## **Minutes of the Annual General Meeting of 15th Wyre Forest (Habberley) Scout Group on 24th July 2020 @19:00** 

## **Welcome** 

Jane Spragg (Group Chairperson), invited all members and Parents/Guardians to the meeting and apologised that due to the current constraints due to Covid-19 pandemic, the meeting was held via Zoom video conference. Jane gave a special welcome to Julie Goodyear (District Commissioner), and thanked her for her attendance/support

## **Matters arising** 

There were no matters arising from the 2019 AGM report. 

## **Chairperson’s report** 

Jane commented that over the last 12 months there had been a reduction in fund raising activities, which had also been due to Covid-19 pandemic and the knock on effect had been a potential issue with not enough funds being available to run the group, and advised that all opportunities of fund raising need investigating to avoid potential future financial concerns. It was reported that Liam (Scouts) and Danny (Cubs) Duffy had taken part on a 24 hour sponsored silence which had resulted in over £1,000 being presented to the group – thanks to both of them. 

Jane also advised that after reviewing all running costs for the group, it was decided that weekly subs would need to increase, and she would be sending out a letter to all parents advising of the increase by the end of August. Jane then thank all committee members and leaders for their ongoing support throughout the last 12 months. 

## **Group Scout Leaders report** 

Lesley thanked everyone for attending and gave special thanks to all leaders for their support over the last 12 months, especially for all the work going on behind the scenes to provide virtual meetings for the Scout section during the current difficult times. Lesley gave special thanks to Scout parent David Harris who has kindly agreed to take on the role of Group Treasurer, taking over the role from Melanie Humphries who has stood down from the role after 10 years. Many thanks to Mel for her support over the years! She also advised that Jodie had stood down from the role of Group Secretary, due to work commitments, and thanks her for her support to the group. 



## **Treasurers’ Report** 

David Harris introduced himself as the new Group Treasurer and advised that all accounts had been submitted for validation, scrutinised and approved. David advised that he was pleased to be taking on the role and would give as much support as possible to the group.

Kevin thanked Chris Guest and Karen Maiden for their support over the last 12 months and advised that without their ongoing support, weekly Cub meetings would not have taken place. Kevin also thanked Karen Evans, who now supports every other week and David Harris who supported as and when was required – again thanks both! Cub of the year – Billy Spragg Deakin Best effort – Danny Duffy Best attendance – Jaiden Knowles Most friendly and supportive Cub – Peter Jackson 

## **Presentation of Scout awards** 

Julie thanked Ryan Hardiman and Macaulay Warren for the great job they have done in running the weekly virtual troop nights Scout of the year – Ben Carter 

## **Presentations to Committee Members** 

Jane confirmed that presentations would be taking place to Melanie Humphries and Jodie Hicks for their hard work in the roles of Group Treasurer and Secretary. 

## **District Commissioners report** 

Julie Goodyear thanked everyone for her invite to the AGM and advised that there had been some financial concerns with the group over the last 12 months, but by working with District, plans were now in place to prevent future concerns/issues. Julie thanked all leaders for their hard work over the last 12 months, especially with running virtual meetings/activities for the Beaver and Scout sections. Julie couldn’t confirm when Scouting would get back to any type of normality but there were now plans in place to introduce certain outdoor activities in the next couple of months. 

Julie advised that she was so proud to hear of the recent sponsored silence that Liam and Danny Duffy organised to help raised much needed funds for the group and confirmed that she had arranged for them both to be awarded the Commissioners Commendation award.

## **’ - CHAIRMAN S REPORT FOR THE YEAR 2020 2021** 

I am finding this very hard to write as due to the Pandemic we have been unable to do any fundraising, but thanks to Grants from the local council, we are still in a good financial position. 

I would like to thank all the leaders and committee members for all their on- going support and work that they have done to keep the Group running, whether it was with Zoom Meetings and especially for the Sections, the Face to Face meetings when possible. 

I must admit I cannot wait until we can come out of Zoom Meetings and can have a good catch up. 

Finally I would like to say Thank You to all the Young People and their families for not giving up on us. We understand that this has been the year from hell (I do not think Baden Powell would have imagined this!) but we are still here and going strong, so it shows how well WF15 are resilient and fighters. 

We do appreciate your support and we acknowledge that we have all had our problems, but we are looking forward to a positive year.

## Treasurers’ Report to the Trustees of 15th Wyre Forest (Habberley) Scout Group 

This last year has presented unique challenges and opportunities to the group due to the Covid-19 pandemic. 

We have been extremely fortunate to secure grant funding from the UK government, during the year. This enabled our executive committee to take the decision not to continue requesting subscriptions during lockdown periods, which was the recommendation at the time. 

The group has also benefited from some amazing donations and fundraising and we would like to offer our sincerest thanks to all that have made gifts and donations. 

As the new Treasurer ensuring the right banking facilities are in place has proved the biggest challenge. Despite our best efforts our current group bank cannot offer the right facilities to properly function. 

We are therefore committed to moving our banking facilities to a different bank, which have accounts specifically tailored for registered charities and will ensure full compliance with the Charity commission’s legal and financial governance requirements. I am delighted to inform this process has now started and I look forward to updating you in the coming weeks. 

During the interim period, the committee will look to alternative means of allowing parents to pay subscriptions directly as we look to reduce cash transactions within the group. 

The committee continues to look for new sources of funding and income for the group, including our membership of the Wyre Forest community lottery fund. This independent community lottery offers individuals the opportunity to buy tickets for a weekly draw with a top prize of £ 25,000.00 for every £1 ticket purchased from our mini site, 50 pence is donated directly back to the 



group. We are already beginning to benefit from this venture and hope it will continue to grow in years to come.

## **Group Scout Leader Report** 

My report this time is a very different report from previous years, as unfortunately from the end of March last year scouting as we know it had to stop and the last year has been very different from anything we have ever known. There were no camps, parades, sleepovers etc. and we all learnt how to use the wonderful Zoom!!!!! 

During this time many of you have taken part from your homes in the activities that our amazing leaders have put on, allowing many of our young people to still gain badges. It’s amazing what you can achieve via a computer screen and I think we have all learnt a lot. You are all superstars. 

Slowly but surely we hope the end is in sight and we will soon be able to get back to do all the scouting things we love. 

WF15 has a brilliant team. Leaders, Assistant leaders, Section Assistants, Young Leaders, Occasional Helpers, parent helpers and the Executive Committee who have been out standing over the last year, having to deal with their own safe situations and till managing to  provide activities when possible. 

To each and every one of them I would like to thank them all for everything they have done over the last year and hope that this year will bring back some form of normality. 

Last but not least, we mustn’t forget our young people that are WF15. They never cease to amaze me in everything they do or take part in. They are a truly wonderful bunch and I am honoured to be part of their family.

## **Beaver Report** 

Last year was a very different and very hard year for Beavers with no actual scouting taking place from March to August as we were all in lockdown. We also lost a few of our members during this time and unfortunately others were unable to take part in the activities due to restrictions 

In September we were allowed to meet outside following the Covid restrictions. We had a scavenger hunt in Habberley Valley and followed the Gruffalo trail in the Wyre Forest. 

We used our Scout HQ compound in October for our Space badge, but were allowed back inside for hand washing and teeth cleaning. Cheese rolling, gurning, hide the haggis and St. Patrick’s ladders were all part of the British Isle challenge and we finished off October with a Halloween party. 

Unfortunately in November we went back into lockdown, which meant no face to face scouting. During this time we attempted Zoom meetings. We made 

musical instruments, had a scavenger hunt and Akela from Cubs arranged a quiz for us all. 

Lockdown was once again lifted for December so we were allowed to meet back in our hut where we made cards for Berrington Court. Karen and Xime from 7soaps came along and showed us how to make soap and we finished the year off with a Christmas party. 

Unfortunately due to the rise of Covid cases we were all put back into lockdown in January. This meant lots of Zoom meetings until Easter. This time around our Zoom meetings seemed to run more smoothly than before. only zoomed every other week for only half an hour activities were set for the Beavers to do at home. This the Beavers didn’t seem to lose concentration and the leaders were more relaxed.

Our first Zoom meeting was a Christmas one where all the Beavers had to tell us all about one of their toys they had been given for Christmas. 


February was all about finding the Orion star, counting the stars around it and the Chinese New Year. We also built a bird feeder, 



helped our parents with their chores and learnt all about semaphore flags for the Communication badge. 


The Beavers had to send an email and a text message, phone Rusty and solve the emoji puzzle in March to finish off the Communicator’s badge. We also started the Cook’s badge where the Beavers made a doughnut in the microwave and learnt how to be clean and safe in the kitchen. 

After the Easter holidays we were once again allowed to meet face to face and back in our hut. Fingers and everything else crossed that we have no more lockdown’s so we can get back to doing the things we love. 

During these uncertain times we haven’t been able to complete as many badges as normal, but a big well done to all those Beavers who have completed badges on their own at home.

All of our leaders have worked very hard to give us a very different programme from other years and we would like to give a BIG, BIG THANK YOU to Rusty, Bubbles, Keeo, Hawkeye, Sunshine, Chip, and Luke as without them none of this would have been possible. Also a special thank you to Mr Rusty, Jodie, Deb, Sue and all the parents who help us when needed. 

## **WF15 Beavers** 




## **– Cub Section report 2020 2021** 

Well what a bizarre year it has been. As the whole Country was in lockdown from March, the earliest we met was in late September and that was in 2 groups to comply with Scouting HQ guidelines. The cubs did manage to complete their photography badge. It was great seeing everyone’s photos of when they were babies (leaders included) and we all had great fun trying to guess who was who!! We also learned about different types of photographs including nature and still life - the cub’s photos were great. 

Then in November we were again forced into lockdown, which meant we missed out on making Christmas crafts and our usual Christmas party ☹☹ 

As there was no sign of being able to start back with face to face meetings, in February we started holding fortnightly “zoom” on line meetings. We invested the new cubs, then had a general knowledge quiz. We also did our own “great British bake off” sessions were Rikki did on line baking, where the cubs made chocolate chip cookies and Easter cakes and posted photos on our Facebook page  - they all looked delicious 😊😊. 

Whilst in lockdown, a number of cubs have completed various badges from home including hobbies, home help and disability awareness – Well done to you all!! 

It has been a very difficult year for everyone, but it has been great seeing all our wonderful Cubs with their smiley faces and bags of enthusiasm. 



Finally, can I thank Karen, Chris, Karen, Denyse and young leader Ben for their continued support in running the Cub pack. 

## Let’s hope we can do more Scouting in the next 12 months!!!!!!!!!!!!!!!!!!

## **Scout Leaders Report** 

It is usually difficult to condense 12 months of Scouting within 15[th] Wyre Forest Scout Troop in a normal year, but this has been an unusual year, with more virtual evenings than face-to-face scouting. 

## **VIRTUAL SCOUTING** 

When the lockdown started in March 2020, 15[th] Wyre Forest Scout Troop decided to take on the challenge of Zoom virtual nights. Credit has to go to Ryan and Macaulay for hosting these evenings where the scouts have been able to participate in planned activities and games as well as just being able to communicate with each other, albeit remotely. 

Amongst quizzes, treasure hunts, numerous games of Skribl and Scattergories we have been fortunate in having guests join in to teach new skills and educate us. 

During lockdown the scouts also had the opportunity to earn a variety of badges in their own time, bearing in mind we ensured we adhered to government Covid-19 restrictions and guidance before we set them the challenge.  Scouts have been able to work towards and earn their DIY, Chef and Hikes Away Badges as well as their Personal Challenge Award. 

Herefordshire  &  Worcestershire  Scouts  were  part  of  setting  up  Shirehike  Walking  Festival  and  they assembled a list of over 90 walks and hikes across the county. Each walk completed and logged was awarded the appropriate number of stars which counted towards the Shirehike Badge.

During **AUGUST** our Young Leader Finley White did his bit for charity by cycling 500km for Alzheimer Research  UK.  He  raised  the  awesome  amount  of £600+. Congratulations Fin! Well done! 




Another amazing event happened in **AUGUST** ! We were finally given the go ahead to meet up face-to-face but with many restrictions. This didn’t phase the Leader Team in the slightest. A Risk Assessment was put together, approved by our District Commissioner and a date set 😊 


It was good to see each other after so many months apart and the afternoon went far too quickly eating our picnic and playing wide games; kick rounders, splat, hide and seek, charades and walking the blind trail to name a few. 

In **SEPTEMBER** our first official Monday Night back, the scouts turned up enthusiastic, well behaved, funny and full of banter - everything a Scout Troop Leader wants. Even the weather was kind and we spent a beautiful, warm evening fire-lighting and toasting marshmallows. Just Perfect!! 



Due to Covid-19 restrictions the Leader Team and Scout Troop had to be divided into two so the Blue and Red ‘Bubbles’ went their separate ways the following week and hiked their way round Habberley Valley and The Rifle Range. 

We managed to host an evening of rounders, with myself, disinfecting the bat after each use.  More energy was burnt by searching for Fin and chasing ‘Ethan the Moose’ over Rhydd Covert. 

Our local Pickup Artists supplied us with all the necessary equipment and we made our presence known  in  the  community  and  participated  in litter-picking for the ‘September Clean’. A reasonable amount of area was covered and the scouts were complimented by members of the public for doing a fantastic job. 



As well as welcoming new scouts in **OCTOBER** , 15th Wyre  Forest Scout Group Leaders joined us at the start of the evening to congratulate and celebrate Liam  and  Danny  Duffy’s  fundraising  achievement with Julie Goodyear, our District Commissioner, awarding  them  the  Commissioners  Commendation Award. 

A ‘social distancing’ friendly activity followed with the scouts sending messages to one another, and deciphering those received, with Morse Code. 



The scouts had a successful and enjoyable visit to Bells Farm where Vikki educated and showed them all things Fruit and Veg. They were able to pick and sample an array of produce. The scouts were given the opportunity to complete the #Farm2Fork 



Feeding scouts with food is always a hit and they got to enjoy cooking ‘backwoods’ style after successfully getting a fire going. 


We were successful in having our name drawn for a Dunelm Halloween Giveaway and I came away armed with a box of goodies for our Scout Troop. These were put on offer for our scouts to use in **NOVEMBER** on our Spooky Walk **.** Bodenham Arboretum gave us private use of their grounds so our scouts could go on The Pumpkin Trail dressed in their Halloween Costumes. Much fun was had doing the ‘Zombie Walk’ in the dark. A special Well Done to the two Young Leaders who accompanied their own group round. 




On Remembrance Sunday the scouts were asked to wear their uniform and stand outside their house to observe the two minutes silence at 11am in remembrance of those who made the ultimate sacrifice for us all.  Photos were uploaded to confirm a scout had taken part so we could tick off requirement 3 of the World Challenge Award. 

The two ‘Bubbles’ went their separate ways again in **DECEMBER** . Scouts on Habberley Valley all achieved the climb up Jacobs Ladder as well as narrowly missing a fall when taking a wrong turn. Meanwhile the Scouts on the Rifle Range slipped and slid along the muddy paths and had fun running, jumping and splashing in the puddles.  We had to say no to belly flopping in it . 

Congratulations and Well Done to Georgia for all the time she gave up, freely, helping a family member fundraise for charity during the Christmas period. 

We also managed to fit in a Festive Fire and S’mores Night. It wasn’t easy to find dry wood to light the fires in the pouring rain but the scouts and the Leader Team’s spirits didn’t dampen unlike their clothing; we were saturated. But we were together, having fun and that is what it’s all about - so much so, that the scouts asked what we were doing the next week: Boxing Day! 



During these uncertain times each night is precious so that is why we decided to meet as late as Monday 21st December. At the time we had no idea that this would the last face-to-face scout night for 3 months as we went into lockdown again. 

**JANUARY 2021** saw us meeting virtually, once again and we felt it important to make those scouts, that were not keen on Zoom, aware that they were welcomed with their cameras off. 

We kicked off the year with some challenges inspired by Redbull Athlete and British Bouldering World Champion, Shauna Coxsey. 

An evening of code-breaking followed where scouts were taught some cipher techniques (Caesar Shift and Playfair), then given some enciphered messages to decode as a group. 

Our first, most popular virtual turnout was when we invited Joanna Steer, on behalf of Deafconnect, to host the evening. Joanna gave a brief introduction into Deaf Awareness and a small insight into the language. 



She then proceeded to teach the scouts and Leaders how to sign the Alphabet and The Scout Promise, Law and Motto in BSL. 

We started **FEBRUARY** with some circuit training to assist the release of ‘feel good hormones’ or better known as endorphins. 



We always celebrate Shrove Tuesday with the traditional making of pancakes and being virtual didn’t stop us.  For the benefit of the scouts that aren’t keen on these, even with the tasty toppings, they were also taught how to make a Mug Cake.  A good night had by all and a bonus that we were able to tick off some of the criteria on the Chef’s Badge. 

Karen and Xime from 7 Soaps ensured our scouts were prepared for their Soap Making Virtual Evening in **MARCH** by making up bags of goodies so that they had everything they needed to participate. Lots of fun and laughter was had by everyone of us. 



Patrick Edwards, Water Safety Presenter for RNLI kindly donated his time with a virtual presentation about awareness of beach and water safety. It was a very interesting evening where he not only educated us but shared his life experiences with us too.  We discovered he was a World Record Breaker for paddling a bath 100 miles down the River Wye in 32:51:11 in 1987. 

Hereford & Worcester Fire and Rescue Service joined us and delivered an online  #fresafety awareness session - it was fun, informative, educational and tailored towards our scouts. The plan is to follow the evening up with a face-to-face meeting when restrictions allow. 

Restrictions were lifted on **Monday 29[TH ] MARCH 2021** and the news was better than we had anticipated: we could meet as a Troop this time round. Scouts and Leaders reunited as one, the first time in 12 months. We had been looking forward to this moment for so long that we were prepared and had the Risk Assessment already set in place so we met that very evening and celebrated by eating s’mores round altar fires. 






We  spent  a  thoroughly  enjoyable  Easter Bank  Holiday  Monday  in **APRIL** with  our amazing scouts.  Bearing in mind that the last few months have been tough on everyone it is felt that exercise in the fresh air is the best therapy along with plenty of opportunity to talk to each other. We explored more of the Rifle Range and took on the challenge of reaching the peak of the Devil’s Spittleful. 




We returned to Rhydd and challenged the scouts to some Bivouac Building. Our Young Leaders played a huge part in guiding the scouts on how best to create them. The scouts were excited about the thought of sleeping in one so as soon as nights away are allowed, we will organise a camp for them to experience this. 

The end of **APRIL** arrived and Knives, Fires and Backwoods  Cooking  was  on  the  agenda.  We encouraged the scouts to bring along a knife to use to sharpen a stick in order to toast their bread over the fire. Bananas and Oranges were filled with chocolate, wrapped in foil and cooked in the fire. We even had chocolate buttons on toast 😊 



## **FINALLY** 

We had to say goodbye to our Scout, Ben, after four amazing years with us.  We are really proud of him and the role model he has become. We have also welcomed him back into our scouting family as a Young Leader. 

Our Young Leaders: Harry, Finley, Ethan, and Ben have all played an active role and we have to thank them for all that they do in supporting the Adult Leader Team. 

We need to express our thanks to all you parents and carers that put your trust in us making sure that your young people are kept safe but have fun at the same time. 

A huge thank you to the Scouts for being themselves: enthusiastic, fun and lively young people that come together as a group to create a fantastic, much-loved troop that keep us entertained. 



Lastly but most importantly thank you to Ryan, Macaulay, Dave, Gregg, Karl, Andy, Kieran, Beth, Lauren and our Young Leaders for everything they bring to The Scout Leader Team.

## Independent Examiners Report to the Trustees of 15[th] Wyre Forest (Habberley) Scout Group 

The following report is for the accounts of the group prepared by the Treasurer for the year ended 31 March 2021. 

In accordance with the directions given in the group’s constitution I have examined the accounts prepared to ensure that they comply with the following requirements: - 

1. Ensuring compliance with the Charity Commissions financial reporting requirements 

2. Ensure that sufficient reserves and resources are in place for scouting to continue operations for at least 12 months from the balance sheet date.
