## **East Hendred Consolidated Catholic Charities (EHCCC) Minutes of the AGM of 19th March 2024 at 11am**

Minutes to be read in conjunction with Agenda and with written reports from Chairman, Nick Parry and Treasurer.

## **1. Minutes**
ETIE proposed Minutes of meeting of 14[th] March 2023 and these were approved. The Bishop and Edward declared a conflict of interest.
## **2. Chairman’s Report.** (see also copy of the Chairman’s Report)
No matters arising from the Chairmans report.
## **3. Treasurer’s Report** (see also copy of income & expenditure, and the forward budget for the year ending 31.12.24)
**WS** asked that **HLG** check the budget for 2024 with regard to the residential rents as he thought they looked a little high in light of the Presbytery not now earning any rent. The forward budget will also need adjusting following the grants payable that were discussed in Future Thoughts.
## **4. Property Report** (See report by NP)
An inspection had been undertaken by Historic England who are taking stock of buildings in the diocese of Portsmouth. They did not seem to show much interest in the Old School Hall as it had been altered so much over the years. The Presbytery was of more interest albeit much improved internally. UPDATE: Historic England confirmed the day after the meeting The Presbytery was to be added to the List but that Old School Hall and School House were not going to be. With the Presbytery becoming vacant ready for the Priest to take residence it was extensively redecorated and it is hoped that Father Matthew and his family will be happy there for many years.
With regard to general EPC levels. Most properties are a level E and the regulations to increase the measure to a C seem to have been pushed back so this has taken some pressure off making further improvements, however it was noted that prospective tenants are mindful of the energy efficiency with the cost of fuel having increased so much.
The problems with the damp in St Mary’s cottage and the Church boiler which is accessed through St Marys Cottage were discussed and are hopefully now both resolved.
We are glad to hear that the newly refurbuished Parish Rooms are being used by the Parish and that this is likely increase going forwards. ALE commented that if it was let out to organisations outside the village it would be a source of income for the parish.
**BE** enquired about the Bridge and whether it could be used for anything noting Father Matthew has expressed an interest in re-instating its use. **NP** reported it is not easily accessed following the alterations to the kitchen & WC in St Mary’s.
## **5. Future Thoughts**
**ETIE** wanted to discuss the challenges facing the school at the moment. The number of children at the moment is 109 but is likely to drop of the next couple of years which will pose funding problems. As it is they are reducing class numbers from 5 classes to 4.5. They need to raise funding for a part time teacher and have asked if the EHCCC would consider funding half of the part time teacher, plus £5000 towards the play therapist. Whilst it was noted that the Trustees are not entirely comfortable with paying for day-to-day costs as opposed to capital items, they felt that this should be a short term cash flow crisis and that with all the development going on in the general area the numbers should improve in the medium term. It was also agreed that if the PTA fail to raise the remaining 50% cost of the part time teacher the EHCCC would pick up the balance.
It was noted that the ratio of Catholics to non-Catholics at the moment is below 50% and that it is important to maintain a certain ratio of Catholics to ensure the ethos of the school. It was felt this very much depended on the senior staff. The School has recently had an outstanding Diocese report which is great news and hopefully might encourage people to send their children to the school even if it is not their most convenient choice. The PTA are actively seeking ways to fundraise and are going to try to reach out to past alumni.
A discussion was held about the possibility of becoming an Academy and the advantages this might have.
Whilst the Parish has accepted that the £10000 which has been paid for the last few years is now stopping, they have asked if we could contribute to pay for some new Vestments for the parish. This was agreed to.

Independent examiners report to the East Hendred Consolidated Catholic Charities
I report to the trustees on my examination of the account5 of the East Hendred
Consolidated Catholic Charities for the year ended 31 December 2023.
Responsibilities and basis of report
As the charity trustees of the East Hendred Consolidated Catholic Charities, you are
responsible for the preparation of the accounts in accordance with the requirements of the
Charities Act 2011 ('the Act,).
I report in respect of my examination of the East Hendred Consolidated Catholic Charities
accounts carried out under section 145 of the 2011 Act and in carrying out my examination I
have followed all the applicable directions given by the charity commission under section
145 {5)(b) of the Act.
Independent examiners statement
I have completed Tny examination. I confirm that no material matters have come to my
attention in connection with the examination giving me cause to believe that in any material
respect accounting records were not kept in respect of the East Hendred Consolidated
Catholic Charities as required by section 130 of the Act.
I have no concerns and have come across no other matters in connection with the
examination to which attention should be drawn in this report in order to enable a proper
understanding of the accounts to be reached.
