## **SECRETARY’S REPORT**

**CMVC Secretary Report to AGM 2023** 

## **Overview** 

A busy year. We’ve survived COVID. Settled into our new home at St. Columba’s. A new Chairman. A new Music Director. A new President. Changes to rehearsals. A new informal Choir. And most important, lots of concerts. Isn’t it fun to be back? 

Not all good, two significant issues need to be addressed. Recruitment of new members and the quality of singing and presentation at performances. 

COVID continued to have an impact on Choir activity in the early part of the year. There continued to be procedures to follow to allow safe meeting together faceface at rehearsals. A few members have suffered COVID infections. Committee Meetings took place online until the AGM in March 2022. 

There have been significant management changes. Blair Wilson took over from John Walsh as Choir Chairman. 

New roles were introduced: 

- Concert and Events secretary, to support concert arrangements at venues. 

- Front of House Manager. 

- Performance manager (strategic role). 

- Equipment manager. 

During the year our Music Director Rodney Jones was seriously ill with COVID and had a hospital admission. He was absent for several months. This contributed to his decision to retire in July. Thanks to Lance Howie and Ian Belton for standing in for him. 

A rigorous recruitment process led to Joe Mann being appointed as the new Choir Musical Director. Confirmed at an SGM in September. 

Joe is a professional music teacher with an Arts background. 

He will clearly lead the Choir in new directions to keep us up to date and relevant and maintain and improve the quality of singing and performances. He has experience working with a wide variety of ages, groups, and projects, both professional and community, ranging from large-scale musicals, charity

fundraisers, and fringe productions, through to adventures in the land of Oz, peril on the high seas and even fighting off monsters in outer space. What then lies ahead for us? 

With the large number of concerts leading up to Christmas he has of necessity used the existing repertoire and not made any changes. He is now looking forwards and actively asking members for suggestions, with a reassurance that he does not intend to scrap the current selection because these show the Choir off at their best. We are looking forward to 2023. A consequence of his appointment is that a change was made to rehearsals. There is now one rehearsal a week on a Sunday evening, of longer duration 7.00pm to 9. 15pm – with a tea break. The Wednesday rehearsal has been re-invented, as a monthly social choir in the afternoon lead by Bev. An opportunity to informally sing different types of music. In making the appointment we realised that there needed to be a revision in the constitution, regarding the engagement of contracted members of CMVC music team. A new policy statement was written and agreed at an SGM in November. A further administrative change was the introduction of an annual fraud review, based on the Charity Commission paper on fraud. 

We now have a new choir president. The Duchess of Westminster retired after 21 years in the position. She is succeeded by Matt Baker. The Duchess was a great supporter of the choir. We said a personal thank-you to her when she attended a Choir rehearsal in November. We presented her with a quality print of one of the promotional posters which had been taken at Eaton Estate, mounted within an 8x10 silver photo frame. In addition, we collated a photobook of twenty photographs, some of which were of the Duchess with the Choir, plus photographs of the Choir over the years. 

Matt Baker is well known. a multi-talented professional, with masses of music and theatre experience, working with people of all ages from within the profession and in many communities. He has wide international experience but has also run workshops on many scales, even enabling teams of non-singers to get up and sing – in harmony and with choreography. 

## **Concerts and Performances** 

Stepping back and reflecting, what an amazing number and range of concerts that we sang in. Remember we had also to turn down requests. And what a hectic Christmas!

Starting with the big ones. The cathedral three times, twice in a couple of weeks in July. First for The Queens Jubilee Platinum Proms. Then our 80[th] Anniversary concert with Foden’s Brass Band. Later in the year an appearance at The High Sheriff’s Legal service in October. Christmas was at Eaton Hall again supporting the MIND charity – such an exquisite setting. Both are becoming more like rehearsal venues. in contrast there was the solemnity of singing at The National Arboretum for Remembrance weekend. Let’s not forget our anniversary concert at St. Columba’s which went so well. A celebration of a return to normality after COVID. What else? Variety. Home and away. There was dressing up for the Bow Ties and Boas concert with A Handbag of Harmonies. – more on this aspect of the Choir later. Across the border there were trips to Cardiff for a tour, stopping off to sing at Brecon Cathedral, and singing at Llandudno, with Helen Shanley as our guest artist. 

The summer fayre at the Hospice. A return to Styal Prison CLINK Restaurant. Christmas at St. Columba’s with Sale Brass band, Rake Hall, Waverton WI. And Fodens again, at Tatton Park, to raise money for The Christie Charity. Don’t forget that we sang on the streets of Chester, twice.  First in the Spring for Ukraine. Then for the Santa Dash in December. The serious and the fun. New audiences. great feedback. 

Think of the colleagues with whom we have performed – A Handbag of Harmonies, Sale Brass band, Foden’s Brass band twice, other Chester Choirs at both the Cathedral concerts and at the High Sherriff concert, soloist Helen Shanley, 

We were honoured to receive an award at the CWVAN Awards evening, at which we also sang – plus an unscripted extension to our repertoire with flamenco dancing. 

The Concerts raised significant donations that we gave to various charities. Maintained good contact with supporters although this did involve a lot of hard work – with thanks to Blair Wilson for his encouragement and leadership. 

Looking forwards, we already have lined up a significant programme of performances for 2023 … and even into 2024, with a possible visit from an Australian Choir. Maybe a return concert?

## **Social** 

To continue the social cohesion built up during COVID there were many events throughout the year. Thanks to Ian Belton and Ron Webster. 

Many highlights. The canal trip. The social evening at Upton Golf club, with guest speaker.  The evening cruise on River Dee. The garden party courtesy of John and Diana Walsh. And the highlight of course was that Christmas dinner – superb venue, food, company and a wonderful act from some very brave performers…. 

Sport. Golf trophy event in August. With Dave Marks winning and holding the trophy for a year. The Skittles night, at which Chris Bell was the champion. 

## **Charities supported by the Choir** 

The charity that we supported in 2022 was Hope House Children’s Hospice locally. 

A decision was made at the February 2023 Choir committee meeting not to give a donation to The Alzheimer’s Society. 

The precise value of the donation to Hope House Children’s Hospice will be decided at the AGM, when we will also choose the two charities that we will support in 2022. 

In addition, we raised £1000 for Ukraine. 

## **Obituaries** 

It is with sadness that we note the death of former choir member Marshall Jones. 

## **New members and recruitment** 

This is a significant and continuing issue. 

Six members left the Choir in 2022 for a variety of reasons. 

We are still receiving membership enquiries and there has been a flow of potential new members during the year but not all have stayed with us. Some previous members have returned. 

It is not just our problem; it is well recognised nationally that it is difficult to get men to engage. 

During the year we have trialled recruitment leaflets at concerts, and we have achieved good local media publicity. The new informal social choir that meets monthly may be a stepping-stone offering a taste of our singing, though different

from the main rehearsal, and personalities! The afternoon time and a smaller commitment may help. It is important to involve our new Music Director in all our developments and listen to his ideas. We have looked at involvement in social prescribing to support recruitment but nothing specific has been arranged to date. The choir continues membership of Making Music.  A new subgroup has been set up to investigate ideas on recruitment. They attended a recruitment workshop in Peterborough early this year. The introductory process for new members has been reviewed. The introductory letter has been updated. There is now an initial vocal range assessment. Each new member will have a personal mentor. A singing test will be carried out at the end of a probationary period, nominally at three months, but variable depending upon previous experience rehearsal attendance and speed of learning. **Singing standards, presentation and attendance** There is now a warmup session at start of rehearsals. There is a need to improve singing performance by practising at home, using the Four-part pieces that are being sent out electronically. These have taken considerable time and skill to create. A further reminder is to learn our words. Essential; whether at a rehearsal or a concert, heads up and watch the conductor. Concert Performance attendance needs to improve. Numbers fell significantly for ‘outside’ concerts. Performance discipline must be improved. 

**Health & Safety** 

Despite an easing of COVID restrictions at the end of 2021, COVID continued to have an impact on Choir activities early in the year. For example, committee meetings were still held online. Members were still asked to perform Covid test before rehearsals. Face masks were still in use. The planned Christmas concert had been cancelled and it was decided not to rearrange it. In April new COVID guidelines meant an easing of these restrictions. We resumed face-face committee meetings in June and could start effective planning of concerts.

There was a continuing impact on attendance with a few members having COVID infection and a severe upper respiratory viral infection. Our current risk assessment is continually under review. Our Health & Safety policy was added to the Choir website. **Continuing Activity** A Choir CD was sent to HM The Queen on her 80[th] Jubilee. As previously mentioned, we received an award at the Cheshire West Voluntary Arts Network Annual Awards evening _._ Classic FM. We submitted a Christmas entry. We did well to get down to the last ten, but sadly not into the last five which were the ones that broadcast. The Fred Warren memorial bench in Grosvenor Park Chester is in poor condition and needs to be replaced.  The memorial plaque will be kept. A bench replacement will cost £500; purchase will be deferred because of current Choir finances. A High-Definition Laser Projector has been purchased. A screen will be purchased this year. In liaison with the MD we plan to utilise the projector more for learning purposes.  Display of lyrics, music etc. It can also be used for publicity purposes at events and outside in fine weather. The Choir Newsletter is published regularly. Press releases highlighting Choir activity and performances have been issued throughout the year. We have continued Choir membership of the Making Music organisation. Choir Heritage Archive Project – Andy Horne has finished cataloguing all the boxes. The next step is to digitise his work and resolve how it will be presented. There is the continuing success of the 100 Club. Membership has grown, raising the monthly draw prize to £100, and it has made a significant financial contribution to the Choir in 2022. There has been an Increase in new members contribution to uniform costs from £50 to £80.

**Thanks** ‘Support’ is part of the choir motto. There continues to be significant support given by choir members to those members who are going through a rough time, whether physical illness or emotional, or social problems. A camaraderie. Gentle and caring yet imbued with a robust sense of humour! Rehearsals continue to be fun – as does the increasing use of Whats App. Thanks must be given to Rodney T Jones for his longstanding leadership and commitment to the choir as Music Director. Joe Mann is settling in, having inherited a concert programme. We look forward to the continuation of Choir development, modernisation and the challenges and pleasures of new music. Rehearsals have already changed. There is now a sole weekly full choir rehearsal on a Sunday evening, which already feels different. Warmups, rigorous leadership, and new pieces starting to be introduced. The longer duration has a clear sense of purpose and feels as if it could comfortably carry on for longer. The new monthly Wednesday afternoon social choir rehearsal, led by Bev Atherton is developing its own distinctive character. Already it appears to be very successful. In a year where early on we were still affected by the restrictions of COVID we have resumed face-face rehearsals, delivered a comprehensive range of concerts both locally and regionally. Many of which we were invited to perform at. Audience attendances have been very good. The choir is financially stable, and particular care has been taken with expenditure. Thanks to the Treasurer. We have re-established links and worked well with others e.g., other choirs, Fodens and Sale brass Bands. This has allowed us to maintain contact with supporters. This significant activity demonstrates that the Choir has not just survived but is alive and kicking – hard. To achieve this there are a lot of big thank-yous. First the Music team. Thank you to Helen and Bev. Our foundation for singing. Always present and highly supportive. The challenges of working with over forty blokes. And support of the changes to rehearsal schedules.

Then, as always, thanks to those people, particularly wives, partners and family, who support us by providing refreshments, front of house and raffle collections at rehearsals, concerts and bucket collection events. 

We must acknowledge the commitment and the hard work of the committee. Note the new roles that have been established to improve performance management, 

Finally, and most important the huge amount of work carried out by the Chairman that underpins the Choir. Effective and essential.

There were no questions on the report. 

There was a vote of unanimous acceptance of the report. 

4. Dave Marks presented his written Treasurer’s report. 

## **Treasurer’s Report Financial Year 2022** 

The 2022 accounts have now been formally signed off by our accountants Haines Watts as being a true and fair view of the year’s financial activities.  My thanks go to Haines Watts for their work and a reduced fee structure due to the choir being a charity. 

After nearly two years of low activity, 2022 was when we started to earn revenue again, both internally and externally.  There was a loss for the year of £1,790.11 and a cash reduction of £2,138.89.  The year-end cash figure always includes some monies to be paid out in the following year.  The £10,000 we received from the Duchess of Westminster in 2020 has provided us with a good hedge to get through the pandemic.  For the first time in our accounts, we showed tours and social events below the line, as these items do not have an effect on profit and loss. 

On the income side, we organised three large concerts during the year as well as being invited to a number of smaller events, including Tatton Park, Chester Town Hall, Eaton Hall, etc.  The 80[th] anniversary concert showed a small loss due to payments to Chester Cathedral and Foden Brass Band.  This was planned for due to the prestigious nature of the concert.  All other events, including our

Christmas concert (£1,420 profit), and Handbags of Harmony concert (£1,791 profit), were nicely profitable.  We raised over £3,000 for charities – Ukraine, Macmillan, Hospice of the Good Shepherd, Clatterbridge and Claire House.  This was a similar amount to 2021, and both years have been significantly higher than previous years.  Internal fundraising for our subscription donations, 100 Club and rehearsal teas helped maintain our cash position.  We subsidised both our Cardiff tour and postponed our 2021 Christmas lunch following difficulties during the pandemic.  These subsidies were agreed and understood by the committee.  We received £1,717.49 from HMRC in gift aid.  We will be claiming for a slightly lower figure again during 2023. On the expenditure side, the ongoing payments for our music team and venue hire can be seen in the monthly accounts.  We took the resignation of our previous music director to revise the structure of these payments to make them clearer.  Our concerts have always had fairly high expenses such as venue hire, advertising and guest artists.  Again, these can be seen on the concert expenses line of the monthly accounts.  Generally, our concerts make a good profit, unless we make a clear decision to invest.  Our profitable 100 Club payments are also shown in the monthly accounts. 2023 should increase our revenue opportunities further.  We have already planned four concerts, all of which should be nicely profitable.  We will also receive invitations to paying events and revenue from our member donations, 100 Club and rehearsal teas.  On the expenditure side, fixed costs from professional services and venue hire will increase slightly, and we will also subsidise our tour for the benefit of members and partners. I anticipate 2023 will maintain our cash position of between £12,000 and £14,000 which is above our agreed continuity level of £11,000. I would like to take this opportunity to thank everyone who is involved with the administration and raising of monies at both internal and external events for our choir.  Without you all our finances would not be in such a healthy position. I now intend to suggest a donation for membership of the choir to £100 for 2023. It is, of course, up to each member to decide what he wants to donate, but this is a figure the committee feels is appropriate. The committee has proposed two local charities for our donations for 2023. These are KidsBank Chester, a local children’s charity, and Share, a local homeless charity.  Full details of both charities can be seen on their websites. David Marks 2.03.2023 Endorsement of the accounts was proposed by Ron Webster and seconded by Andy Horne. There was a unanimous vote in favour.

5. **MUSIC DIRECTOR REPORT** As this is my first AGM with the CMVC, I would like to say at the outset what a pleasure it has been to take over as MD. I want to thank all members and the committee for their support and kind words over my first few months. I have been really happy with the state of the music thus far; the Christmas period was inevitably dominated by our standards, but I was glad to also be able to try some more advanced pieces to challenge the group. Going forward, I am conscious of the various ups and downs with arrangements, tracks and rights, but I also don’t want to let this hold us back now that we have established our position. To this end, I want to make sure that we maintain the current work ethic of practice at home through scores and practice tracks. This has made an incalculable difference to our rehearsals when choir members have come prepared and all we have to do is put the pieces together to make something fantastic. With regards to new repertoire, the feedback/comments members gave on the suggestion slips were extremely helpful, and I am very keen to keep pushing new, challenging pieces that will be fun for the choir to sing and make a welcome addition to a crowd-pleasing set. Areas for improvement I found would be attention during rehearsals, attendance for performances further afield, and building on the professionalism we exhibit at our concerts (getting on stage in formation etc.). Beyond this, I look forward to an exciting year full of new challenges, exciting opportunities, and, let’s be honest, strange adventures! Joe Mann February 2023. 6. **Annual General Meeting 5[th] March 2023 – Chairman’s Address** . Blair Wilson presented his written address as follows: Chairman’s Report Chester Male Voice Choir AGM 2023 Ladies and Gentlemen, firstly a huge thanks to Chris, Dave and Joe for their reports. I want to talk about some aspects of the previous year but also about how me move forwards. When I agreed to take over the role of Vice Chairman and then Chairman my thoughts were that this is a project for me to take on and get my life back to some form of normality, after losing Gill, as well as it was time for me to take my turn. Little did I know what was about to develop at the start of my first year as Chairman.

As you have heard, our President decided to retire but we managed to recruit Matt Baker into the Presidency, as a result of a great deal of work carried out by John and this year Matt has been a great source of advice to me and is a great President for this choir. We meet regularly and his knowledge and expertise in both music and the life of Chester is invaluable, and I know will be in the future. 

At the very start I was in discussion with Rodney, regarding his illness and it was clear from the onset that Rodney was suffering and was going to require intensive treatment to return to good health. Ron and I met with Rod and we discussed a number of matters, including his health and he felt that it was time to leave the choir after a period of sixteen years as Musical Director. These sixteen years had been time where Rod and the choir had worked hard to achieve an excellent standard of performance and introduced a number of pieces of music to the choir repertoire. I would like to place on record our sincere thanks to Rod for all he did for this choir during his period as MD. 

During that period, we relied heavily on our Deputy Musical Director Lance and also Ian. Lance carried the choir through the period with great enthusiasm, including leading the choir at short notice on our tour to Cardiff. I had a good chat with Lance this week and it is no secret that events in his life have changed significantly, including his own health and he has decided not to stand as Deputy Musical Director this year. We owe Lance a great debt of thanks and again would like to record our thanks to him for his work as Deputy MD and we look forward to welcoming him back into the Baritone Section as soon as he is able. 

If you recall we spent an evening of questions with the young people making the film with Matt and Joe was there working with the group and kindly agreed to stand in as MD for the choir until we appointed a permanent MD. Thankfully he liked us that much he applied for and was successful is securing the role as MD for this choir. Again, our thanks to Joe for taking on this role. 

We then needed to change our rehearsal nights, as you have previously heard, and this meant that Helen would be taking Sunday evening rehearsals. When we were in Cardiff and we have taken part in the Saturday evening concert we were invited to an After Show Party, in which we witnessed a brilliant performance of Social Singing by Beaufort Choir. I remember walking around the village on the Sunday morning visit with Bev and John and Bev was quite candid about our performance in the Social Singing field and then and there volunteered to help tutor the choir in Social Singing, instead of singing repertoire pieces. This then seemed a great opportunity for a Social Singing Section. We currently meet on one Wednesday a month, but we will review this with Bev and could move to twice a month. 

Ladies and Gentlemen, we are indebted to the ladies who support our choir. The ladies who staff front of house for our concerts and the ladies who provide refreshments both at concerts and on rehearsal nights but also your wives and

partners, who let you out on concert and rehearsal nights to enjoy singing with the choir. Ladies, we thank you. I have read previous Chairman’s reports and the theme throughout these reports and certainly in mine is the need to evolve and move forwards in order to attract new members. This is vital for the survival of the choir and its development. Beaufort Choir, had successfully recruited a number of younger members, in an area where choristers are in high demand. Their success was mainly because modernization of their repertoire and this is an area Joe is keen to develop. I know Joe also wants to retain a number of our current repertoire, as they are part of the choir’s history and we perform them well. Joe used a phrase in his interview, which I believe is important. Evolution, not revolution and we are grateful for your forward thinking on this matter Joe. Ladies and Gentlemen this report is about the work of the choir, but I have to mention the committee. The committee comprises of a few extremely hardworking people, who give a vast amount of time taking on numerous roles. They all are so enthusiastic about this choir and those who have served on the committee previously will know the huge commitment these members give to this choir and I personally thank you. 

As I draw to a close, I would like to thank the Music Team, as a whole for all of their work. I know of a number of choirs that struggle to have someone to conduct and accompany their choirs. We have no problems in this area and have such a talented team for which we are extremely grateful. Ladies and Gentlemen, I have talked about recruitment and change and this has to happen. John, Richard, Chris and I attended the Peterborough Male Voice Choir Conference recently where we saw how Peterborough Choir have been so successful in recruitment, as well as raising thousands of pounds for Prostate Cancer Research. We heard from three members from Snowdown Choir in Kent about their journey through the recruitment programme, which was extremely successful. 

I have the details and requirements from Peterborough Choir to take part in their 2024 process. There is a massive commitment and as a committee, we will discuss how we can be part of the process. 

It would be remiss of me not to ask you to think about those members of the choir and their families, who are not well and are unable to be with us tonight. This choir is a great source of support to those needing help. I know for one the value of having such dear friends in a time of crisis. I can tell you, it is worth everything. Finally, I just to mention one of the most poignant events this year, the vigil to mark the anniversary of the commencement of hostilities in the Ukraine. This had a massive effect on me seeing those people whose families are being torn

||apart, fighting for freedom, or those who have lost loved ones. They have lost<br>their homes and are now building a community in Chester. It was a humbling<br>experience and one I was so glad were able to be part of.<br>Gentlemen, we have a rich history of male voice singing and we have an exciting<br>future ahead, let’s grasp it with both hands and show the people of Chester and<br>elsewhere how damn good we actually are.<br>Thank you.|

## 8. **Election of Committee Members and other Choir roles:** 

Lists of the names for the other Choir posts and the ten nominations for the Committee had been previously published and circulated to members. All nominees had been proposed and seconded. 

There was a unanimous vote to accept the nominations for the Choir Posts and a second unanimous vote to accept the nominations for the Committee.
