Report of the Trustees for the Year Ended 31st July 2023

The trustees present their report with the financial statements of the charity for the year ended 31 July 2023.

OBJECTIVES AND ACTIVITIES Objectives and aims

1) To advance the musical education of West Mercia Police and the British Police Services; Il} To promote the efficiency of the force through greater contact with the public and to uphold the force's mission statement - serving, protecting, making the difference; and Ill} To benefit one or more charitable organisations, societies, institutions, their purpose or objects determined by the general committee of the choir.

Significant activities

Hereford Police Male Choir over six decades has built a reputation for quality singing and all-round good entertainment. That's why the Choir is in big demand across the region, singing in churches, village halls, garden parties and weddings. It is estimated the choir has, over the years, helped concert organisers raise £1m for charities.

Public benefit

The trustees confirm that they complied with the duty in section 17(5) of the Charities Act 2011 to have due regard to guidance published by the Charity Commission on public benefit when reviewing the charity's aims and objectives and in planning future activities.

ACHIEVEMENT AND PERFORMANCE

Main Achievements

Benefiting charitable organisations, societies, institutions: The choir have donated a total of £1948.72 this financial year to the following causes:

  1. Marches Family Network £506

  2. Syria-Turkey Earthquake appeal £380

  3. MS Society £1037.72

To advance musical education:

Young Musicians Bursary:

The award was established by the choir to foster a love of music amongst young people and to help them achieve their own musical ambitions. It is open to anyone, aged 14 to 21, living in Herefordshire or Worcestershire. 2022 winner was Joshua Graesser winning £1000 and runners up also receiving financial assistance.

Performing for local communities including:

  1. St Michaels Hospice Christmas lights Dec 2022.

  2. ABF concert in Hereford Cathedral (Army Benevolant fund) Dec 2022

  3. Pop up event in Hereford city centre raising funds for Syria / Turkey earthquake. 2023

  4. Concert at Earl Mortimer college community theatre. 2023

  5. St Georges Day concert with guest choir. 2023

  6. St Davids Day concert with guest choir. 2023

  7. Annual concert with guest choir.

  8. Numerous events within local care homes supporting residents living with dementia.

  9. Bidding farewell via a 'pop up street concert’ to a retiring chorister due to ill health.

FINANCIAL REVIEW

Financial position This financial year has been the first year since 2018/19 we have madea profit. No doubt this has been to the combined efforts of everyone ranging from our media & comms efforts, the ladies’ section being reinvigorated and diversifying our performance venues.

We increased our member subscriptions in an effort to boost funds which has also played its part. We are still ‘cheap’ when comparing ourselves to other choirs locally and regionally, but we have been lucky to see our membership grow following the sad collapse of some other choirs due to Covid.

Whilst we have not generated the income we did over the previous financial year; we have reduced the expenditure significantly. Subs, chorister donations, ticket and CD sales saw an improvement on the last financial year and the Six Nations sawa total of £428 donated. Our patron donations saw a decrease from £210 to £165 this financial year so this is an area that needs review and improvement.

Expenditure decreased in areas of room hire, chorister expenses, printing & stationary, music and IT / website. As always, some fixed items remain such as bank charges & insurance.

Following the suggestion of investment opportunities and the meeting with a wealth management company, we have not progressed with any decision as to investing or remaining as we are. We have the ability to place some funds into a mid - long term investment for future financial health or we can continue to maintain our balance within the HSBC general account.

The next Gift Aid submissions to be completed will be for financial years 2021-2022 and 2022-2023.

Reserves policy

The Charity continues to engage with a variety of musical festivals and events both locally and further afield. In 2022 the choir first participated in The Cornish Festival of Male Voice Choirs and is held every 2 years. This allows the choir to participate alongside other UK and international choirs either competitively or to gain experience. These events incur considerable costs such as accommodation & travel alongside the usual music, equipment & uniform costs. The reserves policy allows the choir to subsidise some of these costs ensuring that as many members as possible have the opportunity to participate and continue to raise funds for their supported causes. The strategy agreed by the Trustees is to maintain an unrestricted reserve fund equivalent to approximately 18 months’ expenditure. The charity's general unrestricted reserves was £26,332 as at 31 July 2023 (2022: £17,274), representing approximately 16 months of unrestricted expenditure. The stated strategy has therefore been achieved this year.

Responsibilities and basis of report

As the charity trustees of the Trust you are responsible for the preparation of the accounts in accordance with the requirements of the Charities Act 2011 (‘the Act’).
