## **TRUSTEES' REPORT FOR THE YEAR ENDED 30TH JUNE 2023**

## **Basis of Report and Accounts** 

The Trustees have pleasure in presenting their report together with the financial statements of the Charity for the year ended 30th June 2023. 

## **Principal Activities** 

The fund was established by a trust deed dated 4th June 1970. 

The object of Rotary is to encourage and foster the ideal of service as a basis of worthy enterprise and in particular to encourage and foster: 

First the development of acquaintance as an opportunity for service; Second high ethical standards in business and professions, the recognition of the worthiness of all useful occupations and the dignifying by each Rotarian of his occupation as an opportunity to serve society; 

Third the application of the ideals of service by every Rotarian to his personal, business and community life; and Fourth the advancement of international understanding, goodwill and peace through a world fellowship of business and professional persons united in the ideal of service. 

In achieving these objects the members carry out fund-raising and service projects in order to provide assistance to local, national and international causes. 

As a registered Charity the fund is not liable to taxation. 

## **Risk Management** 

The Trustees have reviewed the risks facing the Charity, which has involved identifying the type of risk and the means of mitigating those risks. Internal controls and systems have been established accordingly. 

## **Reserves Policy** 

The Trustees consider the level of reserves required should be sufficient to ensure the charity is able to maintain the historic level of ongoing service for the foreseeable future . Significant surpluses should be reviewed by the Trustees in conjunction with the Council of the Rotary Club and may be distributed ad hoc.

## **Investment Policy** 

In view of the level of funds available for investing, the Charity has a policy of investing in low risk investments such as bank and other deposit accounts. 

## **Grant Making Policy** 

The Charity makes donations to local, national and international charitable causes. Donations which may first be considered, reviewed and proposed by Club committees are ratified by the Club Council and Trustees. Ratification may be retrospective in the case of emergency donations requested by committees of the Club. Unless the Club otherwise resolves, not less than twenty per cent of funds raised during any year should  go to causes deemed international as agreed by the Council of the Club. 

## **Responsibility of the Trustees** 

The Charity Act requires the Trustees to prepare financial statements for each financial year, which give a true and fair view of the state of affairs of the charity at the year end and of its income and expenditure for the year then ended.  In preparing the financial statements the Trustees are required to select suitable accounting policies and then apply them consistently, making judgements and estimates that are reasonable and prudent. The Trustees must also prepare the financial statements on an ongoing concern basis unless it is inappropriate to presume  that the charity will continue its accuracy at any time the financial position of the Charity and enable them to ensure that the  activities. The Trustees are responsible for keeping proper accounting records, which disclose with reasonable accuracy at any time the financial position of the Charity and enable them to ensure that the financial statements comply with the Charities Act 2011. The Trustees are also responsible for safeguarding the assets of the Charity and therefore taking reasonable steps for the prevention and detection of fraud and other irregularities. 

## **Review of Activities for the year** 

Grants and Donations were nearly £10k and the Income from Charitable Raising was nearly £23k. Total Income including interest received was a little over £33k, about £1k lower than in the previous year. Total expenditure on Fund Raising was £6k, some £5k lower than in the previous year. Donations to Charitable causes were £29k, over £7k more than the previous year. The funds of the Charity fell by £2k to £21,581. 

In the year donations to charities working overseas was 25%.

## **INDEPENDENT EXAMINERS' REPORT TO THE TRUSTEES OF THE ROTARY CLUB OF RUGBY BENEVOLENT FUND - Charity  No 500889** 

We report on the accounts of the Charity for the year ended 30th June 2023 as set out on pages 5 to 9. 

## **Respective Responsibilities of Trustees and Examiners** 

The Charity's Trustees are responsible for the preparation of the accounts. You the Trustees consider that an audit is not required for this year under Section 144(2) Charities Act 2011 ( the 2011 Act) and that an independent examination is needed. 

It is our responsibility as Examiners to: 

- (i)   examine the accounts under section 145 of the 2011 Act 

(ii)  follow the procedures laid down in the General Directions given by the Charity Commissioners  under section 145(5) of the 2011 Act (iii) state whether any particular matters have come to our attention. 

## **Basis of Independent Examiners' Report** 

Our examination was carried out in accordance with the General Directions given by the Charity Commissioners. An examination includes a review of the accounting records kept by the Charity and a comparison of the accounts presented with those records. It also includes consideration of unusual items or disclosures  in the accounts , and seeking explanations from the Trustees concerning such matters. The procedures undertaken do not provide all the evidence that would be required in an audit and consequently no opinion is given as to whether the accounts present a "true and fair view" and the report is limited to those matters set out in the statement below. 

## **Independent Examiners' Statement** 

In connection with our examination no matter has come to our attention: 

- 1     which gives reasonable cause to believe that in any material respect the requirement: 

   - (a) to keep accounting records in accordance with section 130 of the 2011 Act and 

   - (b) to prepare accounts which accord with the accounting records and comply with the accounting requirements of the 2011 Act.
