Minutes 15 september
l. Introduction and welcome
Bruce and Nigel opened the meeting at 19.20.
Bru￿ welcomed everyone and thanked everyone for their attendan￿. - 17 people attended the
meeting
2. Apologies for absence
Apologies were received from Adam Cashmore, Dani Stopford. John Wheatley and Barbara
Murlis
3. To approve the minutes of the Annual General Meeting (held on 21st September 2022)
The minutes of the 2022 AGM were tsken as a true record, These were proposed by Bruce
Badman and Seconded by John Moon.
4. Govemance topics
Bruce introduced this section of the meeting. explaining that the nexi part of the meeting is
necessary to make sure the Groups foundation (from a charity point of view) is in good order.

it was noted that the groups financial year is 1st April -31st March,

Bruce asked that the quorum for the meeting of the group Scout Council {AGM) be 12 people -

Bruce asked Ihat the quorum for meetings of the Trustee Board (also known as the board of
trustees) be 6 trustees. This was seconded by Nigel Neads
Bruce asked that the quorum of th8 Holding trustee Sub-committee be 3. Nigel Added at this
point that although the quorum of these meetings will be 3, any decisions relating to the
buildinglshares holdingsldeeds would need approval from all 4 hokjing trustees. This was
Seconded by Gary White and Angus Donald.
5. Review of the previous year
5a. The Group Scout Leader's review of Scouting.
Nigel Thanked all the leaders for their contribution over the past year. Nigel then showed a
presentation showing what the group has got up to over the past 12 months.
b. To receive and consider the Annual Report of the Group Trustee Board including the
annual Statement of the Accounts
Bruce said that the accounts for the previous year were prepared by the treasurer, and
approved by the Group Trustee Board. and that the accounts had been independently
examined.
Allan Piggott. Explained the accounts to the Group scout council.
Bruce then asked the floor if there were any questions in relatbon to the accounts. No questions
were received.
6. Making appointments
Bruce Explained that the next part of the meeting sets the Group up to be well led during the
period to the next AGM. in particular the Group scout council appoints a trustee board to ensure
good governance for the charity over the next year.

Bruce handed control of the meeting to Nigel.
Nigel Nominated Bruce to stand as chairman for another year. Thi5 was supported and
approved by all.
Nigel Handed control of the meeting back to Bruce.

Bruce Proposed that lh8 secretary for the next year - Scott Mchaddan
This was seconded by Ann Coombs

Bruce proposed that the Treasurer for the next year - Allan Piggott

d. Elections of members to the Group Trustee Board
Bruce proposed the following members be elected on to the Trustee board
Adam Cashmore, Gary White. Rob Hase. and Angus Donald.
This was seconded by Nigel.
e. To approve the Group Scout Leader's nominatlons to the Group Trustee Board
The following mernbers were nominated to the board of trustees - Ann Coombs, John Moon.
Chris Batten.
Nigel also asked that when a booking secretary is found. that they will also sit on the board of
trustees as a nominated member.
This was accepted by all at the meeting.
f. To appolnt the Scrutineer I Inde￿ndent Examiner l Auditor for the Current Financlal
year
Bruce asked the Group Scout Council permission for the Trustee board to appoint a relevant
person(s) once the financial year has ended. We will then know whether we need to appoint a
examiner or auditor d8pending on the amount of money the group has tumed over,
This was agreed by everyone at the meeting.
7. Awards
Bruce handed the meeting over to Nigel so we could recognize the efforts of the young
people in the group

In the past year the following young people have earned their Chief scouts award bronze
Oliver Nyamunda, Hunter Mccloud, Jenson John Loader, Hugo Drake, Ginevra Parker, Kyrie
Shute, Aria Page, Mason Mayes, Zephyr John Barker, Samantha Wheatley
In the past year the followng young people have earned their Chief scouts award Silver
Safyre Meek, Shannon Woodfield, Esther Brickley. Pearl Brickley, Ari Drake, Jude Clements.
Noah Clements. Harold Barber. Saul Hucker
In the past year the following young people have earned their Chief scouts award Silver

b. Adult Awards
Nigel had the pleasure of nominating John Wheatley for the Dick and Bety Abraham Award.
This is traditionally presented by a member of the Abraham Farnily, but John was not present at
the meeting, due to him running the Troop. Nigel Asked Les Abraham if he could present it John
at the nexf troop Meeting.
8. District Rep
Graham Meikle apologized for being late, as he was stuck in traffic.
Graham told the meeting that Ihere are 57 million people across the world enjoying scouting,
and that scouting today is as relevant as it was back in 1917 when BP held his experirtiental
camp on Brownsea island.
Graham Explained that the district is now back to pre-pandemic numbers, and that this number
has grown across all sections and thanks to the 'creation' of sqUi￿e1 scouts.
Graham said he was proud to be a scoul. and proud to be a scout in axe district.
Graham also brought some aV￿rdS with him. for some of th8 adulls in the group.
Graham awarded The Chief scouts commendation for good service lo Fiona Hayrows, Bru
Badman, and Maria Neads
Graham also mentioned that Robe Hase and Nigel Neads were invited to the District awards
ev8ning in October for their long service awards. 40 years to Rob, and 20 years to Nigel.
Graham also told the the meeting that Nigel would be awarded the award for merit at the
Districls award evening.

Bruce Closed the meeting at 20.20 and invited everyone to take part in the quiz.

Group Report 2023-24
Over the past 12 months. We have managed to secure enough money so we could start the
refurbishments to the Gilcraft Den. In December we engaged with our preferred contractor to
start the ball rolling to order the materials and equipment so Phase 1 could be started in March.
In April The Den was handed back to us, and as I'm sure you will see the transformation, the
exterior of the Den has gone though.
We have had cladding placed on all the exterior walls. to keep the warmth in (and the damp
out!), we have had the entire roof replaced with a thermal efficient roof, with full width skylights,
so we can make use of the natural light where possible (as well as retaining the heat and the
water out)-
Double glazing windows have been installed throughout the building. as well as new fire doors,
and 2 complete rewire throughout to bring the building up to current specs.
Thank you to my Team of Helpers thatioined me in 'The Big Clean up, after the works had
finished to make sure the Den was ready to be used. Thank you Adam, Angus, Allan, and Helen
Since April, The team have been working quietly away in the background. to explore some more
funding streams, and planning Phase 2 of the wks.
Phase 2 will see the refurbishment of the kitchen and Toilet area. We are still working on the
final plans for these areas, but hopefully they will be completed later in 2024 (or eady 2025).
We have been slowly Filling holes. prepping the walls. and painting them to bring the interior
decoration up to scratch. (Thank you Gary)
Later in this pack, you will see where some of our money has come from for the project, and
without them we know the refurbishments wouldnl have happened. so Thank you to everyone
who has supported us. We have also had some 'personal' donations. and grants from
organizations that do not want to be named - We thank you for your gen8rosity.
As we look to the Future. we would like to encourage you all to sign up to Gift Aid. this is a
fantastic opportunity for us to claim back Gift Aid on everything you donate, providing you are a
UK Taxpayer. we can claim back 20p for every £1 you donate. All you have to do is to fill in a
form which will take most people under 30 seconds. Pl8ase scan the QR code (these are
located around the hall. and at the end of this report) to tské you straight to the online form, or if
you prefer, please ask us for a traditional paper form.
I'm sur8 many of you like to shop online. If you do, please sign up to 'ea5y fundraising,. On
you have signed up (takes a few minutes to sign up) and then everytime you shop online, we
get a donation (at no extra cost to you). Again there is a QR Code at the end of this report that
will lake you to the sign up page. Each time you shop, we get a small Ok of the value you spend
at the retailer.
Since we started using 'easy fundrasing a couple of years ago our supporters have shopped
528 times. giving us a donation worth over £260.

Last year we spoke of Scouting Transformations by Scout Headquarters. These are still
happening, but the launch has been delayed. We should be going live with the transfomiations
by the end of this year.
Last year we reported that the group had grown Year on Year. Well We have done it again. The
Group has had a 20Yo increase in youth membership between January 2023, and January
2024. Thank you to the amazing leadership teams that keep the sections running every week.
We know how rnuch time,effort and dedication that g￿S into organizing the activities that you
run for the young people.
In the last year, we have presented 12 chief scouls awards (4 Acom. 3 Bronze, 4 Silver. and 1
Gold). These awards are the highest awards that a young person can achieve in their sections,
and it is alway great to be able to present these awards to the young people.
This year. We had Helen come on board as Booking Secretary and she has done a great job in
looking after the bookings. and keeping the Den fidy. Thank you Helen.

This evening we have heard how the Transformation of the Scout movement in the UK is
progressing in particular changes of titles and names. Focussing on the changes made last year
from group executive committee lo Board of Trustees I would like to remind the scout council we
as a group have had Group trustees dating back to 1932 when the Gilcraft Den was obtained
from a farm for the use of scouting. yes it was a cow shed and on occasions still smells like one!
Numbering four in total we the Holding Trustees are responsible for holding the title deeds of the
Den and the share investments in trust for the good of Ihe group. In the light of these changes
we are now known as Holding Trustees to avoid any confusion with the new board of trustee
titles. We also hold seat5 on the Board of Twstees.
The past year has seen amazing changes to the Den with the long hoped and promised
refurbishment of the property and we all hope the scout council will agree the overall
appearance, abundant natural light filling the main hall has transformed the feel of this
repurposed cow shed. The Holding Trustee line up remains the same and I would like to
express my thanks for the work and input volunteered by Adam. Gary and Angu5 to achieve
what you see in the Den tonight. It should also be noted that a good deal of thanks should be
given to Nigel and the Board of Trustees for their support with the project.
We still have Powells our soliators working on a voluntary registration of the Den with the Land
Registry. This is deemed necessary because the property has not changed hands or been
subject to any conveyancing since 1932, which explains the length of time it is taking.
The shareholding remains unchanged and continues to provide the group with a steady income,
please see treasurer's report.
With the remaining funds raised for the improvements, both environmental and decorative of the
building, we in the next year aim to concentrate on the inside namely the kitchen and WC areas
as major projects. We therefore consider that On￿ these areas are addressed the Den will
again be a superb building to facilitate first class scouting at 3rd and be actively used by local
community groups which helps to provide an income for the group, which all in turn achieves
growth in the number of young people who enjoy all scouting has to offer at the Den.

We have had an exciting year, exploring lots of different badges and activities.
We have had a mix of indoor and outdoor meetings. meeting at the Park, Bluebell woods and
the Beach. not forgetting the community gardens, We have also done some fab activities at the
Hut including a visit from the local police force
We ￿lebrated our first birthday wilh our friends and family. playing some garnes and having
snacks together.
The Squirrels have attended a n￿htS away experience with the Beavers, for many of the
squirrels this was the first time they have been away from Uieir parents for the night. Having said
that, they all had a fantastic time.

The beavers have completed many tasks through this year towards their badges. They have
completed creative activities. cooking activities, beavers have tried to grow some seeds which
some turned out amazing and had a campfire with smores.
The beavers have completed many hikes through the year counting a night hike through the
woods. they attended a district and a group day out to Woodlands and Puxton park which where
ovey days and game the beavers the opportunity to meet other beavers from other groups and
spend time with leaders and children from our group from the different sections.
There were 2 camps this year that the beavers attended. which consisted of science activities,
fun on the beach and a Halloween camp.
The end of tem we managed to spend loads of time out of the hut and made the most of the
weather. We went on a bike ride, porKI dipping, archery in the hut and lazer tag in the woods to
end our brilliant and engaging term.

We currently have 15 Cubs in the pack. Betsveen April 2023 and March 2024, four of our oldest
Cubs achieved their Chief Scout Silver Award. the highest avRrd in Cubs. which is a fantastic
achievement for them all.
As well as working towards a number of the Challenge Awards. we also completed several
activity badges including Chef, Local Knowledge, Alhletics. and Entertainer. We took part in a
wide range of activities, such as fire lighting and Christmas craft, Sl David's Day and Mardi Gras
themed evenings. learning magic tricks and planning and cooking meals. We also went ice
skating. went on a bike ride. wsited a church and took part in a group trip to Puxton Park.
We held sleepovers in May 2023 and December 2023, where the Cubs enjoyed sleeping at the
Den, and taking part in activities including fire lighting, baking and shooting.
This year we have welcomed back Anlhea to our leadership team after a break of a couple of
years. We are also delighted to have welcomed Shelley to our leadership team. l am as always
very grateful to Nikki and Barbara. as w811 as Shelley and Anthea for their commitment. support
and dedication in everything they do for our Cubs.
We are very fortunate to have had four Young Leaders over the last year who have given up
their time each week. and I have been delighted to see them develop in their leadership, and
hopefully having fvn too as they help us deliver our programme to the Cubs- a big thank you to
Joshua, Imogen. Dylan and William.
We are always looking for more adult help and if anyone is interested in finding out more about
joining our leadership team as a leader. or helping on an occasional basis, please let me know,
or Speak to our Group Scout Leader Nigel Neads. We have a fvn, supportive team and it is a
rewarding role!

This year, our troop has grown to a fvll roll of 24 scouts. with a balanced mix of ages and
genders. We welcomed three new leaders: Poppy. Chloe. and Sarah, who have brought fresh
8nergy and ideas.
Our activities were diverse and engaging. ranging from night hikes, kite flying, den building, map
reading, fire lighting and survival skills, to more social activities like pizza making at the
allotments, baking, and DIY skills. We also enjoyed outdoor cooking, shooting, wide games, and
a beach walk.
We visited various locations including Uphill, Weston Woods. W8Ston Beach, Coleridg8 Road
Allotments. and Sea Monster Garden. A highlight was our summer camp at Glenny Woods.
While our Den underwent refurbishment, we spent time at the Loxton Road Community Hub.
We are delighted with our wamer. brighter, and smarter Den.
In October, we joined the district for their annual Jots Joti intemational event, which was a great
experien￿ for all.
Leah and Nate, our Scouts of the Year, continued to be excellent peer leaders. We are also
grateful for Dylan, who has been a dedicated young leader throughout the year.
