Trustee’s Report for the year Ended 30[th] June 2025

The Trustees present the financial statements of the Charity for the year ended 30th June 2025.

The Charity was established under the direction of the Rotary Club of Rugby by a trust deed dated 4th June 1970. This was amended at an Extraordinary General Meeting of the Rotary Club of Rugby on Friday 19th April 2024. The Deed establishes that the Trustees of the Charity should be the three officers of the Club – the President, Secretary and Treasurer. These carry out their duties under the direction of the Council of the Club. For the year 2024-2025 the Trustees were:

The Charities Act 2011 requires the preparation of financial statements for each financial year, which give a true and fair view of the state of affairs of the Charity at the year end and of its income and expenditure for the year then ended. This requires use of suitable and consistent accounting policies produced on an ongoing concern basis, unless circumstances deem the latter inappropriate. The Treasurer is responsible for keeping proper accounting records, which disclose with reasonable accuracy at any time the financial position of the Charity and enable them to ensure that the financial statements comply with the Charities Act 2011. The Accounts are independently examined before presentation to the Club for ratification at an AGM. They are then made available on the Charity Commission website.

The Trustees and the Council of the Club are responsible for safeguarding the assets of the Charity and therefore taking reasonable steps for the prevention and detection of fraud and other irregularities. Internal controls and systems have been established accordingly.

Investment Policy - In view of the level of funds available for investing, the Charity has a policy of investing in low-risk investments such as bank and other deposit accounts.

As a registered Charity the fund is not liable to taxation.

The object of the Charity is to apply funds to or for the benefit of the poor and needy or for the benefit of such other charitable institutions societies and objects as the Council of the Club shall at a duly constituted meeting from time to time direct.

The Council of the Club considers once a year whether the level of Reserves is appropriate.

Review of Activities in 2024-2025

Donations Received (£16k)

The Charity received £16k in donations with just over £13k coming from five sources – the Rugby Benevolent Fund for Sports for the Disabled (£9K), the Rugby Benevolent Fund for Dictionaries (£1k), from two other Rotary Clubs for our Bwengu project fund (£1.5k), a District Grant for dictionaries (£600) and a cheque for £1028.3 from the CHAD Ambulance Trust due to this being discontinued.

Nearly all the funds received were given on a restricted basis. It was decided to put the CHAD Ambulance donation into the Disabled Sports fund.

One major difference from the previous year was that the Club made a £10 per member donation to Foundation whereas voluntary donations to Foundation from members were minimal. (N.B. Nearly all the £121 donation in 24/25 is one sustaining member’s donations. Other sustaining member contributions are paid by members directly).

Charitable Activities (net income of £14.2k)

The amount raised was in line with the previous year. I have shown the amount raised for Tree of Light £3.2k on a gross basis to include the cash and cheques paid directly to Myton hospice plus the Gift Aid they claimed. A MacMillan Nurses coffee afternoon organised by a member raised £1615. A Quiz night plus the sale of Christmas reindeer raised £838 for the Bwengu Fund. Unrestricted net funds raised amounted to just short of £8k. The biggest items were the Spring Fair (£2.5k), Xmas carpark (£1k), 100 Club (£0.8k) and the Race Night (£0.7k).

Donations Made (£22.2k)

This was also in line with the previous year. Nearly two thirds of the Donations were from Restricted Funds including £3.3k for the Bwengu project, £3.2k to Myton for the Tree of Light event, £2.3k net cost of the Disabled Sports Day, £1.6k to MacMillan Nurses and £1.6k for Dictionaries.

Donations out of unrestricted funds amounted to £8.2k consisting mainly of £3k to the President’s Charities (£1500 each to New Directions and Rotary Foundation) plus principally donations requested by the Community & Vocational and the International & and Foundation Committees (including £1.7k to the Bwengu Fund) . The net cost of the Youth committee’s expenditures was allocated to the Paul Gilbert Fund.

International Donations were equal to 24% of total donations. (Objective is at least 20%).

Interest Received (£1k)

This consisted of £260 credited in the restricted CCLA Sports for the Disabled account and £741 in the unrestricted CCLA General account.

Reserves

The Reserves of the Charity (and the value of the Bank Accounts) at end June 2025 were £35k. This was an increase of £9k, equal to the amount received for Sports for the Disabled from Rugby Benevolent Fund. £22k is Restricted (Sports for the Disabled, Bwengu, Paul Gilbert Youth Fund, the Satellite Transfer fund and Foundation). This leaves £13k of Unrestricted Reserves. Trustees and Council have agreed that the latter is an acceptable level of Reserves.
