MINUTES OF THE VIRTUAL ANNUAL GENERAL MEETING OF THE 2[ND] LINCOLN SCOUT GROUP HELD ON WEDNESDAY, 14 JULY, 2021 AT 7.30 PM

It was proposed by Phil Jobling and seconded by John Buckle and agreed unanimously that these Minutes be approved.

GROUP SCOUT LEADER’S REPORT
Christine Hawley the Group Scout Leader gave the following report:-
Thank you all for coming to this virtual AGM for 2[nd] Lincoln.
Despite the Covid restrictions 2nd Lincoln has had a busy year.
With the support from Committee Members, Leaders, Young Leaders and parents, scouting in 2[nd] Lincoln has been able to continue, mainly with virtual meetings. This has not been the case for many other Groups.
8 scouts left the group due to being over the age for attending the Scout Section and they have each been encouraged to join a local Explorer Group to enable them to remain in scouting and perhaps, in the future, return to 2[nd] Lincoln as Young Leaders.
A few members from each Section left for a variety of other reasons , one of course being lack of face to face contact each week.
However, numbers in all Sections are recovering well and we are receiving lots of inquiries from new comers to scouting, wishing to join 2[nd] Lincoln.
Two of the outside buildings had badly leaking roofs and they have been repaired and refurbished.
Despite the large amount of money spent on upgrading the buildings, maintenance of the HQ and keeping the site in good condition, so it can be used
to its full capacity, cost of scouting in 2[nd] Lincoln is £8 per month for each young person. Some of this £8 goes towards capitation i.e. the compulsory Scout Insurance for each young person, so there is no extra charge to parents at the end of the year for this additional amount.
Section bank accounts have been closed and now there is just one Group Account, administered by the Treasurer. This involved a great deal of work and my thanks to everyone involved in making this happen.
My thanks to the Leaders, Adult Helpers, Committee Members, parents and all our young people who have supported 2[nd] Lincoln throughout the year and helped to continue to make it such a special Group.

I am pleased to say that Phil Jobling has once again agreed to be the email coordinator for 2[nd] Lincoln. Phil’s help is invaluable to 2[nd] Lincoln.
Kyi Fox, who previously represented the Young Leaders on the Executive Committee, is now an Adult Leader. This means we need a new young leader to represent the other young leaders on the Committee.
TREASURER’S REPORT
Pauline Hird gave the following report:-
TREASURER’S REPORT ANNUAL GENERAL MEETING 14 JULY 2021
I am happy to report that, despite the disruptions to normal scouting, we have had another financially stable year.
Following the necessary move to online payment of all section subscriptions into the Group account we have made a major change in how we operate our accounts. As the GSL reported, at the end of the financial year all section bank accounts were closed, and the money transferred to the Group account and shown as donations.
Each section now has petty cash for minor purchases and all substantial purchases are made through the Group account. This will involve less work for the Leaders and supports the move to sharing equipment between the sections rather than each section purchasing duplicate goods.
SUBS
For some time, discussion has taken place regarding a possible increase in subscription as it has been set at £2 per week for many years. With payment of subs moving to monthly online payments it has been decided to defer any increase on the basis that payments are now £8 per month every month.
GIFT AID
Gift Aid was slightly up again at £1104.57. As always, if you have not signed up for Gift Aid on monthly subscriptions please consider doing so. Forms are available from Sections or can be sent to you by email.
PROPERTY MAINTENANCE
The cost of property maintenance has been high this year at just over £23,000. Most of the outlay has been on the Kitchen Hut with repairs to the roof, new external doors, replacement of some windows and a new kitchen and appliances. The brown metal store has also had repairs to the roof. The ceiling light fittings in the main hall have been replaced to take low energy LED bulbs. The grounds have required regular maintenance in order to provide a safe environment for outdoor scouting activities.
DONATIONS TO THE GROUP
Normal fund raising has not been possible in this financial year. However, we received donations of £250 from Western Power and £509 from Hykeham Lions towards the cost of the Kitchen Hut renovations. Last year’s £1000 donation from the Secretary’s brother-in-law was also allocated to the kitchen hut project. Easy fundraising brought in £39.65.
The £10,000 grant from the Council was also shown as a donation and helped to offset the few months without hire income and subs
NON-MONETARY ASSETS
When the scheduled clear out of the garage store has been completed there is to be a re-evaluation of furniture and equipment for insurance purposes.
It was proposed by Chris Jobling and seconded by Phil Jobling that the accounts for the year ended 31 March 2021 be approved. This was agreed unanimously.
