Structure of the charity, how it is managed and how it recruits trustees

We are a Scout group based in Lane End with 59 young individuals attending weekly activities across our beaver, cub & scout sections. We are proud of the large number of places we can o�er, and maintain an active waiting list.

We are fortunate to have use of a building left in trust to the Scout movement, with maintenance of that building falling to Lane End Scout Group. The charity is able to rent rooms out to a local nursery during the day, as all Scouting activities occur in the evening. This is the main driver behind the income of the charity.

The charity is led by the six trustees named above, three of whom are the leads for the beaver, cub & scout sections. The other trustees are the Chair, the Group Scout Leader & the Treasurer. Additionally there are another 12 volunteers who are leaders in the various sections. All undergo an enhanced DBS check and maintain the required level of training required to be a Scout Leader, and ensures that we have a large enough pool from which to nominate trustees. The Scout group follows the national Policy, Organisation & Rules of the Scout movement, which includes a safeguarding policy.

The trustees are in regular contact regarding activities, concerns & the health of the charity in terms of number of children attending, volunteers, trustees & the financial health of the charity. Any improvements to the building, or large spend, need majority approval from the trustees in advance of the work or the purchase occurring, with all payments made electronically with a preparer and an approver. In addition the trustees formally meet once a quarter to discuss these topics in more depth, with exceptional ad hoc meetings held if and when required. An AGM is held once a year where the trustees report on all these matters, with good attendance from the parents of children who attend.

Activities & objectives in the year

By renting out the building during the day to a local nursery, we aim to keep our scouting membership fees at a reasonable level, a�ordable by many in the community. We provide a full programme of activities, with the children working on several badges and developing key skills

for life. There are annual camping events which are fully risk assessed, and provide an opportunity for the children to put the skills they’ve learnt each week into action, and to spend time outdoors in nature. We are responsible for the upkeep and maintenance of the building, and make regular improvements to ensure that it is a safe location for both the Scouts, the volunteers and the nursery. Achievements & performance in the year Our large number of children attending across the three sections provides a positive impact to local families, at an a�ordable price. The Scout Group is well known in the village, with regular representation at the annual village remembrance service & the annual village fete. The children are encouraged to be responsible members of the local area and often fundraise for charity, including recently funding a defibrillator to be attached to the outside of the building for the local area to use.

Financial review

Our accounts are prepared under the receipts & payments method.

The total receipts for the year ended 31st March 2025 were £31,164 requiring our books to be independently examined by someone with the requisite ability and practical experience to carry out a competent examination of the accounts. This was done by a qualified chartered accountant.

The majority of the income is derived from the rent charged to the nursery who use the building during the day. This amounted to £25,014 during this financial year. Our fees to members must be presented net of the contribution made to the Scouting district, and the net amount for this financial year was £3,065. The remaining income was a mix of bank interest and other income.

The group has not submitted a gift aid claim for some years and this is being addressed internally. There were no grants applied to in this financial year, but these are kept under review.

As a product of the income comfortably exceeding the outgoings, our bank balance increased by £9,063, with a closing balance of £43,799. The trustees have been informed that the roof will need replacement in approximately the next five years, so maintains a specific bank account for this purpose containing £35,149.

No funds are held by custodian trustees.

The Council owns a building in Wheeler End which is held in trust by the Scouts Association Trust Corporation. This building is used for group activities and is rented out to a private nursery during the working week. No valuation for this building is recorded in the Council's accounts. The Council has been advised that the roof will need replacement within five years, so maintains a fundraising programme and account for this purpose. Funds are held in the project account.
