Gorsley Gofs PTFA Trustee Report 2022- 2023 Financial Year
The object of the organisation is to advance the education of the pupils at the school by providing and assisting in the provision of facilities not normally provided by the Local Education Authority, for the benefit of the pupils. The PTFA is a non- profit organisation which aims to achieve this aim by fundraising whilst also building positive relationships with staff and parents and creating enjoyable experiences for pupils, families and the local community.
The PTFA undertake many activities to fundraise for the school, including Christmas Bazaars, Summer Fetes, Easter Breakfasts, second hand uniform sales and discos. We also run class Cake Sales, the proceeds of each sale are set aside specifically for that class and follow the pupils through school if unspent.
Note from the Chair
Gorsley Goffs PTFA Chair Report for the AGM 19/09/23 The PTFA have had another busy year and have raised a huge amount! Of course, we could not do this without the help and support of the parents, carers, staff and the local community! Thank you! I’ll leave the numbers to the Treasurer’s Report, but all that effort has really paid off! This year we held ‘traditional events’ as well as ‘shaking it up a bit’ with a few new ones. We have been holding regular second-hand uniform sales in the playground, and at events. A decision has been made to make a second-hand uniform sales a fixture on the school calendar; every term there will be a sale in the playground on the first Thursday before clubs start, and after a holiday when the kids have done lots of growing!! This has been a little money earner as well as a service to the school community. The PTFA have invested in a SUMUP machine to enable us to take Q-code and card payments, which opens up more money raising opportunities.! We have continued with the termly discos, with DJ Matt , but due to high attendance levels we have had to split the Autumn and Spring discos into the two Key Stages. This is due to the numbers exceeding those allowed for such as event in the school hall for health and safety reasons; however, due to the Summer disco being held outside this was able to go ahead as a whole school event. Through sales of entry tickets, food, snacks and pocket money items these events have raised a lot of money and everyone has had some fun! We ran our traditional wreath making evening and the Christmas Bazaar and Christmas Raffle, where we welcome members of the local community as well as the school community, in the autumn. The Bazaar has a range of games, activities, food and refreshments stalls, and of course Santa’s Grotto. There was also the present of a PTFA funded book (individually wrapped and named) for each child delivered by Santa himself, and the sale of Christmas cards designed by the children, and don’t forget Name the Polar Bear! Spring term saw the return of the popular Easter Breakfast, where family members can buy a sausage or sausage and egg bap to eat together before the start of the school day. There were also hot cross buns and refreshments available. The amazing Shane of Mountain Warehouse undertook a marathon to raise funds for the PTFA, with the children being sponsored to take approximately 1734 steps around the school playing field. This equated to approximately 52,000 per class, equivalent to the number of steps taken by Shane in his run! The summer term had a new event, a Quirky Quiz, held at Upton Bishop village hall! Many thanks to our amazing quiz master Mark! Great fun was had by all! The PTFA also ran a refreshments stall at Sports Day, and the record-breaking School Fete and Summer Raffle! This year we decided to run it for 3 hours, as it was years ago, and it was a great success, with external stall holders, PTFA stalls, refreshments, activities, a bar and live music! Additional activities that have raised further funds have included the plant stall (kindly accommodated by Gorsley Community Shop) and the return of class cake sales, so that funds can be raised by the class for the

class, and own clothes and wacky hair days. A special mention for the parents and members of the PTFA who put in many hours to paint the boundary fence, bridge and beach hut in the external Acorn area and the Friendship Bench! Thank you so much, it looks amazing!
Note from the Treasurer
The PTFA is a registered charity whose financial year ran from September 2022 to August 2023. The accounts are published to the Charity Commission.
Gorsley Goffs PTFA faced some challenges this year as we transitioned to a new chair and vice chair at the start of the academic year, and treasurer and secretary within a few months. However, we have had a very active year spurred on by the target of raising enough money to resurface part of the playground to allow children to enjoy it all year round. We are very proud to have finished the year with a fantastic £29,607.01 of cleared funds in the account, having already had some outgoings for events to come.
The biggest highlight was of course the Summer Fete which raised an incredible amount of £8457.49.
We held 3 discos which were loved by the children, raising a combined total of £3088.
Our Christmas events included wreath making, the bazaar and the raffle, and were a big success raising just over £2500.
This year saw additional events including the quiz night (£420), Sponsored Marathon (£1837.80) and Fathers Day vouchers (£415.43).
The total amount raised by Charitable activities was £27133.57.
Whilst saving for our big project, we were still able to support the school with our regular contributions including £15 per child (£3150), water coolers (£270), Christmas presents (£252), £500 towards Wye Class residential, £3 per child for the whole school trip (£627). Additionally, we have purchased a portable oven for baking in the classrooms, plus a kitchen trolley and table cloths. We also purchased new goal posts. The total allocation to school has been £6374.39. The PTFA have been very active painting fencing, the friendship bench and beach hut to brighten up the playground to make it an inviting place for pupils.
We are very privileged to have received an extraordinary amount of sponsorship and donations this year (£6295.38). We will be forever grateful to local businesses who have offered monetary donations, consumables, paint and paint brushes.
For the coming financial year, we have allocated the usual £5,500 to school and have also ensured we have a minimum of £1000 in the account to allow planning of events for the following financial year. We have money set aside for Forest School and the Poly Tunnel. We have currently fundraised £19, 069.04 towards the playground resurfacing. We are in the process of getting new quotes for this but are working towards the initial quote of £30,000. We are confident this is achievable with the ongoing support of the school, parents, our children and the wider community and we look forward to seeing the completion of the project next year.

Auditors Report
1. Principle Activity of the Charity
To raise funds by carrying out events such as fetes, bazaars and family evenings to help children at Gorsley Goffs Primary School. All work is done through volunteer work with no paid employees.
2. Check whether the charity is eligible to have an independent examination
I can confirm that Gorsley Goffs PTFA’s income in the year ended 31st August 2023 is in excess of the £25,000 threshold per the Accounting Records on a Receipts and Payments basis, and therefore merits external scrutiny.
3. Check for any conflict of interest that prevents the examiner from carrying out their independent examination
I am independent of Gorsley Goffs PTFA charity within this current financial year. My sister in law (Louise Cole) is Secretary of the PTFA and my niece attends Gorsley Goffs Primary School, but I have no close connection or involvement in the day to day affairs of the charity. I am a member of the Chartered Institute of Management Accountants and am auditing on a volunteer basis.

5. Check that accounting records are kept to the required standard and are consistent with the accounting records

a) I can confirm that a full set of records has been kept for all Receipts and Payments.

b) I can confirm that the bank account movements and full year balance correspond precisely with the management accounts and Trial Balance. The petty cash also corresponds with the accounts and balances at year end.

c) Not all selected invoices were available but those I could see and check reconciled to the accounts

d) Future cashflow has been taken into accounts by the PTFA Treasurer to ensure their immediate future Payments due are not greater than their cash balances and safeguard the PTFA’s charity work to the school.
6. Check the reasonableness of the significant estimates and judgments and accounting policies used in accounting for the types of fund held and in the preparation of the accounts
I confirm that the PTFA operates on a Receipts and Payment basis so no Accruals nor Prepayments are recorded. The PTFA owns no assets of significance and has no outstanding liabilities.

Responsibilites and basis of report
As the charity trustees of the Trust you are responsible for the preparation of the accounts in accordance with the requirements of the Charities Act 2011 (‘the Act’).
I report in respect of my examination of the Trust’s accounts carried out under section 145 of the 2011 Act and in carrying out my examination I have followed all the applicable Directions given by the Charity Commission under section 145(5)(b) of the Act.
Independent examiner’s statement I have completed my examination. I confirm that no material matters have come to my attention in connection with the examination which give me any cause to believe that in any material respect:

Accounting records were not kept in respect of the Trust as required by s130 of the Act

The accounts do not accord with those records

The accounts do not comply with the applicable requirements concerning the form and content of accounts set out in the Charities (Accounts and Reports) Regulations 2008 other than any requirement that the accounts give a ‘true and fair view which is not a matter considered as part of an independent examination.
I have no concerns and have come across no other matters in connection with the examination to which attention should be drawn in this report in order to enable a proper understanding of the accounts to be reached.
