1. The Scouters in Charge (Bethan and Pete Dodge) opened the meeting at 19:37 and introduced the key people

The minutes of the 2020 AGM were not available, it was agreed they would be circulated by email and included in 2022 AGM papers.

Bijal Bhagwan thanked those present for having her present, stating it had been a very difficult year. Said that there was a good team in Groby scouts that clearly worked very hard and that district would support as best they can. Some groups get desperate, focus on your strong points when recruiting. Bijal finished with a well done and here’s to the year ahead.

Subsistence Fees for September 2020 – it was agreed to delegate responsibility for agreeing the subsistence fees to the executive committee, once it is known what county are charging for capitation.

AOB – Leanne from District offered her thanks for all the hard work that has been put in by all the leaders in the Group, saying that Beth and Pete have helped and inspired lots of other groups to do zoom meetings and try and keep young people engaged during this time.

Group Chairman's Report 2021/22
It is the role of the exec to support our wonderful leaders by providing the facilities we have at the hut and the equipment our leaders need that helps them make Groby one of the most vibrant & active scout group’s in the area.
Yet again it’s been another difficult year in scouting due to the continued impacts of Covid 19, but I have to say the leaders have still put on an excellent schedule of scouting events. A massive thanks to all leaders.
Considerable work has been undertaken at Scout HQ, spear headed by an amazing amount of hard work by our Vice Chair, Paul Chick and our Treasurer, Becky Chick. A massive thanks to both of them.
Steady progress has been made with discussions with the Parish Council, our landlord, for a new refreshed lease that would safeguard tenancy for the foreseeable future and allow for funding grant applications to be submitted. I look forward to hopefully concluding that work over the next few months.
Whilst our accounts may appear to be favourable, this is due to the excellent work of our treasurer in securing much needed grants through Covid, and these funds are assigned to much needed work such as replacing the electrics and windows. A considerable amount of further funding is required over the next year to be in a position to undertake essential refurbishment of the toilets and other areas of our HQ.
As always. I would like to thank those members of the exec and the leaders that have given up their spare time over the last 12 months to continue to provide the good infrastructure and an excellent schedule of activities and events for the local young people.
Our objectives for 2022/23 remain similar: -

Recruit to any vacant positions

Continue to provide an excellent schedule of scouting events across all sections.
Finally, all those involved in scouting are volunteers and we are always looking for more help. It only takes a few hours a week to help out our leaders or join the exec. If you can spare any time or have some skills that the group could benefit from please contact one of the leaders or any member of the exec, we would be happy to speak to you.

Financial Report Year Ending 28th February 2022
The past 12 months have been financially challenging as we continued to deal with the COVID 19 pandemic and a slow return normal.
The Accounts show we finished the year with healthy bank balance and an accounting surplus of almost £19,000. However, we received over £24,000 in Grant funding and one off donations. The leaders have spent this past year de-cluttering the HQ. A number of items that were unwanted or unused were sold and £950 has been raised so far. Without these we would be showing a deficit of £6,000
Subs income was around 60% of pre-pandemic levels, as we tried to balance the Groups financial requirements with the amount and quality of Scouting offered. We have not applied for or received any Gift Aid this year, something we are working on moving forward.
Sections began to return to weekly face to face Scouting from the Autumn so Section activities, camp and general section income and expenditure increased, though these are still much lower than pre-pandemic levels. We now also offer the Duke of Edinburgh scheme to our older sections.
Utilities and general costs associated with owning and running the HQ were still lower than pre-pandemic levels but insurance costs increased.
We have continued to make much needed repairs and improvements to the HQ, though we continue to be blighted by anti-social behavior which is costly to rectify.
Looking to the future, we will continue to financially the sections as they return to prepandemic activities and camps. The de-cluttering has identified some gaps in our tent and camping stock which needs to be addressed before Summer Camp. Our general overheads will increase in the coming year, and subs levels and other income steams will be closely monitored to ensure we remain financially viable.
We will continue with the repairs and improvements to the HQ. The Grant funding received last year has already been allocated to replacing the front and rear doors, replacing the front exterior wooden panels and windows, and upgrading the HQ electrics.
Our next major HQ project is the refurbishment of the toilets, so our focus after the summer will be to secure Grants and raise funds to make this happen.

In summary, we have successfully navigated the global pandemic, but the ever increasing current global challenges mean we must continue to carefully manage our finances to ensure we can continue to offer Scouting and opportunities it provides to all our young people

GSL AGM report 2021/22
This year we have continued with a mix of Zoom and outdoor face to face scouting. Much of the face to face scouting being done in smaller by weekly groups to allow for social distancing. Then moving to indoor meetings ready for the colder winter months. We Have recently moved back to normal full meetings and started to do meetings as we would pre covid.
Thanks to all the leaders for their help in organising and supporting the group in being able to run their socially distant meetings. This has meant a lot more planning and effort in running these meetings.
In November we ran our first group camp for nearly 2 years and although this was only a 1 night sleepover instead of our normal 2. I think all the kids really enjoyed being back to some normal scouting.
This year we have started a new DofE section within the group with the help of Dennis Sleath. To start with we are only looking at running the bronze DofE award scheme but hope to start also offering silver in the coming years.
We have also started a Network section for 18-25 year olds with the help of Paul Chick.
We are also pleased to see Jamie Flude back helping out as assistant Cub Leader after taking a stop back last year due to work commitments.
We are very fortunate to have a very active group within Groby offering traditional scout meetings and activities. Beavers with 20, cubs at 24, scouts at 28 and explorers at 32. Although we plan to increase the numbers in Beavers and Cubs now that social distancing is relaxing this will not accommodate all that are on our waiting list.
Would like to thank the Exec on the work they have done this year and planned for next year on updating the HQ. We are very lucky to have an excellent scout hut enabling us to offer a verified scouting programme. With the building now benign 50 years old it does need some updating
To enable the group to continue to flourish we need to find additional adults to help run sections meeting and the exec in fund raisings and maintenance.
