## **1. Introduction** 

The Annual General Meeting of Montgomeryshire Youth Theatre, held on Tuesday 23[rd] November 2021 at Guilsfield Community Centre elected the following Trustees - 

Jane Howells, Steve Lunt, Angela Corbett, Beki Williams, Suzanne WynneSheppard and Tracy Duncan.  The Trustees are the Management Committee of the Youth Theatre.

## **2.  Objectives** 

The Objectives of the Society (Montgomeryshire Youth Theatre) are as follows: ‘To foster and promote the education of young people, in Welsh and in English, in the appreciation and practice of Drama in all its aspects, and to co-operate with Local Authorities, Educational Institutions and Cultural Societies relating to the practice and presentation and study of Drama in order inter alia to promote better knowledge and more widespread interest in the practice of the performing arts.’ 

In furtherance of these Objectives, during the twelve months which are the subject of this report, Montgomeryshire Youth Theatre has engaged in activities and delivered a programme detailed in subsequent paragraphs. 

## **3. Appointment of Trustees** 

The Management Committee of the Youth Theatre comprises its Trustees (appointed annually at the Annual General Meeting), co-opted members with specific artistic and other skills, and representatives elected by the youth members.  They meet regularly throughout the year, on a quarterly basis, with on-going contact outside these meetings between the Artistic Director and officers/individual management committee members.  New Trustees are apprised of their duties as Trustees, and the governing document and policies are used as points of reference in all decision-making.

2. Amcanion

Mae Amcanion y Gymdeithas (Theatr Ieuenctid Sir Drefaldwyn) fel a ganlyn: ‘Meithrin a hybu addysg pobl ifanc, yn y Gymraeg a’r Saesneg, mewn gwerthfawrogi ac ymarfer Drama yn ei holl agweddau, a chydweithredu ag Awdurdodau Lleol, Sefydliadau Addysgol a Chymdeithasau Diwylliannol sy’n ymwneud ag arfer, cyflwyno ac astudio Drama i hybu gwell gwybodaeth a diddordeb ehangach yn y celfyddydau perfformio, ymhlith pethau eraill.’

Wrth geisio cyflawni’r Amcanion hyn, yn ystod y deuddeg mis y mae’r adroddiad hwn yn eu cwmpasu, mae Theatr Ieuenctid Sir Drefaldwyn wedi darparu rhaglen ac wedi cymryd rhan mewn gweithgareddau y manylir arnyn nhw mewn paragraffau yn nes ymlaen.

3. Penodi Ymddiriedolwyr

Mae Pwyllgor Rheoli’r Theatr Ieuenctid yn cynnwys ei Hymddiriedolwyr (a benodir pob blwyddyn yn y Cyfarfod Cyffredinol Blynyddol), aelodau cyfetholedig â sgiliau artistig penodol a sgiliau eraill, a chynrychiolwyr y mae’r aelodau ifanc yn eu hethol. Maen nhw’n cyfarfod yn rheolaidd drwy gydol y flwyddyn, bob tri mis, a cheir cyswllt parhaus rhwng y Cyfarwyddwr Artistig a’r swyddogion/aelodau unigol o’r pwyllgor rheoli y tu allan i’r cyfarfodydd hyn. Rhoddir gwybod i Ymddiriedolwyr newydd am eu dyletswyddau fel Ymddiriedolwyr, a chyfeirir at y ddogfen lywodraethol a pholisïau wrth wneud

pob penderfyniad.

The Protection of Children and Young People; Disability; Equal Opportunities; Safeguarding; Covid 19 Safety and Mitigation; Guidelines and Procedures for Health and Safety. As part of the induction and/or training of any persons working regularly with the Youth Theatre, the provisions of these policies are made clear, and adherence to them a provision of engagement.

Although it has no written policy for the use of the Welsh language, the Youth Theatre attempts to work bilingually whenever appropriate, with its annual reports and some publicity material published in both languages.

5. Finance and Fundraising

This year the Youth Theatre has been grateful for the financial support of The Llysdinam Trust, Powys County Council, The Gwendoline and Margaret Davies Trust, The Moondance Foundation, Powys County Council Summer of Fun and Powys County Council Winter of Wellbeing funds, The Foyle Foundation, The Yapp Foundation, The National Lottery Community Fund Wales and The D’Oyly Carte Foundation. Again, this financial year we have been unable to generate income from independent fundraising with the exception of the Murder Mystery in July. However, we have been very fortunate to receive Covid 19 relief and project funding from a variety of sources which has enabled us to provide many opportunities for our students. All artists working for the Youth Theatre are paid at agreed professional rates; however, a great deal of voluntary work by members of the management committee and others is essential to the viability of the organisation.

The Youth Theatre has a reserves policy of £2000. An annual budget is agreed at the first committee meeting of each year, and financial reports and updates are presented at each subsequent meeting. Under the Charities Act 2006, now implemented, the ceiling of annual income requiring independent examination has been raised to £25,000. As the Youth Theatre's annual income this year is again higher than this threshold, independent examination is required. However, the annual accounts, presented as part of this report, continue to be compiled (on an income and expenditure basis) as required by the Charity Commission.

6. Organisation and Membership

Thankfully we have been able to return to a more normal pattern of working as the pandemic lessens, and all of our sessions and rehearsals have been able to take place indoors with the careful observation of responsible distancing and hygiene practices in accordance with the youth theatre’s own policies.

The organisation as a whole has also benefitted hugely from its relocation to Guilsfield Community Centre where we now have space for administration and storage. This has enabled us far more freedom to provide a wider variety of creative and social opportunities for our members, which has in turn made MYT a more attractive and viable proposition for funding bodies.

This academic year we had to make the decision to increase our fees to £50 per child per term, however with the massively increased cost of living and other

economic factors we have increased the number of subsidised and free places for those families suffering hardship, and now approximately one third of our membership consists of children from these families. For those students whose families are still able to pay our fees are considerably lower than any comparable organisation, and only possible because of the generosity of volunteers and staff in carrying many hidden costs (such as giving lifts, not claiming for fuel or other expenses and the office space

4. Polisïau ac Arfer

Mae’r Theatr Ieuenctid yn gweithredu’n unol â’r polisïau a ganlyn: Amddiffyn Plant a Phobl Ifanc; Anabledd; Cyfle Cyfartal; Diogelu: Diogelwch a Lliniaru Covid 19; Canllawiau a Gweithdrefnau Iechyd a Diogelwch. Fel rhan o gyfnod ymsefydlu a/neu hyfforddi unrhyw unigolion sy’n gweithio gyda’r Theatr Ieuenctid yn rheolaidd, manylir ar ddarpariaethau’r polisïau hyn, ac mae cydymffurfio â nhw’n amod swydd.

Er nad oes gan y Theatr Ieuenctid bolisi ysgrifenedig ar ddefnyddio’r Gymraeg, mae’n gwneud pob ymdrech i weithio’n ddwyieithog pan fo’n briodol, a chyhoeddir ei hadroddiadau blynyddol, a pheth deunydd cyhoeddusrwydd, yn y ddwy iaith.

5. Cyllid a Chodi Arian

Eleni, mae’r Theatr Ieuenctid wedi bod yn ddiolchgar am gymorth ariannol oddi wrth Ymddiriedolaeth Llysdinam, Cyngor Sir Powys, Ymddiriedolaeth Gwendoline a Margaret Davies, Sefydliad Moondance, Haf o Hwyl Cyngor Sir Powys a Gaeaf Llawn Lles Cyngor Sir Powys, Sefydliad Foyle, Sefydliad Yapp, Cronfa Gymunedol y Loteri Genedlaethol a Sefydliad D’Oyly Carte. Unwaith eto, rydyn ni wedi methu â chynhyrchu incwm o ddigwyddiadau codi arian annibynnol yn y flwyddyn ariannol hon, ar wahân i’r Dirgelwch Llofruddiaeth ym mis Gorffennaf. Fodd bynnag, rydyn ni wedi bod yn ffodus i dderbyn cyllid cymorth Covid 19 a chyllid prosiectau o amrywiaeth o ffynonellau sydd wedi’n galluogi i ddarparu llawer o gyfleoedd ar gyfer ein myfyrwyr. Mae pob artist sy’n gweithio i’r Theatr Ieuenctid yn cael ei dalu ar gyfraddau proffesiynol y cytunir arnyn nhw. 6. Trefniadaeth ac Aelodaeth

Diolch i’r drefn, rydyn ni wedi gallu dychwelyd yn ôl at batrwm mwy arferol o weithio fel y mae’r pandemig yn lleihau, ac mae wedi bod yn bosibl cynnal ein sesiynau a’n hymarferion ni i gyd dan do wrth i ni gadw at yr arferion hylendid a chadw pellter cyfrifol yn ofalus, yn unol â pholisi’r theatr ieuenctid.

Mae’r sefydliad cyfan hefyd wedi cael budd mawr o adleoli i Ganolfan Gymunedol Cegidfa lle mae yna ddigon o le ar gyfer gweinyddu a storio. Mae hyn wedi rhoi llawer mwy o ryddid i ni fedru darparu amrywiaeth ehangach o gyfleoedd creadigol a chymdeithasol ar gyfer ein haelodau sydd, yn ei dro, wedi gwneud Theatr Ieuenctid Sir Drefaldwyn yn fenter fwy deniadol a dichonol ar gyfer cyrff cyllido.

Y flwyddyn academaidd hon, rydyn ni wedi penderfynu cynyddu ein ffioedd i £50 y plentyn y tymor. Fodd bynnag, gyda chostau byw wedi cynyddu’n ddifrifol ac oherwydd ffactorau economaidd eraill rydyn ni wedi cynyddu nifer y lleoedd sydd am ddim ac wedi’u sybsideiddio ar gyfer y teuluoedd hynny sy’n cael amser caled ac, erbyn hyn, mae tua thraean ein haelodaeth yn cynnwys plant o’r teuluoedd hyn. Ar gyfer y myfyrwyr hynny y mae eu teuluoedd yn dal i allu talu, mae ein ffioedd ni dipyn yn is nag unrhyw sefydliad tebyg, a dydy hyn ddim ond yn bosibl oherwydd haelioni ein gwirfoddolwyr a staff sy’n cario dipyn o’r costau cudd (fel rhoi lifftiau, ddim yn hawlio am danwydd

provision etc).

7. Staffing and Volunteers

The Youth Theatre was fortunate to have retained the services of Penny Jones who worked regularly on a freelance basis as workshop leader and director for the Intermediate and Senior groups. Harry Evans is now firmly entrenched as technical director and website administrator – we have discovered that Harry is a man of very many talents, and he also undertakes our PAT testing and various other non-performance duties, and our thanks are once again due to Harry for his dedication and professionalism. We are also very lucky to have been able to continue to use the services of Abi Johns who is also increasingly involved with the organisation as Assistant Director and Workshop Leader of the Juniors on a freelance basis. Abi and Harry have been involved with every single project that the youth theatre has delivered this year and have played a major part in their popularity and success.

An important contribution to the work of the Youth Theatre is made by volunteers: Management Committee members and some parents provide invaluable front-of-house support during productions: some senior members assist in the work of other groups and projects; The high level of voluntary assistance not only enables the Youth Theatre to function by providing a wide range of experiences for its members, but also keeps down running costs and frees up staff members to concentrate on other matters.

8. Workshop Programme

Due to the increased flexibility of our venue and the increased funding we have received, we have been able to offer workshops on Tuesday evenings and Saturday mornings. We hold approximately 10 to 12 weekly workshops each term (depending on dates and the other commitments of our members etc) and every single half-term and holiday we have run projects which are free to attend.

9. Productions, Performances, and other events The Senior group finally managed to perform ‘Fairytale Ending’ at Berriew this year (having had to cancel in 2020 due to Covid) in the One Act Play Festival. I’m very pleased to report that MYT once again won the Best Youth Production prize, and once again Reid Corbett came away with the prize for Best Young Actor. We were all incredibly pleased with our success and had a great deal of fun working on and performing the production.

Once again we put on a Murder Mystery Fundraising evening in July which was great fun and a huge success. Entitled ‘Déjà vu’ it was set in a haunted mansion and told the story of a family arriving in their new home and having to deal with the unpredictable, longstanding tenants!

Powys County Council awarded us funding in their Winter of Wellbeing fund and we put on a week long series of workshops which culminated in ‘Circus Maximus’. Many thanks to Catherine Williams for her input as professional artist – the project offered many other creative opportunities beside drama, including music, mime, movement, art, set construction and puppetry. Powys County Council also awarded us funding from their Summer of Fun budget to put on a two day workshop entitled ‘Magic Carpet Ride’. This was a tour of the world’s continents and involved much dressing up and exploration of different, exciting parts of the world. We were incredibly lucky to receive funding from The Moondance Foundation to provide a two week summer school and once again this involved many different creative opportunities to the young participants. This project was led by Abi Johns and Harry Evans and resulted in a performance

entitled ‘Full Steam Ahead’. All of our projects were provided absolutely free of charge to all participants thanks to the generous funding we received from the organisations acknowledged on the cover page, and we are incredibly grateful that we are able to help the children of local families who are struggling financially to participate in such a variety of fun and educational opportunities. Finally, we have received a large grant from National Lottery Community Fund Wales to project

7. Staffio a Gwirfoddolwyr

Roedd y Theatr Ieuenctid yn ffodus i gadw gwasanaethau Penny Jones, fu’n gweithio’n rheolaidd ar ei liwt ei hun fel arweinydd gweithdai a chyfarwyddwr ar gyfer y grwpiau Canolradd a Hŷn. Mae Harry Evans bellach wedi hen sefydlu ei hun fel cyfarwyddwr technegol a gweinyddwr gwefan – rydyn ni wedi darganfod bod Harry yn ddyn amryddawn iawn, ac mae hefyd yn ymgymryd â gwneud ein Profion Dyfeisiau Cludadwy a nifer o ddyletswyddau amrywiol nad ydyn nhw’n ymwneud â pherfformio, ac mae Harry unwaith eto’n haeddu ein diolch am ei ymroddiad a’i broffesiynoldeb. Rydyn ni hefyd yn ffodus iawn i fod wedi gallu parhau i ddefnyddio gwasanaethau Abi Johns sydd hefyd wedi dod i chwarae rhan fwy yn y sefydliad fel Cyfarwyddwr Cynorthwyol ac Arweinydd Gweithdai’r grŵp Iau, yn gweithio ar ei liwt ei hun. Mae Abi a Harry wedi bod yn rhan o bob un prosiect y mae’r theatr ieuenctid wedi’i gyflwyno eleni ac wedi chwarae rhan fawr yn eu poblogrwydd a’u llwyddiant.

Mae gwirfoddolwyr yn gwneud cyfraniad pwysig at waith y Theatr Ieuenctid: mae aelodau’r Pwyllgor Rheoli a rhai rhieni’n darparu cymorth blaen tŷ gwerthfawr yn ystod cynyrchiadau; bu rhai o’r aelodau hŷn yn cynorthwyo â gwaith grwpiau a phrosiectau eraill; mae graddau helaeth y cymorth gwirfoddol yn galluogi’r Theatr Ieuenctid i weithredu trwy ddarparu ystod eang o brofiadau i’w haelodau, ac mae hefyd yn cadw costau rhedeg yn is ac yn rhyddhau aelodau o’r staff i ganolbwyntio ar faterion eraill.

8. Rhaglen Gweithdai

Oherwydd bod mwy o hyblygrwydd o ran ein man cyfarfod a’n bod wedi derbyn mwy o gyllid, rydyn ni wedi gallu cynnig gweithdai ar nos Fawrth ac ar fore Sadwrn. Rydyn ni’n cynnal tua 10 i 12 gweithdy wythnosol bob tymor (gan ddibynnu ar ddyddiadau ac ymrwymiadau eraill ein haelodau ac ati) ac rydyn ni wedi rhedeg prosiectau bob hanner tymor a gwyliau y gellir eu mynychu am ddim.

9. Cynyrchiadau, Perfformiadau a digwyddiadau eraill Llwyddodd y grŵp Hŷn i berfformio ‘Fairytale Ending’ yn Aberriw yn yr Ŵyl Ddrama Un Act o’r diwedd eleni (ar ôl gorfod canslo yn 2020 oherwydd Covid). Rydw i’n falch iawn o allu dweud bod Theatr Ieuenctid Sir Drefaldwyn unwaith eto wedi ennill y wobr am y Cynhyrchiad Ieuenctid Gorau, a bod Reid Corbett unwaith eto wedi derbyn y wobr am yr Actor Ifanc Gorau. Roedden ni i gyd wrth ein boddau â’n llwyddiant ac wedi cael llawer o hwyl yn paratoi ac yn perfformio’r cynhyrchiad.

Unwaith eto, cafwyd noson Codi Arian Dirgelwch Llofruddiaeth ym mis Gorffennaf a oedd yn gryn hwyl ac yn llwyddiant mawr. Mae’r ddrama o’r enw ‘Déjà vu’ wedi’i gosod mewn plasty sydd ag ysbrydion ac mae’n adrodd stori teulu yn cyrraedd eu cartref newydd ac yn gorfod delio â’r tenantiaid sydd yno ers amser maith heb syniad sut fyddan nhw’n ymddwyn.

Gwnaeth Cyngor Sir Powys roi arian i ni o’u cronfa Gaeaf Llawn Lles ac fe gynhalion ni gyfres o weithdai am wythnos, yn gorffen â ‘Circus Maximus’. Diolch o galon i Catherine Williams am ei chyfraniad fel artist proffesiynol – roedd y prosiect yn cynnig llawer o gyfleoedd creadigol eraill ar wahân i ddrama, gan gynnwys cerddoriaeth, meim, symud, celf, adeiladu set a phypedwaith. Gwnaeth Cyngor Sir Powys roi arian i ni hefyd o’u cyllid Haf o Hwyl i gynnal gweithdy deuddydd o’r enw ‘Magic Carpet Ride’. ddarparu ysgol haf am bythefnos ac unwaith eto roedd hyn yn cynnwys llawer o gyfleoedd creadigol gwahanol i’r bobl ifanc oedd yn cymryd rhan. Abi Johns a Harry Evans oedd yn arwain y prosiect hwn a’i anterth oedd perfformiad o’r enw ‘Full Steam Ahead’. Darparwyd ein holl brosiectau yn gwbl rhad ac am ddim i bawb oedd yn cymryd rhan, diolch i’r arian hael a ddaeth oddi wrth y sefydliadau a gafodd eu cydnabod ar y clawr, ac rydyn ni’n hynod ddiolchgar ein bod yn gallu helpu plant o deuluoedd lleol sy’n ei chael hi’n ariannol anodd i gymryd rhan mewn cyfleoedd difyr ac addysgol mor amrywiol.

manage a ‘community pantomime’ this Christmas. We will be collaborating with other user groups of the Community Centre including the Guilsfield Amateur Dramatic Society, Llanfyllin High School, Young Farmers and Guilsfield Primary School (as well as all three youth theatre groups) on a version of ‘Cinderella’. Once again, this will be provided completely free of charge to audiences over four performances, and will even include free refreshments! The inaugural meeting was held in the middle of August so this project is in its infancy, but we’re already looking forward to experiencing community, collaborative working, and you’ll have to catch up with the details next year!

10. Collaborations, Publicity and Networking

Due to its longevity, the youth theatre has built up over the years not only an enviable reputation (it is considered a major youth arts provider for North Powys by the Arts and Culture Department of Powys County Council). We were also very excited and pleased to be asked to partner Celf-Able (disabled adult artists charity) with their Earth Art project which took place for the first six months of the year. The collaboration took us in a completely new direction and has added to the experience and skills of some of our members.

With the advent and progress of technology, and the help and expertise of staff and volunteers, we now have several social media platforms from which to promote the organisation. This includes Instagram, Facebook Twitter, and a regularly updated website (www.montgomeryshireyouththeatre.co.uk) and business cards with a QR code that will take you through to the website when scanned on a phone.

11. Conclusion

This report comes at the end of a very productive year for MYT, with so many exciting new events and experiences for our members to enjoy. Our aim for the next twelve months is to continue to look for funding to provide these opportunities for our community in general and our members in particular, so that we can keep engaging our young people with each other and with the arts in a positive, fun and productive way.

Yn olaf, rydyn ni wedi derbyn grant mawr oddi wrth Gronfa Gymunedol Loteri Genedlaethol Cymru i reoli prosiect ‘pantomeim cymunedol’ y Nadolig hwn. Fe fyddwn ni’n cydweithio â grwpiau eraill sy’n defnyddio’r Ganolfan Gymunedol, gan gynnwys Cymdeithas Ddrama Amatur Cegidfa, Ysgol Uwchradd Llanfyllin, Ffermwyr Ifanc ac Ysgol Gynradd Cegidfa (yn ogystal â thri grŵp y theatr ieuenctid) ar fersiwn o ‘Sinderela’. Unwaith eto, fe fydd hyn yn cael ei ddarparu’n gwbl rhad ac am ddim i gynulleidfaoedd dros bedwar perfformiad, ac fe fydd hyd yn oed yn cynnwys lluniaeth am ddim! Cynhaliwyd y cyfarfod agoriadol ganol mis Awst felly mae’r prosiect hwn yn ei fabandod, ond rydyn ni eisoes yn edrych ymlaen at gydweithio cymunedol ac fe fydd yn rhaid ichi gael y manylion diweddaraf y flwyddyn nesaf!

10. Cydweithrediadau, Cyhoeddusrwydd a Rhwydweithio

Gan fod y theatr ieuenctid yn hirhoedlog, mae wedi meithrin enw da i’w chwennych dros y blynyddoedd (mae Adran y Celfyddydau a Diwylliant Cyngor Sir Powys o’r farn ei bod yn ddarparwr celfyddydau ieuenctid o bwys ar gyfer Gogledd Powys). Roedden ni hefyd llawn cyffro ac wrth ein boddau o gael ein gofyn i fod yn bartneriaid i Celf-Able (elusen ar gyfer oedolion anabl sy’n artistiaid) gyda’u prosiect Earth Art a ddigwyddodd yn ystod chwe mis cyntaf y flwyddyn. Aeth y cydweithio â ni i gyfeiriad hollol newydd ac mae wedi ychwanegu at brofiad a sgiliau rhai o’n haelodau.

Gyda dyfodiad a datblygiad technoleg, a chymorth ac arbenigedd y staff a gwirfoddolwyr, mae gennyn ni nawr nifer o blatfformau cyfryngau cymdeithasol lle y gallwn ni hybu’r sefydliad. Mae’r rhain yn cynnwys Instagram, Facebook, Twitter, a gwefan sy’n cael ei diweddaru’n rheolaidd

11. Casgliad

Daw’r adroddiad hwn ar ddiwedd blwyddyn hynod gynhyrchiol i Theatr Ieuenctid Sir Drefaldwyn, gyda chymaint o ddigwyddiadau a phrofiadau newydd cyffrous i’n haelodau eu mwynhau. Ein nod ar gyfer y deuddeg mis nesaf ydy parhau i edrych am gyllid i ddarparu’r cyfleoedd hyn ar gyfer ein cymuned yn gyffredinol a’n haelodau ni yn benodol, fel ein bod yn gallu parhau i gysylltu ein pobl ifanc â’i gilydd ac â’r celfyddydau mewn ffordd gadarnhaol, ddifyr a chynhyrchiol.

Independent examiner’s report to the trustees of Montgomery Youth Theatre. I report to the trustees on my examination of the accounts of the Montgomery Youth Theatre for the year ended 31[st] August 2022. Responsibilities and basis of report as the charity trustees of the Trust you are responsible for the preparation of the accounts in accordance with the requirements of the Charities Act 2011 (‘the Act’).

I report in respect of my examination of the Trust’s accounts carried out under section 145 of the 2011 Act and in carrying out my examination I have followed all the applicable Directions given by the Charity Commission under section 145(5)(b) of the Act.

Independent examiner’s statement I have completed my examination. I confirm that no material matters have come to my attention in connection with the examination and that Accounting records have been kept in respect of the Trust as required by section 130 of the Act.

I have no concerns and have come across no other matters in connection with the examination to which attention should be drawn in this report in order to enable a proper understanding of the accounts to be reached.
