Meeting Closed** The meeting was closed at 19:45. ## **Filey Sea Cadets Annual General Meeting** ## **24[th] October 2024** ## **Chairman’s Report** Good evening and a very warm welcome to every one of you who has taken the time to attend our AGM this evening. Tonight, we are also joined by Emma Walton, our District Chair. Emma will be undertaking the important role of returning officer for the election of trustees to the UMT this evening. Thank you, Emma, for taking on this responsibility, I have no doubt the election will be conducted in good order and without incident. This is now my third AGM since being elected Chairman of Filey Sea Cadets and it continues to be an honour and a privilege to serve in that role. I would like to take this opportunity to thank the rest of the UMT on their continued contribution to the successful running of the unit. Every one of you brings unique experience and perspective, and your contributions on all matters are highly valued, especially on those rare occasions when there is varying opinion on a particular matter. I want you all to know that your efforts are appreciated by myself and our volunteers. I would also like to pay thanks to the CO and XO, along with your staff, for the day-to-day running of the unit. I’m especially proud of the feedback we received once again from parents and cadets following another highly successful Summer Camp this year. It was also nice to see many of our longstanding uniformed volunteers receiving the King’s Coronation Medal in recent days. 2024 is the 40[th] anniversary of Filey Sea Cadets and I look forward to celebrating all that we have achieved together at our mess dinner and awards night later this year. One of the main objectives of the UMT is good financial management of the unit. Not only does the unit require funds to pay the bills. Funds are required to purchase and maintain the equipment needed to offer our young people the very best cadet experience. To give all our cadets an equal opportunity of attending courses and activities, the unit often subsidises these courses in full or part. Like any charity, there are many projects we would like to commit to, but it is the responsibility of the UMT to ensure our funds are being used appropriately and to the maximum benefit of the unit and our cadets. Our current financial position is very good. At October’s monthly UMT meeting, the Treasurer reported a balance of £54,000, a slight reduction on the balance of £63,000 reported at the previous AGM and well above the £10,000 savings buffer we have agreed upon to ensure our financial security. This amount includes £42,000 ringfenced as seed funding for the new building project. 2024 has been another fantastic year for Filey Sea Cadets for our grassroot fundraising efforts. I’m sure our Vice Chair and P&SA Chair, Louise Douglas, will go into more detail on some of the hugely successful fundraising events we have undertaken this year. In terms of project spend, this year we concluded our ‘Power Up Filey Sea Cadets’ fundraising campaign to raise funds to replace the two aging outboard engines for our RIBS, and to purchase a new RigiFlex NewMatic safety boat, more commonly known as the ‘Jaffa’. I’m pleased to say that we have now purchased both new engines and safety boat, which has been especially well received by our volunteers. We have also rekindled our working relationship with Mark Jones of M J Marine who supplied the new equipment. Going forwards, M J Marine will be responsible for the annual servicing of our engines. Unfortunately, due to circumstances beyond our control, our annual accounts for the year ending 2024 have not yet been finalised, and for this reason we will not be able to adopt the accounts today. Instead, we will adjourn the AGM without adoption of the accounts, and an EGM will be held later to adopt the accounts once they have been finalised, audited and approved by the UMT. I would however like to commend our Treasurer Andrew Garside for his continued hard work and diligent bookkeeping, it makes my role so much easier knowing that we have a dependable steward looking after our finances. I’m pleased to say that through the efforts of all our instructional volunteers, we have seen a steady increase in the number of enrolled cadets now totalling 58. Our Junior Section has been so popular that we have reached the limit on the number of cadets we can enrol. Following the success of incorporating 9-year-olds into our Junior Section last year for which we received nationally recognition; this year we opened our new Royal Marines Cadets Detachment, to provide another offering for those young people who may prefer something a little different to the standard Sea Cadets offering. In preparation for the opening of the Royal Marines Cadets Detachment we ran a recruitment campaign for both cadets and volunteers with the successful outcome being the recruitment of six new volunteers. While not all these new volunteers have decided to stay with us, I’m pleased to advise that three of those volunteers are now an integral part of the unit. Despite this initial success with the recruitment of new volunteers, there is still a lot of work to be done and challenges to overcome is the Royal Marines Cadets Detachment is to make it through the initial trial period which will conclude in the latter half of 2025. On our capital project, it remains the ambition of the UMT to replace the current ageing building with a new modern building designed for the purpose of delivering Sea Cadets activities. Last year we submitted our planning application for the proposed new building based designed by our architect Mick Paxton. Unfortunately, our planning application was rejected, principally because the design of the proposed new building was too modern and not in keeping with the local area. We were however fortunate that since our application took so long to be considered, we were eventually issued with a full refund for the planning application fee. It is our intention to submit a revised application in the future once a revised design has been adopted. Finally, I truly believe that with the current leadership and management team we have in place and with the support and efforts of all our volunteers, Filey Sea Cadets can continue to thrive and deliver for the young people of Filey. Steven Hopkinson Chairman Filey Sea Cadets ## **Filey Sea Cadets Annual General Meeting** ## **24[th] October 2024** ## **Parents & Supporter’s Association Chairperson’s Report** Since our last Annual general meeting the Parents and Supporters Association have continued to be proactive in raising funds for Filey Sea Cadets. In December 2023 we welcomed one new member to the team Jo Barber who has enthusiastically thrown herself into the fund-raising activities. I would like to give my continuing thanks to the rest of the committee who have been a great support to me over the year namely; Tricia Garside, Andrew Garside, Diana Shaw, Sarah Frampton, Michelle Sparrow, Sharon Thompson, Carolyn Cammish and Helen Hunter. lend a hand wherever necessary. So, what have we been up to over the past year since our last AGM? On the 28[th] October 2023 we hosted a wedding reception at the Unit for 80 Guests which raised £2,200.00 In December we attended the Rotary Christmas Fair with our win a bottle stall and raised £72.00 In February 2024 Captain Will’s Bar hosted a Pizza and wine night on our behalf which raised £700.00 On 22nd March 2024 we hosted a pie and Pea supper at the unit for Filey Sailing club which made a profit of £405.00 On the 27[th] April we held a Movie Mania night which was a fun night for all the family. This event raised £604.00 On the 10[th] May we hosted the Launch of the Filey Literature festival and raised £250.00 On the 13[th] July we attended the Filey craft fair with a tombola but unfortunately we were rained off so therefore the proceeds from that event were much lower than usual at £47.00 In August one of our committee members received a donation of £50 from a man who wished to remain anonymous. He had however spent an enjoyable few days watching the cadets sailing during their summer camp and wanted to make a contribution to the Unit. On August 23rd we held a Tombola outside the “Boatshed Restaurant“ in town and raised £288.50. Our thanks go to Nick Ingham for allowing us to use the patio at the Boatshed. On September 21st we hosted the 1779 association dinner for the third year running and made a profit of £1445.00 And finally…. Diana Shaw has continued once again to sell second-hand books in her shop on our behalf which has resulted in £620.00 being raised. **So, the grand total from all the aforementioned events is…. £6681.50p** The next event that the P&SA are currently organising is being held on Sunday 1st December. It’s called “Step into Christmas with Filey Sea Cadets“ It’s being held at the Unit from 1pm to 4pm. There will be an admission charge of £2 per adult and £1 per child which includes refreshments. There will be a variety of stalls, entertainment by the children from the Ta Da’nce school of dance and we are hoping to have the choir from Filey Senior school present to perform some Christmas songs. This event will be advertised shortly so, please spread the word and come along and support us. **Finally I have estimated that over the past 10 years the P&SA have raised a grand total of £58,980.72p for Filey Sea cadets** So, well done to all my team and long may we continue. **Filey Sea Cadets Annual General Meeting** ## **24[th] October 2024** ## **Commanding Officer’s Report** Shortly after last year’s RNP, in conjunction with senior UMT members, we assessed the Roles and Responsibilities of all our adult volunteers. After a long discussion we looked to reassign many of these amongst our present Adult Volunteers. Overall, this was well received and most have excelled in their new roles. We will be carrying out a review of these changes and seeing where further changes may be needed. These changes have had a very visible effect on our cadets with more showing interest in courses and an increase on the applications for courses, especially Offshore. Unfortunately, many cadets have not been granted places on their chosen Offshore voyages, but this has not dampened their enthusiasm to try for other voyages. Two of our cadets were luckily selected to take part in the 80th D-Day Anniversary with the Sea Cadets offshore fleet. A fantastic opportunity and one they will remember forever. Following Last year’s Nomination for the Cleverly Award we were delighted to be chosen as the Best Junior section Nationally for 2023. This is a great reflection on the hard work and dedication of our junior’s team under the professional leadership of Petty Office Carol Sinclair. As part of the Captain Sea Cadets visit to present this Award to Filey Sea Cadets, we turned this into a formal presentation evening with Parents and VIPs invited. We also used this opportunity for the formal opening of our RMCD trial. All this was achieved in just two weeks and demonstrates the fantastic team we have at Filey Sea Cadets, from cadets and parents to our Adult Volunteers, UMT and PSA. Our annual unit summer camp week was full again this year with thirty cadets taking part. The result was 907 boating hours and 53 qualifications, again this would not be possible without our adult volunteers giving up their time and holidays to deliver this. We hosted Castleford, for a weekend of coastal boating, and are looking to hold a joint basic quals weekend soon, again hosted by Filey. Finally, we come to this year’s Filey 1779 weekend where we are holding a parade as part of the commemorations. This year is an important year as it is the 245th Anniversary and is being supported by both the Royal Navy and United States Navy. We have helped with this event for the last 4 years and are now an integral part of it. 2029 is the 250th Anniversary and the event will be growing annually, leading up to this. This is the “Waterloo” for the Americans. ## **Filey Sea Cadets Annual General Meeting** ## **24[th] October 2024** ## **Treasurer’s Report** Financial position as of 22/10/24 Total funds: £56980 Breakdown of funds Building project fund: £42000 Donation cadet activity only: £500 Balance of funds: £14480 The running costs of the unit have continued to increase year on year. This been in part due to meeting regulations as laid down by the MSSC. These consist of several factors including; 12 weekly checks on the minibus, 6 monthly fire alarm servicing, intruder alarm servicing. A significant increase has been the cost of electricity as the favourable contract we had expired. This has doubled from around £1,500 to £3,000 per year. The cost of running the unit excluding direct costs of cadet activities is now over £15,000 per year. Income is made up of approximately: Cadet contributions: £6000 Rental income from hall hire: £3000 We are totally dependent on donations and the fundraising efforts of the PSA and unit staff and of course not forgetting the cadets themselves, to fund the deficit of £6000.
