Minutes of the Annual General Meeting

Chairman’s Report:

The Chairman opened his remarks by thanking members of the Committee for their work and support in the past year.

The Chairman stated that the during 2024/5 a number of key tasks had been undertaken including re-decoration of the interior and the fitting of new blinds. This has been a major undertaking with special thanks to Mike and Judith. There had also been a process of reviewing the administrative processes to ensure that all relevant paper work was auditable. This work is nearing completion and has generated the need to update a number of policies including the Fire Risk Assessment policy. This would be discussed in more detail in the regular management meetings. In addition to this work there is a need to continue to ensure that the financial position is kept under review.

The Chairman also spoke about the work that had been undertaken to address the resilience of the Committee by seeking to recruit new member. This work had supported by South Ribbke Borough Council and Longton Parish Council and had resulted in a new member, Paul Blackett, joining the Committee.

The Chairman commented that 2024/5 had been busy but successful year. In the coming year there would be a number of key issues to address, e.g. Martyn’s Law. The Chairman closed by again thanking the Committee for their help and support.

Treasurer’s Report: The accounts were circulated and discussed. They had been certified by Bill Alston (auditor). Julie addressed the key areas pointing out that there had been major expenditure relating to decoration which had been met from the current account and a number of small grants. After a brief discussion Margaret proposed accepting the accounts, and John seconded. The accounts were approved unanimously. Letter of thanks to be sent to Bill. The Committee expressed its thanks to Julie.

Review of hire charges/wages

After a brief discussion it was agreed that the hire charges, set in 2022, would remain unchanged but kept under review. To assist with this process Judith agreed to obtain details of hire charges at other village halls.

Julie briefed the meeting on the changes to the national minimum wage and after a discussion Pam’s remuneration was agreed.

The following were elected as Trustees:

Bernard Kershaw, Margaret Kearns, Julie Sharples, David Hodgkinson, John Boulton, Jean Rigby, Alison Johnson, Judith Kay and Paul Blackett (agreed prior to meeting). It was noted that Rachael was standing down as a trustee.

I have again examined the accounts for the village hall and can confirm they represent an accurate and complete record of the financial position as at 31[st ] March 2025.

Congratulations to all on another successful year, obviously the major decorating project put a hole in the funds, but that's what they are for.

Accounts are as always easy to follow and well presented.
