## **TRUSTEES' REPORT FOR THE YEAR ENDED 30TH JUNE 2022**

Keith Ward was a trustee in the previoius year but resigned on 1st July 2021 on stepping down as President of the Rotary Club and Susan Maguire was appointed 

## **Basis of Report and Accounts** 

The trustees have pleasure in presenting their report together with the financial statements of the Charity for the year ended 30th June 2022, which have been prepared adopting the provisions of the Statement of Recommended Practice (SORP) "Accounting and Reporting by Charities" issued in 2019. 

## **Principal Activities** 

The fund was established by a trust deed dated 4th June 1970 

The object of Rotary is to encourage and foster the ideal of service as a basis of worthy enterprise and in particular to encourage and foster: 

|First|the development of acquaintance as an opportuntiy for service|
|---|---|
|Second|high ethical standards in business and professions, the recognition of the|
||worthiness of all useful occupations and the dignifying by each Rotarian|
||of his occupation as an opportunity to serve society|
|Third|the application of the ideals of service by every Rotarian to his personal,|
||business and community life|
|Fourth|the advancement of international understanding, goodwill and peace|
||through a world fellowship of business and professional persons united in|
||the ideal of service|



In achieving these objects the members carry out fund-raising and service projects in order to provide assistance to local, national and international causes 

As a registered Charity the fund is not liable to taxation 

## **Risk Management** 

The Trustees have reviewed the risks facing theCharity, which has involved identifying the type of risk and the means of mitigating those risks. Internal controls and systems have been established accordingly 

## **Reserves Policy** 

The Ttrustees consider the level of reserves required should be sufficient to ensure the charity is able to maintain the historic level of ongoing service for the foreseeable future . Significant surpluses should be reviewd by the Trustees in conjunction with the Council of the Rotary Club and may be distributed ad hoc.

## **Investment Policy** 

In view of the level of funds available for investing, the Charity has a policy of investing in low risk investments such as bank and other deposit accounts 

## **Grant Making Policy** 

The Charity makes donations to local, national and international charitable causes. Donations which may first be considered, reviewed and proposed by Club committees are ratified by the Club Council  and Trustees. Ratification may be retrospective in the case of emergency donations requested by committees of the Club. 

Unless the Club otherwise resolves,  not  less than twenty per cent of funds raised during any year should go to causes deemed international as agreed by the Council of the Club. 

## **Responsibility of the Trustees** 

The Charity Act requires the Trustees to prepare financial statements for each financial year, which give a true and fair view of the state of affairs of the charity at the year end and of its income and expenditure for the year then ended. 

In preparing the financial statements the Trustees are required to select suitable accounting policies and then apply them consistently, making judgements and estimates that are reasonable and prudent.The Trustees must also prepare the financial statements on an ongoing concern basis unless it is inappropriate to presume that the charity will continue its activities 

The Trustees are responsible for keeping proper accounting records, which disclose with reasonable accuracy at any time the financial position of the Charity and enable them to ensure that the financial statements comply with the Charities Act 2011. The Trustees are also responsible for safeguarding the assets of the Charity and therefore taking reasonable steps for the prevention and detection of fraud and othe irregularities 

## **Review of Activities for the year** 

The year's fund raising activities were still affected due to the ongoing Covid pandemic . The second year of the 100 Club, produced a surplus of £2,980 (2021 £3,492) 

The Tree of Light project and other fund raising enabled a donation to Myton Hospice of £8,350 (2021 £6,398) 

The total income for the year was £34,181 (2021 £41,515) and the cost of raising funds was £11,313 (2021  £9,463) with £21,734 donated to charity (2021 £25,107) and other costs £- (2021 £30) The surplus on the unrestricted fund for the year was £479 (2021 £6,206) and on the restricted fund £655 (2021  ££1,368) giving a balance to carry forward on the unrestricted fund of £11,690 (2021 £11,211) and on the restricted funds £12,001 ( 2021 £11,346). 

In the year donations to charities working overseas was % (2021 17.6%)

## **INDEPENDENT EXAMINERS' REPORT TO THE TRUSTEES OF THE ROTARY CLUB OF RUGBY BENEVOLENT FUND - Charity  No 500889** 

We report on the accounts of the Charity for the year ended 30th June 2022 which are set out on pages 4 to 9 

## **Respective Responsibilities of Trustees and Examiners** 

The Charity's Trustees are responsible for the preparation of the accounts. You the Trustees consider that an audit is not required for this year under Section 144(2) Charities Act 2011 ( the 2011 Act) and that an independent examination is needed. 

It is our responsibility as Examiners to: 

- (i)   examine the accounts under section 145 of the 2011 Act 

- (ii)  follow the procedures laid down in the General Directions given by the Charity Commissioners under section 145(5) of the 2011 Act 

- (iii) state whether any particular matters have come to our attention 

## **Basis of Independent Examiners' Report** 

Our examination was carried out in accordance with the General Directions given by the Charity Commissioners. An examination includes a review of the accounting records kept by the Charity and a comparison of the accounts presented with those records. It also includes consideration of unusual items or disclosures  in the accounts , and seeking explanations from the Trustees concerning such matters. The procedures undertaken do not provide all the evidence that would be required in an audit and consequently no opinion is given as to whether the accounts present a "true and fair view" and the report is limited to those matters set out in the statement below. 

## **Independent Examiners' Statement** 

In connection with our examination no matter has come to our attention: 

- 1     which gives reasonable cause to believe that in any material respect the requirement: 

   - (a) to keep accounting records in accordance with section 130 of the 2011 Act and 

   - (b) to prepare accounts which accord with the accounting records and comply with the accounting requirements of the 2011 Act 

has not been met or 

- 2      to which in our opinion attention should be drawn in order to enable a proper understanding of the accounts to be reached
