**Minutes of the Annual General Meeting of 2[nd] Davyhulme Scout Group held by email due to covid** 0 members were recorded as present ## _**STRUCTURE, GOVERNANCE AND MANAGEMENT**_ The Group’s governing documents are those of The Scout Association. They consist of a Royal Charter, which in turn gives authority to the Bye Laws of the Association and The Policy, Organisation and Rules of The Scout Association. The Group is a trust established under its rules which are common to all Scouts. The Trustees are appointed in accordance with the Policy, Organisation and Rules of The Scout Association. The Group is managed by the Group Executive Committee, the members of which are the ‘Charity Trustees’ of the Scout Group which is an educational charity. As charity trustees they are responsible for complying with legislation applicable to charities. This includes the registration, keeping proper accounts and making returns to the Charity Commission as appropriate. The Executive Committee exists to support the Group Scout Leader in meeting the responsibilities of their appointment. The group has in place systems of internal controls that are designed to provide reasonable assurance against material mismanagement or loss, these include 2 signatories for all payments and a comprehensive insurance policy to ensure that insurable risks are covered. ## _**OBJECTIVES, ACTIVITIES, ACHIEVEMENTS AND PERFORMANCE**_ Scouting exists to actively engage and support young people in their personal development, empowering them to make a positive contribution to society, The Group meets the Charity Commission’s public benefit criteria under both the advancement of education and the advancement of citizenship or community development headings. Beaver Report for 2020/21. Following Government guidelines Beavers sadly stopped meeting last March so it has been a very quiet year. We encouraged the Beavers to keep up their Badge work at home by doing the at home badge set by the county. In January 2021 we decided to begin Zoom meetings with the Beavers, on average we had 9 beavers join us on Zoom. We did activities such as a treasure hunt, quizzes ,made armpit fudge, learnt how to do knots We were pleased to welcome Colin Hunter back to our group as Assistant Beaver Leader when his daughter Emily joined our colony. As restrictions loosened and we prepared to move back to face to face meetings we did find that our colony had shrunk. On return to face to face meetings we reopened with 10 beavers several of whom would soon be moving to Cubs. Even though we had not been able to be as active as usual, we are pleased to say that several of our Beavers were still able to achieve their Bronze Award. Fortunately we have had a healthy waiting list and in June we welcomed 11 new Beavers into our colony. We are back to meeting weekly in term times for an hour and in September we will consider extending our meetings back to 1 1/4 hrs as we used to do . I would like to take this opportunity to thank Catherine,Colin and the explorers for all their help with Beavers. Also, thanks to Debbie and Stuart, who although as a group we weren't very active, have been very busy in the background sorting out maintenance on the hut and sourcing funding for the group, so that as we hopefully return to normal we will be ready to go . Gill Cooke Beaver Leader 2nd Davyhulme Scout Group Cub report 2021 It's been a strange year as everyone knows, but during lockdown we decided to follow the other sections of the group in holding Zoom meetings for the Cubs. Once again, a massive thank you to Graham for running and organising these meetings! Activities during these Zoom meetings included quizzes, word games, bingo, code breaking, paper plane making and trying to teach simple knots. (Not so easy over Zoom) Due to lockdown and not everyone keen to participate in Zoom meetings, our Cub numbers dropped by about half. Since returning to face to face meetings and with the weather being kind to us, we have held many meetings outside. Activities include archery, athletics and some new games. We've been on a hike, brushed up on our map reading and finished the term with everyone's favourite, the water fun night. Cub numbers are also now on the increase. Cub leaders will be meeting to prepare our next program before we resume in September. Many thanks, Steve/Kaa. Troop AGM Report Since the last report the troop have been running weekly zoom meeting and since April weekly face to face meeting. Troop numbers 14 scouts currently in the troop. We have scouts waiting to be invested . we have currently have 4 Patrol Camps No camps have taken place owing scout restrictions. 7 scouts are attended a expedition challenge award weekend in September Awards We still have to present 4 outstanding chief scout gold awards Troop working on all outdoor challenge and expedition badges within the weekly troop face to face meetings We have completed personal and skills challenge badges on the zoom troop meeting. D of E volunteers With the troop we have Louise, jack and Joe who are working on gold d of e who supported the troop with help in running activities. The following explorers have done or currently doing there bronze d of e award volunteering ( Adam Rhys lee and billie ) Big thanks go to them all for their help and support. Troop Leaders Big thanks go to Will Boxford for is support and help running the troop meeting face to face and Zoom meeting. ## Stuart ( skip) Explorer report 2021 The last year for the explorer section has been a challenging one as it has been for all people. We started 2020 with a winter camp and a host of programmes planned. This had to quickly change with us switching to online meeting. These continued through to early 2021 with a wide variety of activities from quizzes, to cooking escape rooms and the ever popular knife, fork, spoon. As we now start to return to some sort of normality within scouting myself and the other leaders would like to thank the explorers for all they have put in the last year. At a time which was difficult for them they still managed to show commitment to the group attending online meetings and having input even though we were not able to offer the same experience we normally do. Greg Rowlinson ESL ## GSL REPORT FOR 20-21 Firstly, a big thank you for all leaders, assistant leaders and young leaders for all the help in keeping each section active in some way during lock down and the new face to face meetings We are now back in green level so almost a return to a sort of normal Although numbers did drop during the times, we could not meet in person, we are slowly building up the numbers in each section Beavers are at a bursting 22, cubs 18 scouts 15 and explorers 18 which overall for our leaders is acceptable levels to provide a good program Thank you also for our group exec committee during the last 12 month as most of the running of the group has been carried out on whats app There has been lots of activity at the scout hut in way of repairs and all the health and safety issues from scouting over the last 12 months, this I will explain under the finance report ## Debbie Pullen GSL ## Finance report Income last year was 41k made up mainly of the following Grants total 23k Gift aid 3.5k Subs 9k Nursery payments 5k Out going costs were quite high as we had to put in place some much needed repairs In total just short of 4k The main field, we had trees removed that were dangerous, tree stumps removed, the uneven ground dug out and levelled, then turfed The garage at the rear of the building has now been converted into a shooting and archery range, with new equipment purchased also for its new purpose, also newly trained leaders to run these activities under scouting rules Some of the rooms have been repainted, the back room has had the canoe store removed and the canoes have been sold along with the trailer, we no longer have qualified instructors, or anyone interested in leading as a qualified instructor, we agreed this can be done locally with using local activity centers We have added CCTV for the safety of all our members, this is visual only and not used for recording any conversations, this covers both indoors and outdoors With the grants claimed during covid, we were able to have our very leaky roof repaired, also the garage roof, which cost us 30k less a 5k contribution from the nursery group We had a massive health and safety list to work to, including boiler check, pipe work for heating, emergency lights, electric testing, to name a few, along with the covid 19 risk assessments of which parents all had copies Other changes, gas and electric suppliers moved to octopus and a smart meter installed, internet provider changed for more speed, so we can use the internet at meetings with the scouts and explorers or IT Badges We ended the year with a very healthy bank balance, but the roof cost was not in the outgoing cost as that was paid in this year’s accounts ## From march this year the ongoing issues are We had to have an asbestos check done, so some work needs be done to cover over the panels in question, some electrical work in the kitchen also to make safe We also had a flood, and you may have noticed the floor damage, I have now competed the insurance claim, and had meetings with the loss adjusters, the cost for the new flooring will be around 12k, some damage in the toilets, new door etc. which they have now agreed to cover most of the cost , the work will be done over Christmas when the hut is not used We will then get the main hall repainted now the roof no longer leaks, we also need to look at the windows, as we need to have some that open for ventilation Finance report by Debbie Pullen GSL ## **Declaration** The trustees declare that they have approved the trustees’ report above Signed on behalf of the charity’s trustees Signatures Full names Position Grou Chair Grou Scout Leader Date 2nd DAVYHULME SCOUT GROIIP Accovrus FOR THE FIP4APKIAL YEAR 1st APRIL 2020 to 31sl MARCH 2021 4 G). k¢o¥ni•tMs Ltrrnsth is¢h 1021 WI TAB 15.4XO) IIX197.$1 g,Joi. 4.129. 5Q.34 GbftA DrNtWS.
