## **ANNUAL REPORT TO THE TRUSTEES** 

## **Year ending 31 March 2022** 

The Trustees met on thirteen  occasions in zoom meetings because of COVID 19 constraints.  Similarly the three sub – groups created in July, Gelliwig Management, Finance and Lettings, Marketing and Fund-raising all held meetings using zoom technology. Reports from these groups were presented to Trustee meetings during the year. 

For the second year running it has been impossible to fulfil the public benefit requirement of the Charity because of COVID constraints  and the refurbishment work has taken much longer than anticipated . It was not complete at the end of the financial Year. 

The Trustees are determined to address these issues and are confident that they will once again be able to deliver public benefit specifically to the students of Colton hills School and generally to the wider 

community groups looking for an accessible, affordable  residential facility. Groups of Refugees and Asylum Seekers as well as Special Schools are eager to return. 

## **Trustees** 

It was with sadness that we received the resignation of Nita Patel for personal reasons. Nita had contributed so much in her short time as a Trustee and we respect her decision. 

Tamika Grundy was approached to become a Trustee but was unable to commit at the time of asking. **Gelliwig** 

At the start of the year Mark Twynam continued to manage the project on our behalf. He liaised with Alan Jones, the Builder, Rodney Morgan , the plumber, Paul Filby, the electrician and Carwyn Rowlands,  the decorator as the three main traders.  Mark regarded Alan as the co-ordinator on our behalf. 

The work around the upgrading of Gelliwig continued, with Andy Morris and his Team at Right Track monitoring the development and 

It was agreed to replace both the boilers and this would remove the necessity of a cold water tank in the loft as well as giving greater efficiency. 

Work on the kitchen was done by Caterlink under the direction of Tony Shepherd.

Visits to view Gelliwig were undertaken by local Mencap representatives, the Wolves Foundation and Mencap with Andy Morris and Mark Twynam in attendance on both occasions. 

One unforeseen problem was the water flowing down from a spring in the land at the side of the house. This was addressed by the laying of a new drain and collecting tank. 

## **General** 

A Lettings Policy was drawn up by Paula Davies and the Finance and Lettings sub-group. Charges were agreed for the different user groups and numbers in group. 

Initial work on the upgrading of the web-site was done by Jackie Sherlock but work was delayed when Jackie left the staff of Colton Hills 

Mark produced drawings of properties that could possibly be built at the rear of Gelliwig that would generate income for phase 2.  The Trustees agreed in principle to this development but the phase 1 work took priority during the year. 

Rob Morrison presented a feasible Business Plan to the Trustees and explored funding possibilities including loans from Charity Banks.  The offers od loans were not within the reach of the Charity and this slowed progress down. 

Our 41[st] event with Todd Miller and the Joe Loss Orchestra at Wombourne Civic Centre on Friday 19 Novemeber 2022.  It was organised through Colton Hills School liaising with Dianne McGarry and Bob Cheetham. A buffet meal was provided by Jenny’s Kitchen and it was considered to be a most successful evening with almost £2,090 raised by the School. 

## **Finance and Funding** 

The Treasurer presented data at meetings of the amount of money spent on the Gelliwig Development Project and it became clear that we were going to have to exceed the budget in order to address the cost of the decisions taken by the Trustees to improve the quality of the Phase 1 provision such as the replacement of showers , kitchen improvements and new floors. 

September the Charity Walk for Peace in memory of those who had died of COVID took place at the National Memorial Arboretum and we remembered Geeta Devi Kalsi, sister of our Secretary Jeet and a great supporter of this Charity.  Over £10,000 has been recieved in donations  since this was launched. 

The Trustees were represented by Deputy Chair Chris Allcock and Secretary Jeet Kumar at the Regional Presentation of the Queen’s Award For Voluntary Service held at the Birmingham Hippodrone in October. They were seen on Midlands Today with the Award being presented by Her Majesty the Queen’s Lord – Lieutenant of the West Midlands Mr John Crabtree OBE. 

Through the negotiations by Andy Morris the Charity benefited greatly when the Charity KAA disbanded.  A yacht, canoes and other equipment were donated to the BTMF in addition to £5000 to sponsor students from Special Schools as well as a £10,000 donation to our own funds at a critical time. 

Rightrack also took bedding and furniture acquired at different times during the year. Through the approach from Mark Twynam and the Chairman a Cabin was donated by Wernick events through the initiative of Jonathan Wernick the CEO of Wernick Group Ltd. Jonathan’s Uncle , the late Joe Wernick was a Patron of the Charity in 1981. 

The Marketing and Fund-raising sub-group had several zoom meetings with wide-ranging discussions covering topics such as COVID compliance,, web-site communication, Insurance, outside catering, external providers of activities, marketing and advertising, land development at the rear of the property and mission

and values documents.  All of these were shared with Trustees and acted upon as far as the Charity was able to notwithstanding the major task of completing the refurbishment. 

Although several applications for funding met with negative responses over £40,000 was received during the year in grants and donations. 

The contribution of Mark Twynam, former Colton Hills student and Managing Director of BenchMark Design, who as a volunteer has managed the huge refurbishment ,has been one more greatly appreciated by the Trustees. 

The Trust is greatly indebted to Paula Davies, Karen Fletcher and Michael Denley for their voluntary work in the keeping, preparation and auditing of accounts for the year. 

The services of Joe Gaffey continue to benefit  the Charity.  With his daily check and his liaison work with the people working at Gelliwig we have been very fortunate. 

At the financial year end there was a balance of £   12,263     with some spent on Phase 1 of the Gelliwig Development Project added to the fixed assets. 

I am extremely indebted to my colleagues and friends who serve as Trustees for their commitment and loyal support without which this voluntary Charity would not be able to function.  They have been the bedrock justly recognised in Queen’s Award for Voluntary Service.
