Crawford Village and Pimbo Lane Playing Fields Association Minutes of the ‘Virtual’ AGM: 16[th] July 2020

Attendees: Heather L, Chris, Irene, Heather B, Richard, Martin, Steve, Alex, Mark and Mary
Heather welcomed all to the meeting and outlined our main achievements during the last twelve months:

We have lost some regular users but gained others

A regular cleaner has now been employed which has made a massive difference.

The car park has been resurfaced and a drain has been installed so that we have no more large puddles!

We have replaced the old boiler and installed a ‘Nest’.

The internet has been connected
-
We have had a Christmas tree erected by the Parish Council. They also flagged the area for the Christmas tree to stand safely.

Some successful fundraisers have taken place this year including quizzes, social evenings, several ‘coffee and cake’ events and of course the Christmas Quiz.
Unfortunately, the ‘Hut’ has been closed since March due to Covid-19 and many events have been cancelled including our Summer Fair which should have taken place on Saturday, 4[th] July.
We plan to re-open on Monday 27[th] , July 2020.
Treasurer’s Report (See attached)
Richard explained that despite the ‘lockdown’ we are in a relatively good position financially. We have the funds to complete several of the projects that have been suggested. Richard was thanked for his work this year.
Martin asked about the annual/ monthly running costs for the ‘Hut’. Richard shared that the monthly costs are: £275 which equates to £3,300 pa
Heather shared that she would like to stand down as Chair. She was thanked by all for her dedication to the role and to the many achievements during her tenure. Thank you so much Heather, I know we are all very pleased to hear that you will remain on the committee.
Elections
Steve Marston was voted in as the new ‘Chair’. Thank you Steve.
Richard Chesworth and Mary Wilson were reinstated as treasurer and secretary respectively. Thank you both for continuing with the roles.
The following were elected as committee members for the following twelve months:
- Irene Bond, Heather Bond, Martin Wilson, Chris Lomas, Heather Lomas, Karen Denney and Dave Birchall (10 committee members in total)
The meeting was closed by Steve Marston. The date of the next meeting was set for Monday, 27[th] ‘ ’ July at 7:00pm in the Hut .

I report to the trustees on my examination of the accounts of the above charity (“the Trust”) for the year ended 31 / 07 / 2020.
- Responsibilities and As the charity trustees of the Trust, you are responsible for the preparation basis of report of the accounts in accordance with the requirements of the Charities Act 2011 (“the Act”).
I report in respect of my examination of the Trust’s accounts carried out under section 145 of the 2011 Act and in carrying out my examination, I have followed the applicable Directions given by the Charity Commission under section 145(5)(b) of the Act.
Independent examiner's statement
I have completed my examination. I confirm that no material matters have come to my attention in connection with the examination which gives me cause to believe that in, any material respect:

accounting records were not kept in accordance with section 130 of the Act or

the accounts do not accord with the accounting records
I have no concerns and have come across no other matters in connection with the examination to which attention should be drawn in order to enable a proper understanding of the accounts to be reached.
