Trustees’ Report of the Pontardulais Agricultural and Horticultural Society
Made at the Annual General Meeting, Wednesday 8[th] March 2023
Mr. Rhys Beynon-Thomas reported on behalf of the Trustees following their recent meeting.
He congratulated everyone on a successful 2022 show adding that not many other show can achieve this .
Recommendations from the Trusttees were put forward to the Committee and explained.
Internet Baking is suggested, Lloyds Bank suggesting the Treasurer, General Secretary and two Trustees to have access to this, the Trustees suggesting Mr. Beynon-Thomas and Mr. Hefin Daniel.
It was noted that the President and Chairman normally step down from their roles in alternate years but, due to Covid and Mr. Hugh Davies taking on the role of Preident pre-lockdown, the Trustees recommend the Chairman remain in place for three shows.
Mr. Ryan Long has resigned as Commercial Secretary, the Trustees recommending the role returns to the General Secretary.
It was felt the use of the security at the show on the gates for the first time proved to be a great success and the Trustees recommend this continues for 2023.10.30
There are no changes suggested for the Craft Tent and Trade stands to encourage people to bring along their stands.
Admission and Membership price have not been changed since the 2018 show so the trustees would like to suggest the following Single Membership raised from £10 to £12 Double Membership raised from £20 to £24 Vice President raised from £25 to £30 Family Membership raised from £25 to £30 Senior Vice President raised from £60 to £75 Sponsorship raised from £70 to a minimum of £100
The Trustees recommend that gate changes are raised to £8 for adults, £3 for children.
Catalogue adverts are to remain at £30 for a half page and £50 for a full page black and white with cover pages to be £70.
Craft tent tables are to remain at £30 with trade stands remaining at £40 for the first 3m, £8 a metre after this being suggested for non-food items.
Due to St. James Vets no longer covering equine or large animal practise, Prostock Vets will cover large animal, suggesting Dyffryn Tywi Vets cover equine with St. James remaining as vets on call for all small animals.
The current accounts are showing the bond has matured and it is suggested £50,000 be reinvested as a one year bond with approximately £30,000 in the current accounts needed to run the show annually.
Mr. Hamer then reported that Swansea Council now want to purchase a further section of the woodland area for the new cycle track.
The points raised by the Trustees were discussed and passed by the Committee.

Ladies and Gentlemen: In accordance with your instruction, I have examined the Receipts and Expenditure Account of the Pontarddulais Agricultural and Horticultural Society, also the Balance Sheets as at 31[st] December 2022 and certify the same to be correct according to the Books, Vouchers and Receipts.
