REPORT OF THE TRUSTEES FOR THE YEAR ENDED 31st MARCH 2025
Aims and Organisation
The Charity is regulated by a scheme dated 2nd November 1983, and sealed by the Charity Commission for England and Wales. The objective of the Trust is the provision and maintenance of a Playing Field and Village Hall for the use of the inhabitants of the Parish of Stamfordham and its neighbourhood.

Review of the Year and Activities
The Trustees were able to meet in person on 5 occasions:

A cleaner continues to be employed for 8 hours a week with statutory holidays. It is clear, however, that the building requires a deep clean at least twice a year.
During the year, an independent maintenance person was engaged to carry out daily inspections of the hall and grounds, report back to the trustees on work that may need to be done and help with setting up and clearing away after functions. He invoices on a monthly basis.
Small and large maintenance and improvement jobs have been carried out:

Sanding of hall floor

Repairs to external pipework

Replacement windows in the kitchens, kindly funded by two supporters
The User Groups which give regular monthly income are very much appreciated:
Bowls, Crafty Reivers, Toddlers, Art, Karate, Theatre, Dance, Yoga, Pilates, WI, Parish Council Meetings
Stamfordham Cricket Club pay an annual fee and contribute towards the costs of running the playing field and pavilion.
User group extra hire, Karate Black Belt Testing, provide welcomed income

Large hirings which have a substantial impact on income:

Sloan trophy, Cyclone Challenge and Beaumont Cup

Plus other cycle groups using the hall as a base
Trustees organised fund raising events: Oktoberfest, Tea with Santa, Monthly Pop-Up Cafés, 1 Jumble Sale, 2 NTC plays, screening of the Carabao Cup Final

Many thanks to all trustees for organising and supporting all the events during the year.
The AV system has continued to be an added incentive for hirings and events:
- Private events for showing videos and images
TV, PPL/PRS and MPLC licenses have been acquired which include one TV licence for the Pavilion.
The five yearly electrical report was carried out in December 2023
Playing Field & Pavilion
Stamfordham Cricket Club have continued their excellent work on maintaining the whole of the Playing Field and Pavilion. The Trustees acknowledge this, are indebted for their voluntary work and grateful for the time they give to the maintenance of the whole facility.
Future plans are to address the car parking area which needs to have a firmer base.

Northumberland Heritage Village Hall Project
The has been continuing throughout the year. This has enabled many senior members of the community to record their memories of using the Village Hall as a school building and village hall. The display boards are now in place for all to see. During the forthcoming year, the book will be printed and distributed to those that provided material. Many thanks to the group who worked tirelessly to see this project through to its conclusion.
Finance
A deposit account acts as a Reserve Account to ensure funds are available for large expenditure. Interest on this account yielded £1007.
Member Club Lettings have increased this year.
Income from non-member user groups is also up on last year.
Fundraising income increased, particularly from the Pop-Up Café
Ring-fenced grants from previous years were used for Veterans Breakfast Club, The Village Hall Heritage Project and the redecoration of the West Room (which has now been carried out).
The deficit of £17,719 for the year is accounted for by major repairs and completion of the Energy Efficient Project.
Although there is a seemingly healthy balance, trustees are minded that there could be a significant draw on funds in the next financial year, for example, kitchen refurbishment and new chairs.
