THE SHEFFIELD OUTH ORCHESTRA ort of the Trustees Year Ended 31 Au ust 2022 Under the terms of the original constitution the Charity is run by the Council in conjunction with the conductor. The conductor is appointed bythe Council and paid bythe orchestra. The officers of the Charity are the chair, secretary, treasurer, and safeguarding officer, who togetherwith the non-officer roles made up of parents of both past and present members, alumni and player members make up the Council, who are also known as the Committee. The orchestra benefits from Council members of parents whose children have already left the orchestra, as well as some alumni, their experience and knowledge is greatly appreciated. All Council members are appointed during Council meetings, including officer roles when these become vacant during the year, with aLI such appointments then being confirmed, by election, atthe AGM. Since the adoption of the making music constitution, adopted bythe Council on 11 March 2023, all members ofthe Committee are Trustees, except where a Member of the Committee is under the age of 18 years old. All Council members are appointed for a period ofthree years. At each AGM one third of the Council members retire and are eligible for re-election. All adult Council members undergo DBS checks. Some members also register as chaperones with their local council, by undergoing enhanced DBS checks and safeguarding training. The correct chaperone / young person ratio, in accordancewith the local council rules and regulations, are always maintained at concerts and other events. Some Council members also train as first aiders and refresh skills regularly. The following policies are prepared, updated regularly and shown on the orchestra's website- Child Protection and Safeguarding Policy (including appendix), Online Safety Policy, Social Media Policy, Data Protection Policy, GDPR Audit and Zoom Etiquette Staff and Members. Safeguarding Risk Assessments are completed for every orchestra event and made available at the time the event occurs, these are then kept by the safeguarding officer. THESH FF ELD YOUTH OR HESTRA ort of the Trustees ust 2022 Year Ende_d 31 A_ukn_ Other members are the parents of the children who currently attend the orchestra, as well as honorary members which are agreed by the Council, to include parents of past members and alumni, where they become Council members as well as patrons. Subscriptions are only due in respect of player members. Activities: The orchestra hold weekly rehearsals, in term time, at CURC on a Saturday morning between 10:00am and 12:30pm. Outside of Covid times concerts are held once a term in addition to collaborations with other local orchestras. In recent times this has included the Sheffield Symphony Orchestra, Steel City Choristers and the Sheffield Philharmonic Orchestra. Since September 2022 the orchestra, underthe new conductor River Edis-smith, has held termly community days bringing togetherthe wider community as well as helping to recruit new youth players for the orchestra. These are open to all age groups and are free to all participants. These have been well received with over 100 participants at the most recent event. The Community Days were recently shortlisted forthe Making Music national awards underthe best new project category. In January 2023 the orchestra also collaborated with an Australian based ensemble, the Scotch College Youth Orchestra. They performed together at Stoller Hall in Manchester where the focus was to meet and perform with musicians from across the world and enhance the orchestra's cultural capital. Year Ended 31 August 2022 The year ended 31 August 2022 saw further disruption due to the return of the Covid restrictions during the winter, however some semblance of normality had returned with a residential trip to Thornbridge in September 2021 and a concert in November 2021, where an audience was able to be present, before restrictions returned. The November 2021 concert included performances of Scheherazade, Brahms Festival Overture and the James Bond theme tune. Covid restrictions saw a return to online rehearsals and concerts and socialising being cancelled once again duringthe winter months. However, once restrictions were relaxed, for what was thankfullythe final time, rehearsals were once again able to restart and eventually the orchestra was also able return to CURC for rehearsals. It was possible to hold another concert in May 2022, where once again an audience was able to be present. The Rhapsody in Spring concert in May 2022 saw performances of Tchaikovsky 1812 overture, Humperdinck Evening Prayer 4, Dvorak Largo from Symphony No. 9, Sibelius Finlandia. Dvorak String Quartet No 12 in F Major and Gershwin Rhapsody in Blue and was a great success.
E SHEFFIELD Y UTH ORCHESTRA Re ort ofthe rustees Year E ded 31 Au ust 2022 As is normal due to moving on in education etc., ten Longstanding members left at the end of that year. It is the nature of a youth orchestra to have a high turnover of players and therefore parent members, so there is a constant need for recruitment for orchestra players and Council members. Christmas 2021 brought the news of George Morton's intention to resign as the orchestra's conductor. He had been with the orchestra for over seven years. The Council took on the task of recruiting a new conductor and River Edis-smith was appointed in the summer of 2022 to take over the role of conductorfrom 10 September 2022. River Edis-smith has undertaken an overhaul of the charity's social media and website. The year finished with the first social event for a long time with a f ilm and pizza night at Yellow Arch as well as a farewell event for George Morton. FINANCIAL REVIEW The charity's main income source is from the annual subscriptions paid by its members as well as donations at concerts and external grants and donations, including amounts received from patrons of the orchestra. Members are also asked to make a contribution towards the cost of the annual residential trip. No charge is made for concerts and subscription fees are kept as low as possible in order to make it accessible to all. Bursaries are also available. As well as its patrons, whose ongoing support is greatly appreciated, the charity was extremely fortunate to receive two large donations during the year. One of £500 from a localfreemason's lodge, The White Rose of York, who had some historical connections with the orchestra to be spent on a specific item, rather than being added to general reserves. The amount was added to the restricted fund. A half sized double bass was purchased by the orchestra at this time. The restricted fund also includes a brought forward amount of £500 regarding a bequest made in an earlieryearforthe purchase of a violin-this will be purchased as soon as one is needed. The otherwas a bequest of £30,983 in the will of a local woman, although we are unsure of her connection to the orchestra. No restrictions were put on the bequest; however, the Council have used it in part to fund the Community Days which started in September2022. Donations at concerts during the year were not taken in cash due to Covid restrictions. 25 members paid subscriptions duringthe yearended 31 August 2022. The Charity's main expenses include the cost ofthe conductor, music, hire of the hall, and the Thornbridge residential, as well as social events for its members and annual subscription, insurance and printing costs.
THE SHEFFIE YOUTH ORCHESTRA Re ort of the Trustees Year Ended 31 Au ust 2022 The amount brought forward and carried forward, shown in the restricted fund, represents an amountto be used forthe purchase of instruments in the future. This in part came out of previous monies donated for instruments where the instruments were purchased and then subsequently sold. The accounts have not been prepared using accruals accounting and instead use the receipts and payments format as permitted bythe Charity Commission for an unincorporated small charity. th Approved by the trustees on 9 November 2024 and signed on its behalf by: .
