reporting by Charities" and the Charities Act 2011.
## **(b) Incoming Resources**
Income is recognised in the period in which the Charity is entitled to receipt and only when the amount can be measured with reasonable certainty. Income is deferred only when the charity has to fulfil specific conditions before becoming entitled to it or where the donor has specified that the income is to be expended in a future period.
## **(c) Resources Expended**
Expenditure is accounted for on an accruals basis.
## **(d) Fund Accounting**
Unrestricted funds are available for the use at the discretion of the trustees in furtherance of the general objectives ofthe charity.
Restricted funds are to be used for specified purposes laid down by the donor. Expenditure for those purposes is charged to the fund, together with a fair allocation of overheads and support costs.
Designated funds are unrestricted funds that have been designated for specific purposes by the Trustees.
