## **Edale Village Hall – Chair's Report 2026** 

Bookings for the village hall were close to covering the basic costs of running the hall this year, which is excellent news. We still need fundraising to cover any refurbishment, one-off repairs, and upgrades; and of course to cover the cost of maintaining the playing field and playground. 

Sadly the funds raised from running the charity car park will be coming to an end, however Edale Country Day had a successful year last year, and is happening again this year. 

The major project for the village hall this year has been the planning and fundraising to replace the roof. We are taking the opportunity, presented by the roof needing to be replaced, to install in-roof solar panels over a large area of the roof, with roofing tiles covering just the areas around the outside. The funds are now largely in place and the project work is scheduled to start soon. 

It is worth remembering that the village hall and playing field are run entirely by members of the community. There are many people who give their time to support the facilities, however special thanks must be given to: 

- All the members of the village hall committee for giving their time to keep the hall and playing field going. 

- Chris Wright, who has continued to do the monthly invoicing, bill payment and associated accounts updates, as well as financial scrutiny of the ongoing financial situation. 

- Cath Wynn who has scrutinised the annual accounts again this year. 

- Cathy Spingys, both for her role as secretary and for taking care of the defibrillator, first aid kit and accident book. Cathy is sadly stepping down from her role soon, and we thank her for all the support she has given to the committee. 

- Dene Farghaly, for continuing to clean the hall (inside and out) so well. Dene also continues to check the hall for maintenance issues, and generally makes sure the hall is as good as it can be for those using it. 

- Steve Snow for taking on maintenance in the hall, fixing a number of issues, including trimming the hedge at the back of the hall. Steve has also done the majority of the work involved in the roof replacement/solar panel project, including design of the project, applying for planning permission, finding and talking to contractors, creating and circulating the tender document, applying for funding, keeping the committee updated on progress, and general management. 

- John Payne for all his efforts applying for grants to help cover the roof replacement/solar panel project. 

- Jan Hardy for managing and re-imagining the 100’s club, which continues to be a worthwhile funding stream for the hall and field. 

- Hope Valley Climate Action (HVCA) for all their efforts running a crowdfunder to help pay for the solar panels for our roof replacement project. 

- Jan & Cathy for stepping up at short notice to help run the launch event for the crowdfunder. 

- Rose Potter, and Berlie Doherty and the playreading group for providing entertainment at the crowdfunding launch. 

- Edale Coffee Morning group and Edale bar for providing refreshments at the crowdfunding launch 

- Edale groups for the amazing displays set up at the crowdfunder launch, showing just how vibrant the Edale Community is. 

- Andrew Critchlow, for overseeing the field maintenance. 

- Lynda Shirt who continues to give so much support to the hall in her roles as caretaker and bookings clerk. 

- And Barbara Cunningham for stepping in to chair this AGM in my place.

## **Treasurers Report for 12 months ending 7th April 2026** 

## 1. Introduction 

The village hall and playing field are held in trust on behalf of the community of Edale. The trust is a registered charity and the members of the management committee are trustees of that charity. 

The running costs of the hall and playing field include items such as Cleaning, Insurance, Caretaker, Heating, Mowing, Play Area inspection and maintenance, Water, Electricity, General Rates and Licences. 

Neither the hall nor the playing field are directly funded by the local councils. 

Charges are made for hall letting in order to cover running costs. This includes the letting of the hall to non residents in-order to reduce the burden of these costs on the residents. 

There are no charges for using the playing field and children's play area. Running costs therefore need to be covered indirectly e.g. by fund raising. 

There is an annual Bonfire event with the funds raised primarily for the maintenance of the event. 

Other funds can also be received by way of grants, fund raising activities and donations. 

These accounts report on the above activities related to the year ending 7th April 2026. The following sections explain the tables and graphs being provided and comment on the figures that are being reported. 



## 2. Income & Expenditure Summary 

This years activites have delivered a surplus of £18,950. Excluding the £2,486 raised by the ring fenced Bonfire fund and a £10,000 grant still leaves a surplus of £6,464, which means that day to day running costs have again been covered by the years non ring fenced activities. 

Hall Letting contributed a deficit of £614, compared to a deficit of £2,392 and £4,101 in the two previous years. Hall Letting income has risen by 12% to £12,543, whilst expenditure has risen by just 3% at £13,157. The rise in income is particularly note worthy given this was a year without the biennial pantomime. 

The Playing Field contributed a deficit of £1,287. The Tennis Club and 3 events provided the only direct income, meaning most of the playing field costs needed to be covered by fund raising. 

A £10,000 grant was received from The National Lottery, ring fenced for the roof replacement and solar panel project. 

Fund raising contributed £6,769 with the return of Country Day in addition to the Hundreds Club and the Parish Council's Station Yard Charity Car Park. The Parish Council's Station Yard Charity Car Park is however no longer in operation and will not contribute going forward. 

A further £1,408 was received in donations, £413 of which is ring fenced for the roof replacement project, plus £708 contributed by miscellaneous items such as bank interest. 

## 3. Account Balance Sheet 

The end of year balance is £84,998, of which £24,038 is ring fenced for the Bonfire and £10,413 ring fenced for the roof replacement project, leaving £50,547 of the balance unrestricted. 

## 4. Income & Expenditure 

This sheet shows how the various activities of the charity contributed to the overall figures, including the contributions made by each fund raising activity. 

## Notable items are: 

£10,000 grant from The National Lottery for the roof replacement and solar panel project. £3,750 raised by Country Day. 

£2,131 received from the Parish Council's Station Yard Charity car park. £500 grant from High Peak BC to help establish a series of craft workshops. 

£1,408 of donations received, including £375 from Spoonfest. 



## 5. Hundreds Club 

The Hundreds Club is a lottery run for the benefit of the village hall and playing field. A great deal of effort is put in by a number of volunteers to promote this and collect subscriptions. 

The revised prize structure and subscription fees introduced for 2025/26 and renewed promotion of the scheme has raised a notable £887, successfully returning scheme to the level of net contribution seen in previous years, 

## 6. Bonfire 

The bonfire is run by a sub committee of the village hall and playing field management committee. The 2025 Bonfire delivered a surplus of £3,971. 

£606 of funds were spent on purchasing new beer pumps, £174 on outdoor power cables. The fund has continued to support users of the hall with £500 donated to Edale Senior Citizens and £165 funding monthly coffee mornings. 

## 7. Expenditure Analysis over 5 years 

This section shows a breakdown of the costs to operate the hall and  playing field for future reference and to aid analysis. 2020/21 and 2021/22 (pandemic years) have been excluded to enable comparison between normal years. 

The reduction in expenditure, the first we have seen in several years, has arisen from a £250 reduction in telephone/internet costs together with £1,000 less spending on maintenance. 

## 8. Hall Usage 

Hall utilisation, the ratio of the number of sessions used versus the number available, has increased to 35% this year, the third consecutive year of increased usage. Resident/local group bookings and non resident bookings are both up by 6%. 

The number of distinct users is the highest in over 5 years, having been booked by 66 distinct user groups or individuals. 

The average income per session has increased to £32, the highest it has been during the last 6 years. 

Bookings from non residents has provided 53% of the income from using the hall for just 23% of the sessions. 



## 9. Comparison of Closing Balances since 2003 

This section has been included to give the current balance some historical context. The graph shows how funds of circa £70k were accumulated from 2003 and then spent on the major refurbishment in 2011/12. Fourteen years on from that major refurbishment, the current balance (excluding the Bonfire) of £60,960 shows we are well placed to fund the next major refurbishment, namely the roof replacement and solar panel project. 

## 10. Overall Summary 

Income from hall letting and fund raising has again managed to achieve the target of covering the day to day operating costs of the organisation. 

We have seen further progress towards operating costs of the hall once again being covered by the income from hirers of the hall alone, without reliance on fund raising, as was the case in 2018/19. A continued upward trend in usage of the hall plus the expected cost savings from the solar panels being installed by the roof replacement project is expected to deliver further progress towards this goal being met. 

The roof replacement and solar panel project is scheduled to go ahead in June/July 2026. £32,500 of the expected £35,400 cost has been covered by the following fund raising: 

£10,000 grants received 

- £15,000 further grants pledged 

£6,840 from a Hope Valley Climate Action crowd funder 

£400 from direct donations 

This leaves just £3,160 of the cost to be covered by the funds in the closing balance. 

The end of year balance is £84,998, of which £24,038 is iring fenced for the Bonfire, £10,413 ring fenced for the roof replacement project. 

With just circa £3,160 of the closing balance expected to be needed to cover the costs of the roof replacement project, the remaining £48,000 of unrestricted funds in the closing balance positions us well to continue to invest in further refurbishments when needed.

Edale Village Hall and Playing Fields Charity Accounts
Scrutlny of the Accounts for the Year to 7th Aprll 2026
The Accounts for the years 2025 - 2026 were scrutinised on Thursday 7th May. Bank statements for
the Coop Bank Accounts - Current account, Bar Account lused as the Bonfire Account), Hundreds
Club and the CAF accounts were provided and cross referenced with receipts for expenditure and
invoices for hire together with records of Grant Income
These were compared to the electronic accoLJnts in the spreadsheets, EVH Ledger and EVH End of
Year Accounts, together with the online Hall Bookings.
Subject to a few minor corrections (which have been communicated directly to the treasurer) I have
no concerns over the accuracy of the accounts..
Much respect has to be expressed to the Committee and the fundraising team for the Roof fund for
all their work to date
