MINUTES OF THE 7[th] DRONFIELD SCOUT GROUP ANNUAL GENERAL MEETING
HELD ON MONDAY 21[st] JULY 2025 7:30pm
1. Attendance

2. Minutes of Last Annual General Meeting.
The Minutes of the 2024 AGM were approved.

3. Matters Arising.
None.
4. Highlights of the year from all Units
Each unit provided its highlights of the year including reports from Beavers, Cubs, Scouts and Explorers.
Dawn Chater presented the Beavers report with an entertaining screen presentation, Wendy Bungay summarised the Cubs report, again with an on screen presentation, Chris Stevens presented the Scouts report and Mike Bradwell presented the report for Explorers.
5. Financial Report
Phil Bungay sent his apologies but sent a report via Wendy giving a summary of the Group’s financial position. We have streamlined the accounts we hold to simplify their control including amalgamating savings accounts and setting up dedicated account for 10k.
Accounts are yet to be finalised and verified.
6. Subscriptions
Claire Muncey gave a brief update on current Subscriptions. General position is good, some from the Scouts section need chasing up, but generally after chasing up, they respond. Direct Debits is the easiest way to ensure subs are paid on time and no chasing up needed. No concerns generally re subs.
7. General Fundraising
Chris Stevens gave a presentation from the 10k Team - the 10k is the main fundraiser which provides opportunities for camps, equipment etc. We struggled for marshal volunteers this year with the majority coming from either current Group leaders/helpers or friends/family of the 10k committee and
just 7 marshals from current Beaver/Cub/Scout/Explorer parents/family members. Next year’s event will be 26[th] April 2026 so we would encourage support from as many parents as possible.
This last year, we have had various maintenance works carried out such as the new fire door, and in the future there may be more extensive works needed with the building. We’ve purchased more equipment for camps and plan on reinstating the climbing wall in some format.
8. Appointment of the Board of Trustees
Current Trustees formally stood down and were appointed as follows:

David Hicks was re-appointed as Chair for 2025-26

Phil Bungay was re-appointed as Treasurer for 2025-26

As Group Lead Volunteer/Group Scout Leader, Wendy Bungay was automatically appointed as ExOfficio Trustee onto the Board of Trustees

9. Appointment of the Group Leadership Team
The Chair, Treasurer, Group Lead Volunteer together with Section Leaders were appointed as members of the Group Leadership Team as follows:

10. Appointment of Independent Examiner of Accounts
PB (via WB) informed us of the appointment of Collins as our Independent examiner of accounts.
11. The District
David Godwin, District Lead Volunteer, gave a brief presentation around support and volunteering, thanking all the Leaders in 7[th] for their time given to Scouting.
12. A.O.B.
DH thanked everyone for coming, pointing out that parental attendance shows support to the leaders for their time that they volunteer and give for free throughout the year.
WB then gave numerous badge and award presentations to the Cubs in attendance plus 2 medals for commitment to two cubs, who were sadly not present.
Next year:

The Trustee Board is to adopt the Scouts Constitution as outlined in POR at next year’s AGM.

Jo Green stated that after originally planning to step down this current year, she would definitely be stepping down from the Group Leadership Team and as a Trustee next year.

David Hicks stated that his intention is to step down as Chair next year.

Respective responsibilities of trustees and examiners
As the trustecs of 7" Dronfield (Gosforth Vallcy) Scout Group, you are responsible for the preparation of the accounts: you consider that an audit is not required under the Charities Commissions guidelines and that an independent examination is needed.
It is our responsibility to:

e Examine the accounts under section 145 of the 2011 Act:

e To follow the procedures laid down in the General Directions given by the Charity Commission (under section 145(5)(b) of the 2011 Act): and
-
e To state whether particular matters have come to my attention.
Basis of independent examiners” report
Our examination was carried out in accordance with the General Directions given by the Charity Commission. That examination includes a review of the accounting records kept by 7" Dronfield (Gosforth Valley) Scout Group and a comparison of the accounts with those records. It also includes considering any unusual items or disclosures in the accounts and seeking explanations from you as trustees concerning amy such matters. The procedures undertaken do not provide all the evidence that would be required in an audit, and consequently we do not express an audit opimion on the view given by the accounts.
Independent cxammers” statement
In connection with our examination, no matter has come to our attention:

1) which gives us reasonable cause to believe that in any material respect the requirements
-
to keep accounting records in accordance with section 130 of the 2011 Act; and
-
- to prepare accounts which accord with the accounting records and to comply with the requirements of the 2011 Act.

2) to which, in our opinion, attention should be drawn to enable a proper understanding of the account to be reached.
