MINUTES OF THE ANNUAL GENERAL MEETING OF THE 2[ND] LINCOLN SCOUT GROUP HELD ON SUNDAY, 16 JULY, 2023 AT 3.00 PM

It was proposed by John Buckle, and seconded by Drew Hird and agreed unanimously that these Minutes be approved.

GROUP SCOUT LEADER’S REPORT
Christine Hawley the Group Scout Leader gave the following report:-
2[nd] Lincoln continues to be an excellent and thriving Group thanks to the commitment of our Leaders, Adult Helpers and Executive Committee and of course our Beavers, Cubs, Scouts and Young Leaders.
We could, as always, do with more help, so if you can only give a couple of hours a month, please speak with either me or one of the Section Leaders. You will be made most welcome and I think you will enjoy yourself.
Despite rising costs, the subscription for young people remains at £8 per calendar month. This has been the fee, without change, for at least 30 years. The Subscription is the fee payable for being a member of 2[nd] Lincoln and is not linked to attendance. This £8 per month does not cover the annual Capitation fee paid to Scout headquarters for each young person in the Group (latest cost was £54.20 per person after an early payment discount nor the cost of running 2[nd] Lincoln, as can be seen listed in the Treasurer’s Report. Also 2[nd] Lincoln does not charge extra for expenses involved in running Section nights, eg visitors who charge a fee for attending and when we can 2[nd] Lincoln subsidises off-site visits for all Sections. We also have to replace old equipment and buy more equipment, eg tents as the number of young people in the Group increases.
I must add my thanks to the parents who have completed Gift Aid Forms. This raises money, at no cost to parents, which we try to use to benefit our young people. Last year Gift Aid went towards
paying for the coach to take the whole Group to Leicester Space Centre for the day. However, there is a great deal of work involved in claiming Gift Aid and my thanks, once again, go to 2[nd] Lincoln Secretary Di Millns and 2[nd] Lincoln Treasurer Pauline Hird, for making Gift Aid work so successfully.
BEAVERS – Laura Hobday, who was 2[nd] Lincoln Beaver Leader for many years, has taken a step back from the role but thankfully, remains with us and will help when she is needed and is available, my grateful thanks to Laura for her many years of outstanding commitment to 2[nd] Lincoln. Helen McGowan, previously Section Assistant Beavers is now 2[nd] Lincoln Beaver leader. With the help of a very supportive team of adults, she is providing excellent activities and programmes. Welcome and thank you Helen for stepping up to the role.
CUBS – Beth Borman is 2[nd] Lincoln Cub Leader and with her team of adult helpers and Young Leaders, also continues to provide very enjoyable and interesting programmes throughout the year.
SCOUTS – Andy Fenn is 2nd Lincoln Scout Leader and he is assisted by a very experienced team of adults who continue to provide our scouts with excellent activities, eg camping, climbing and walking weekends and attending the recent District Scout Camp at Sudbrooke. I have been informed that throughout the year the scouts have been awarded a total of 167 badges.
At present there are 24 Beavers, 23 Cubs and 28 Scouts registered with 2[nd] Lincoln.
Many thanks from me to all adults and Young Leaders who help with all Sections. Your help is invaluable. You are a great and good influence on 2[nd] Lincoln Beavers, Cubs and Scouts.
Lastly I would like to give my grateful thanks to 2[nd] Lincoln Chairman, Treasurer, Secretary and Phil Jobling, our email co-ordinator and all of the Executive Committee for their invaluable help and support for 2[nd] Lincoln.
TREASURER’S REPORT
Pauline Hird the Group Treasurer had issued copies of the Accounts for the year ended 31 March, 2023 and gave the following report:-
I am happy to report that we have had another financially stable year.
SUBS
Payments are generally more stable than they were in previous years when attendance was affected by Covid. Payment by standing order is preferred rather than counter credit as it provides continuity so that the Treasurer does not have to chase missing payments. I would also request that Parents do not make random payments of odd amounts.
GIFT AID
Gift Aid was £1285.17, a very useful amount for the funds. As always, if you have not signed up for Gift Aid on monthly subscriptions and you are a UK taxpayer, please consider doing so. Forms are available from Section Leaders or can be sent to you by email.
PROPERTY MAINTENANCE
The cost of property maintenance this year was just over £3887.57. This covers grounds maintenance such as grass cutting, hedge trimming, car park clearing totalling £1330 and Tree stump removal totalling £480. Other costs were for window cleaning, plumbing repairs, maintenance of security and fire alarm systems etc.
DONATIONS TO THE GROUP
We received donations of £574.47, which included a very generous donation of £500 from the Secretary’s brother together with donations from Easyfundraising, the online search engine which pays our Group every time you make an online purchase through their site. We also receive a donation from the circuit training group meetings on a Wednesday.
NON-MONETARY ASSETS
The insured valuation of the buildings and contents has risen in line with valuation.
It was proposed by Karen O’Connor and seconded by Lyndsey Bawden that the Accounts for the year ended 31 March, 2023 be accepted and this was agreed unanimously.
