REPORT OF THE TRUSTEES FOR THE YEAR ENDED 31[st] MARCH 2023

Aims and Organisation

The Charity is regulated by a scheme dated 2[nd] November 1983, and sealed by the Charity Commission for England and Wales. The objective of the Trust is the provision and maintenance of a Playing Field and Village Hall for the use of the inhabitants of the Parish of Stamfordham and its neighbourhood.

Trustees

Details of the Trustees are shown in the Administrative details on page 2.

There is a representative vacancy for Stamfordham Young Farmers.

Review of the Year and Activities

Lifting of Covid rules saw the end of zoom meetings and trustees were able to meet in person again.

Trustees met on 6 occasions: 6th April 2022 Buildings Committee 28th April 2022 Full trustees 18th July 2022 AGM & election of four committee members and representative members 29th September 2022 1st trustees meeting following the AGM election of Chair, Vice Chair, treasurer and Secretary 20th October 2022 Full trustees meeting 26th January 2022. Full trustees meeting

Sue Noble retired from post of Secretary. The trustees registered huge thanks to her for her service over a number of years.

It was with great sadness that the trustees reported that Bill Telfer, a long-time chairman and stalwart of the charity, passed away in August 2022.

Three new trustees were welcomed.

A cleaner continues to be employed for 8 hours a week with statutory holidays. It is clear, however, that the building requires a deep clean at least twice a year.

Small maintenance and improvement jobs have been carried out:

Replastering and painting the wall to left of stage damaged by water ingest. This will really require further attention once the roof section is made water tight.

Shelving the cupboard between the hall and Lees Room to store a large amount of equipment for functions which have been kindly donated by Gill and Mick Brown at Dissington hall. This includes numerous white function table cloths which are now laundered by A1 Laundry who collect and deliver.

This year’s user groups returned and new ones took a weekly slot. The User Groups which give regular monthly income are very much appreciated:

Bowls, Crafty Reivers, Toddlers, Art, Karate, Theatre, Dance, Yoga, WI, Parish Council Meetings

User group extra hire:

Karate Black Belt Testing

WI Domino drive

Large hirings which have a substantial impact on income:

Sloan trophy, Cyclone Challenge and Beaumont Cup Plus other cycle groups using the hall as a base

Trustees organised fund raising events; Oktoberfest, Burns Night, St Patrick’s Party, Tea with Santa, Monthly Pop Up Cafés, 1 Jumble sale

2 NTC plays,1 Fools Gold entertainment.

The increase in energy costs nationwide have required community buildings to open up to those who need a warm space. The trustees chose to welcome anyone who needed a warm welcome every Thursday afternoon after the Post Office closed as the West Room was already heated. Thanks must go to the volunteers who manned the warm space every Thursday until the end of March.

Many thanks to a trustee who worked hard to secure a lottery funded grant which enabled the installation of a large screen, projector and hearing loop in the main hall. The installation of a 75 inch TV in the West Room was thanks to a NCC grant from Councillor Veronica Jones for which the trustees are most grateful.

The AV system has already been used for NUFC final, Rugby, Photos for special events and screening the Coronation. It is anticipated that this technology will bring in large lets for business or corporate training, meetings and conferences. However, advertising is essential for this to work.

TV and MPLC licenses have been acquired which include one TV licence for the Pavilion.

The survey of the external and internal state of the hall by Paul Harrison of Dene Building Consultants revealed a total cost of £250,000 for work to maintain the building. Trustees agreed to prioritise the work which most impacted safety or structure.

The sunken drain to the south side of the West End was investigated by Robert Charlton and found to be the result of the very thin covering of concrete which had collapsed. It was made good after investigation proved that it had no impact or cause for West Room/End cracks to plaster/stone and no tree roots were involved.

After much searching, discussion and several visits by stone masons/roof specialists, it was decided to use Monument Roofing to make safe the roof stone work itemised in the survey. The company have experience of Victorian buildings, churches etc. and were the most economical choice. The Lees Room required new LED inset lights as the existing ones were failing. Again, Rush Electrics sorted this quickly and efficiently. It was noted that the five yearly electrical report is due and has been booked for December 2023

The Northumberland Heritage Village Hall Project has been continuing throughout the year. This has enabled many senior members of the community to record their memories of using the Village Hall as a school building.

Playing Field & Pavilion

The roadside perimeter fence is to be installed by Ricky Charlton as requested by SCC. This is not only for aesthetics but primarily to keep children from running through the hedge onto the road. It has become necessary to replace or upgrade the fencing around the stock field sides to prevent further entry by sheep onto the playing Field. This was discussed with Simon Riddle, Cheeseburn Estate, who suggested Northumberland Forest was contacted for financial support. They have been very helpful and it is anticipated that the charity will be granted funds to enable the complete fencing of the area and planting of numerous trees in the Summer or Autumn of 2023.

The Northumberland Heritage Village Hall Project has been continuing throughout the year. This has enabled many senior members of the community to record their memories of using the Village Hall as a school building.

Finance

A deposit account was opened to act as a Reserve Account to ensure funds are available for large expenditure. Interest on this account has already yielded £150.00.

Lettings have increased this year as user groups have returned to normal times after Covid, up by £2689.70

Income from non-member user groups is slightly down on last year.

Fundraising has had a significant impact on increasing income. Grants totalling £14,700 have allowed for the installation of the AV System.

Ring-fenced grants of £2350 plus £2000 from previous years are for the Veterans Breakfast Club, Holiday Club, The Village Hall Heritage Project and the redecoration of the West Room (£3000)

Although there is a seemingly healthy balance, trustees are minded that there will be a significant draw on funds as there are some large items of refurbishment that will need to be addressed in the next financial year.
