## **Chairperson’s Report for the Year Ended 31 March 2022** 

The start of the year was still affected by the pandemic whereby the hall would have been closed until restrictions lifted in April 2021. 

Unfortunately, we had to close until August 2021 to have extensive repair works after the water leak in February 2021. 

We were also able to claim Business Support grants from Cheshire East in June 2021 and January 2022 which totalled £10,667. Our final accounts showed our profit for 2021-22 was £10,231 including these grants. We were thankful we were able to claim these grants to help keep the hall running. 

Once we reopened our regular hirers came back steadily and with caution following government guidelines of using face masks and limiting the numbers in the building.  There was a period of closure over December - January due to the new Delta variant. 

This year we have welcomed several new regular hirers: 

Monday mornings - Little Athletes who went from one class to two due to its success and the toddlers love to use the huge space for running round and kicking a ball. 

Tuesday night - Clubbercise classes with Annabelle which has proven to be very popular. 

Wednesday afternoons - Sue Jepson also moved her Line Dancing group from Rode Heath to Church Lawton as the space was larger for social distancing - they love the hall and are very happy here. 

We were sad to hear that Retirement Club were not going to return after many years at the hall as there was nobody able to run the club. Joyce Fletcher (Secretary of the club) has sadly since passed away. Joyce was an active member of the community who also sat on the Lawton Memorial Hall Committee for many years and will be missed. 

Our Sunday morning hirer Louise closed her Stretch and Flow classes in December due to low numbers and the Tuesday evening Kick Boxers didn't return after August after having to close one of their venues due to the impact of Covid, ours was the one they chose after many years at the hall. 

Alsager Civic Centre advised us in August that they could no longer provide us with the bar contract due to the uncertainty with Covid. We were extremely fortunate to find a new bar provider - Kev Johnson of Kev's Catering who was willing to step in and take on the contract. This has proven to be a good relationship so far and Kev has been very helpful in the absence of the caretaker - he has assisted with opening for customers and setting up the hall when needed. He is keen to see the hall succeed and increase its occasional hire bookings. 

Our first fundraising event was the Christmas Party Night in December - 70 people came along and Kev did the catering for us so that the committee were able to sit down and enjoy the night.  He did a great job and we also raised £555. 

Elvis revisited the hall in February with 116 tickets sold - we made £367 at this fundraiser and had a great night! 

Fundraising events were cautiously fitted into the calendar with the unpredictability as to whether they could go ahead, however it now seems like the world is returning to normal but increased costs of living now seem to have an impact on what people spend their money on and nights out. 

Occasional bookings have started to increase - we have had so many children's parties at the weekends and other celebrations booked into the diary. 

Church Lawton Parish Council provided us with a grant for £1650 in March 2022 to purchase new fridges. This was very much appreciated, and a letter of thanks has been sent to the clerk. 

We are currently looking for someone to do the admin / accounts and have received a few enquiries off the back of the flyer delivered to the community and posts on social media. We are hopeful to find the right person who can take this on within the next few weeks. 

We are back to having two caretakers at the hall now that bookings have started to pick up again. Thank you to both Narissa and Sandra for keeping the hall looking as it should both inside and out - we have lots of lovely comments at how nice it looks especially since its reopening.

Barry Bartholomew our Honorary Advisor who has provided us with professional and financial advice over many years, stayed on for another year and has resigned from 1st June 2022. Thank you to Barry for your hard work and dedication to the hall, it has been very much appreciated. 

Ken Newton stepped down as a committee member this year - thank you to Ken for your contribution to the hall including researching for us and tidying up at the hall. 

Vice Chairperson Lynn Ridgway also stepped down this year.  She still helps occasionally when needed as she loves cleaning at the hall but is no longer able to attend our monthly meetings. Thank you to Lynn. 

This year we also received resignations from three of our Trustees - Cheryl Adams, Robert Billings and Roy Giltrap. I would like to personally thank them all for their support and commitment over the past years and wish them all well. 

Thanks to all the committee members who have all contributed in different ways over the last year from representing us at the parish council meetings, cleaning inside the hall, tidying up outside, researching, being key holders, setting up tables and chairs and helping at functions. Special thanks to Jane (Secretary) for typing up and distributing agendas and minutes, reading through endless documents for information on the land. 

Thank you as always to my family, Martin and my Dad who help at the hall with setting up tables and other little jobs that need doing. 

It is with regret that due to personal reasons after nearly 8 years of being on the committee (this time around) I will be standing down at the end of the year. We have lost many committee members and trustees this year and I fear for the future of the hall. Without new people coming forward from the local community who are willing to assist in the day to day running of the charity I am uncertain of what will happen. Hence why we put out a press release and flyer around the parish to try and get more people involved and we will see where we stand at the end of August before making any further decisions about whether Lawton Memorial Hall Trust can continue to provide this facility to the community. I am hopeful that those living in Church Lawton do step forward and save this amazing venue from potential closure.

I report to the charity trustees on my examination of the accounts of Lawton Memorial Hall Trust (the Trust) for the year ended 31 March 2022. 

## **Responsibilities and basis of report** 

As the charity trustees of the Trust you are responsible for the preparation of the accounts in accordance with the requirements of the Charities Act 2011 ('the Act'). 

I report in respect of my examination of the Trust's accounts carried out under Section 145 of the Act and in carrying out my examination I have followed all applicable Directions given by the Charity Commission under Section 145(5)(b) of the Act. 

## **Independent examiner's statement** 

I have completed my examination. I confirm that no material matters have come to my attention in connection with the examination giving me cause to believe that in any material respect: 

1. accounting records were not kept in respect of the Trust as required by Section 130 of the Act; or 

2. the accounts do not accord with those records; or 

3. the accounts do not comply with the applicable requirements concerning the form and content of accounts set out in the Charities (Accounts and Reports) Regulations 2008 other than any requirement that the accounts give a true and fair view which is not a matter considered as part of an independent examination. 

I have no concerns and have come across no other matters in connection with the examination to which attention should be drawn in this report in order to enable a proper understanding of the accounts to be reached.

## **1. ACCOUNTING POLICIES** 

## **Basis of preparing the financial statements** 

The financial statements of the charity, which is a public benefit entity under FRS 102, have been prepared in accordance with the Charities SORP (FRS 102) 'Accounting and Reporting by Charities: Statement of Recommended Practice applicable to charities preparing their accounts in accordance with the Financial Reporting Standard applicable in the UK and Republic of Ireland (FRS 102) (effective 1 January 2019)', Financial Reporting Standard 102 'The Financial Reporting Standard applicable in the UK and Republic of Ireland' and the Charities Act 2011. The financial statements have been prepared under the historical cost convention. 

## **Income** 

All income is recognised in the Statement of Financial Activities once the charity has entitlement to the funds, it is probable that the income will be received and the amount can be measured reliably. 

## **Expenditure** 

Liabilities are recognised as expenditure as soon as there is a legal or constructive obligation committing the charity to that expenditure, it is probable that a transfer of economic benefits will be required in settlement and the amount of the obligation can be measured reliably. Expenditure is accounted for on an accruals basis and has been classified under headings that aggregate all cost related to the category. Where costs cannot be directly attributed to particular headings they have been allocated to activities on a basis consistent with the use of resources. 

## **Taxation** 

The charity is exempt from tax on its charitable activities. 

## **Fund accounting** 

Unrestricted funds can be used in accordance with the charitable objectives at the discretion of the trustees. 

Restricted funds can only be used for particular restricted purposes within the objects of the charity. Restrictions arise when specified by the donor or when funds are raised for particular restricted purposes.
