Trustees’ report

for the year ended 5 April 2025

The trustees present their report along with the financial statements of the charity for the year ended 5 April 2025. The financial statements have been prepared in accordance with the accounting policies set out on page 8 and comply with the charity's trust deed and applicable law.

Structure, governance and management

Governing document

The charity is governed according to its Deed of Trust dated 6th July 1974, a copy of which is available from the secretary on request.

Trustees, appointment and rotation

The trustees who served during the year and since the year end are shown on page 1.

Trustee induction and training

Whena vacancy occurs a new trustee is approached personally and, if interested, is provided with a copy of the previous year's accounts and charities leaflet. Training is provided on an ad hoc basis as required.

Organisational structure

The secretary circulates all applications meeting the criteria to all trustees who respond and a majority decision is carried.Where there is no clear majority the final decision is made by the Chair.

Review of major risks

The only risk is fraudulent applications and this is contained by the requirement that applications are only accepted through recognised third parties to whom any grants are paid.

Objectives and activities

Objects of the charity

The objects of the charity are the relief of need of persons resident in Nottinghamshire, and for this purpose to make grants of money to provide or pay for items, services or facilities calculated to reduce the need, hardship or distress of such persons.

Activities

The sole activity of the charity is the consideration of applications and making of grants. The trustees confirm that they have referred to the guidance on public benefit issued in the Charity Commission's general guidance when reviewing the trust's aims and objectives and in setting the grant making policy for the year.

Grant making policies

Each qualifying application is judged on its merits and a final decision is made by a majority of trustees.

Howour activities deliver public benefit

The beneficiaries of the grants are individuals living within the Nottinghamshire area. No-one is excluded from this benefit other than by their geographical location or the merit of their application.

The trustees have not identified any potential detriment or harm arising from the trust's activities. They are satisfied that no-one receives any direct personal benefit other than the intended recipient. Indirect personal benefit may be gained by other individuals such as members of the recipients family.

Achievements and performance

The level of grants made has remained constant and is restricted by the available funds from the Williamson Benevolent Trust.

Financial Review

Payments for relief of need of local residents totalling £21,461 (2024 - £12,975) were made during the year. Governance costs in the year consist of payment to the secretary in the sum of £4,500 (2024 - £4,500) plus £ (2024 - £165) expenses incurred.

Policy on reserves

Due to the nature of the Trust there are no reserves.

Funding sources

Funds are provided by the Williamson Benevolent Trust as and when grants are approved by the trustees. There are no other sources of funds.

Investment policy

The West Gate Benevolent Trust does not hold any investments.

Future plans

The Trust intends to continue with its present objectives and activities.

Trustees’ responsibilities in relation to the financial statements.

Law applicable to charities in England and Wales requires the trustees to prepare financial statements for each financial year which give a true and fair view of the charity's financial activities during the year and of its financial postion at the end of the year. In preparing these financial statements, the trustees are required to:-

a select suitable accounting policies and then apply them consistently;

b make judgements and estimates that are reasonable and prudent; c state whether applicable accounting standards and statements of recommended practice have been followed subject to any departures disclosed and explained in financial statements; and d prepare financial statements on the going concern basis unless it is inappropriate to presume that the charity will continue in business.

The trustees are responsible for keeping accounting records which disclose with reasonable accuracy at any time the financial position of the charity and enable them to ensure that the financial statements comply with the Charities Act 2011 and follow the guidance for accounting for smaller charities issued by the Charity Commission. They are also responsible for safegaurding the assets of the charity and hence for taking reasonable steps for the prevention and detection of fraud and other irregularities.

I report to the trustees on my examination of the West Gate Benevolent Trust (the Trust) for the year ended 5th April 2025.

Responsibilities and basis of report

As the charity trustees of the Trust you are responsible for the preparation of the accounts in accordance with the requirements of the Charities Act 2011 (‘the Act’).

I report in respect of my examination of the Trust's accounts carried out under section 145 of the 2011 Act and in carrying out my examination I have followed all the applicable Directions given by the Charity Commission under section 145 (5)(b) of the Act.

Independent examiners statement

Ihave completed my examination. I confirm no material matters have come to my attention in connection with the examination giving me cause to believe that in any material respect:

1.1. Basis of preparation of the accounts The accounts are prepared under the historical cost convention, in accordance with Accounting and Reporting by Charities: Statement of Recommended Practice applicable to Charities preparing their accounts in accordance with FRS 102 (effective 1 January 2015) - (Charities SORP (FRS 102)) and the Charities Act 2011.

The charity meets the definition of a public benefit entity under FRS 102. Assets and liabilities are initially recognised at historical cost or transaction value unless otherwise stated in the relevant accounting policy note(s). There are no material uncertainties about the charity's ability to continue as a going concern.

1.2. Incoming resources
All incoming resources are included in the financial statements when the charity is entitled to the
income and the amount can be quantified with reasonable accuracy
Unrestricted funds are available for use at the discretion of the trustees in furtherance of the general
objectives of the charity.
Restricted funds are subject to restrictions on their expenditure imposed by the donor.
1,3. Resources expended
Expenditure is recognised on an accruals basis as a liability is incurred. Expenditure includes VAT
which cannot be recovered.

Cost of Generating Funds This comprises the costs associated with attracting voluntary income, and the costs associated with fundraising ventures.

Charitable expenditure These costs are incurred by the charity in the delivery of its activities and services for beneficiaries. It includes both costs, that can be allocated direct to such activities and those costs of an indirect nature necessary to support them.

Governance costs. This includes those costs associated with meeting the constitutional and statutory requirements of the charity, and include professional fees and all costs linked with the strategic management of the charity.

All costs are allocated between the categories of the SoFA ona basis designed to reflect the use of the resource. Costs relating to a particular activity are allocated directly, other are apportioned on an appropriate basis.

1.4. Donated goods

The charity has not received any material donated goods for own use. Small items are not recognised in the Statement of Financial Activities.

The monetary value of volunteer services is not recognised in the Statement of Financial Activities.

  1. Voluntary income

All -income is received from the Williamson Benevolent Trust to match expenditure, and is considered to be restricted in nature.

3. Total resources expended

All resources expended are classified as charitable expenditure under the SORP 2015 with the exception of Secretarial costs which are shown under Governance.
