CHAIRPERSON’S ADDRESS TO AGM 9[TH] MARCH 2022

It’s difficult to believe another year has passed, it seems like only weeks ago that I took up the mantle of Chair. However, when I think of all the challenges we have overcome to keep going, I am immensely proud of the whole committee and thank you all wholeheartedly for your continued support and contribution. >

The Village Hall has remained opened throughout the year supporting the PreSchool and gradually our regular users including kickboxing, pilates, coffee morning and the ever popular quiz returned.

We have welcomed Councillor Tracey Bowman as trustee and representative of Sudbrooke Parish Council, and Stuart Hewson as honorary Treasurer. >

Throughout yet another tumultuous year the committee have worked tirelessly to continue on the day to day running, ensuring all financial commitments are met and the building is maintained.

I must give special thanks to Dave and Paul for all the additional general upkeep they have undertaken, from replacing electrical cupboard doors, dealing with rebuilding of pump cupboards and replacing locks, lights and the fitting of covid secure screens.

Another mention must go out to Gill for the fantastic way she has handled all the correspondence with regard to Covid regulations, restrictions and legislation, filtering and sorting in to a manageable, legible level for the rest of us to digest and deal with.

We are in a fantastic position going forward and our focus is on a new heating system before the end of the Summer. There are plenty of bookings in the diary and we look forward to carrying on providing this valuable service to the community.

Treasurers Report on Financial Year 2021

The summary for the financial year of the total assets in the bank and as cash in transit show that the position was improved by £11,990.42 during the financial year.

This was predominately due to the continuation of the COVID grant schemes from WLDC with payments of £4,000.00 in a Top Up grant in February, and the £8,000.00 COVID Restart Grant in April 2021.

The main income from hire came from Sudbrooke Pre School who were able to continue using the hall when most events were cancelled due to COVID restrictions, up until September 2021.

Whilst the current financial position looks healthy, there are repair and improvement projects required to keep the hall as a functioning venue, most notably the replacement of the heating system. This will probably bring the financial position in terms of money in the bank back to prepandemic levels.

To The Chairman Sudbrooke Village Hall Management Committee

As per your request, I have carried out the Year End Internal Audit of the Village Hall Accounts to the 31[st] December 2021.

Stuart and I spent some time today discussing the accounts and from the checks that I have performed and from the information that I have seen, I can conclude that the accounts have been maintained to the highest of standards. Stuart and I discussed how he had transferred the accounts from the previous system and how he now runs them. I checked the income and payments, invoices and receipts, bank statements and the spreadsheet that Stuart keeps.

I would recommend that the Committee put down on paper the process of authorising bank payments. Stuart and I discussed how payments are approved and set up on the banking system, but this is not recorded in writing anywhere.

I would like to thank Stuart for his time today, and for the time that he has clearly spent on the accounts getting them ready for audit. This was not an easy task and I hope that the committee appreciate the time that he has dedicated to this matter.
