AGM February 2023 Chairs report

Hi everyone, sincere thanks to all of the committee and the volunteers who have supported our work during the past year. It has been very busy.

Not to single anyone out but I would like to thank Sarah for her diligence in her role as secretary and Sue Fisher for her efficient maintenance of our finances, Chris, Lucy and Nick for their work on the fun day, David and Joyce for being Face Book Admin, Lucy for producing the newsletters and John for project managing maintenance work.

There have been no appointments or resignations from the committee.

We have developed and adopted a child protection policy, an activity calender, a task profile. In the 9 months we have been using the calender we have recorded that we have welcomed 128 people to the village hall for events.

I feel that I can speak for all of us in saying that we all remain motivated by wanting our village to be as good as it can be and that we take our responsibilities as Trustees and volunteers seriously and will continue to work hard on its behalf.

Throughout this busy year the committee has continued to regularly meet and carry out our responsibilities by ensuring the sustainability of the Trust and responsibly managing our finances and systems that have enabled us to offer a safe and welcoming village resource and a wide variety of community activities. All paperwork has been submitted to the Charity Commission on time

Village Hall maintenance has been ongoing. The exterior windows and doors have been painted. The decking has been treated. With support from Breedons we have begun the task of updating the electrics to LED enabling a more efficient and cost effective approach. We have also re installed the flag pole and had lighting installed that will light up the decking.

The hall has continued to be used for on going and one off community activities and Parish Council meetings. We have had

regular bookings from Yorkshire Adoption Society, who have given us very positive feedback about their use of the hall. We now have a volunteer who now opens and closes the hall after events. Volunteers have also supported:

• Refreshments at events

• Activities at the Fun Day

• Maintenance work

• Maintaining the garden and baskets around the hall

Thanks to our partners Breedon's, the Parish Council, our Ward Councillors and to our community volunteers.

Activity throughout the year has seen us:

• Continuing to develop and maintain working partnerships for the benefit of our community.

• Maintain our relationships with the community and Increasing the number of people involved in the work of the Trust

• Continue to work with the Parish Council to “sort out the telephone box”

• Produce and deliver newsletters to every house in Stainton, Wilsic and Lambcote

• Discontinue the regular coffee mornings and host a number of Saturday coffee mornings. Host the Macmillan Coffee that raised £126 and was attended by 20 people. The community donated the cakes for the event

• Introduce an additional evening Yoga session and purchase yoga mats for extra insulation

• Purchase a book case for the hall

• Purchase bunting to be used in all public areas to celebrate the Queens jubilee

• Purchase bulbs to be planted in the public areas of the village

• Increase the number of people taking advantage of the 100 club

• Host 6 week craft class Oct – Dec that was regularly attended by 6

• Support the work of the volunteers who have begun the clearing the pond

• Fund a second community fun day that built on the success of last year. This year offered more activities for all ages and abilities. Approx 125 people joined in the activities that included the annual rounders match.

• Fund and host a Halloween open House.

• Fund Maltby Brass band Christmas Carol sing-along and provide refreshments

• In partnership with St Winifred's church marketing and hosting a number of events and offering refreshments in the hall: - Easter Egg hunt and church service Mothering Sunday service and presentation of flowers to

women

Planned church events:

• Harvest Festival service – we collected donations of food from the village and donated to Maltby Food bank -Armistice day and Remembrance Day service and wreath laying, 5 young people from the parish read out the names of the 5 young men that died in WW1 - Christingle service

We don’t want to be sitting still, we want to build on the committent and momentum that we have. Our future plans include:

• Investigating insulation for the hall to improve efficiency

• Develop more polices and task profiles

• Increasing our marketing of the village hall to external agencies, but in light of the increasing energy costs we will need to increase our hourly rate.

• Continuing to encourage members of all ages and abilities in our community to engage with the Trust, become volunteers,

attend and support activities and make their views and ideas known

• Continue to host occasional “Meet your neighbour” coffee mornings and fund raising coffee mornings

• Continuing to maintain the upkeep of the hall by completing the lighting overhaul, decorating the interior of the hall, carrying out remedial work and placing seating on the decking, sourcing curtains to help with insulation

• Changing our bank account so that we can use internet banking

• Continue our work with the Parish Council to repair and repurpose the telephone box

• Fund and host annual fun day and rounders match

• Continuing to deliver a range of activities that will engage all ages and abilities, including joint events with the Parish council, community members and the church

We encourage people to get involved with the work of the Trust, speak to us, come to our meetings, talk to us about becoming a volunteer and help us plan and deliver activities. Stainton is a great Village. But we do need your help
