## **3rd Weston super Mare Scout Group Minutes of the Annual General Meeting Monday 27th september 2021** 

Bruce Opened the meeting at 18.45 

## **Welcome** 

Bruce Welcomed everyone to the meeting, and thanked them for attending our first ever Hybrid AGM, (We had a face to face, with the meeting being streamed via zoom for those who were not comfortable in attending). 10 people attended the meeting F2F, with 5 people attending via Zoom, 

## **Apologies** . 

No Apologies of absence were taken. 

## **Minutes** 

The minutes of the 2019 AGM were taken as a true record, these were proposed by Bruce Badman and seconded by Maz Neads. (due to pandemic and lockdowns, there was no AGM in 2020 in accordance with the charity commission's Guidelines) 

## **Accounts** 

This year the Group presented 2 years of accounts (2019-20, and 2020-21) to the AGM, 

The 2019-20 Accounts were independently examined by C. Lloyd, and were sent to the charity commission on time. The 2020-21 Accounts Were audited by C. Biddulph and Will be sent to the Charity commission after this meeting. Both sets of accounts were available (printed and emailed). 

Both Sets of accounts were proposed by Nigel and Seconded by Bruce. 

Nigel Explained that due to the amount of money the group were holding (Raising money for the Development) The accounts needed to be audited, inline with the guidance in POR and the Charity commission. There was no questions, comments or concerns about the accounts 

## **Election of the Group Exec Committee.** 

**Chairman** - Nigel asked Bruce Badman to continue in his role for another year, This was Seconded by Maz Neads 

**Treasurer** - Allan Piggott. Proposed by Bruce Badman and seconded by Rob Hase. **Secretary** - Position Vacant. Bruce asked the AGM if they were happy for the position to remain vacant, whilst we look for a replacement, This was agreed by all. 

**Elected Members** - John Moon, Kathy Roberts and Nikki Woodfield. All were Proposed by Nigel, and seconded by Bruce 

**Co-opted Members -** Chris Batten (train Club) proposed by Bruce, Seconded by Maz Neads

## **Holding Trustees.** 

There are some proposed changes to the Holding Trustees. 

The Group will be removing John Moon and Betty Abraham From the Trust Deeds (and associated trusts), and will be replaced with Garry White and Angus Donald. 

Rob Hase Will take on the Role as Senior Trustee. Adam Cashmore will continue in his role as Trustee. 

This was proposed by the 3 existing trustees (John, Rob and Adam), and was seconded by Nigel. 

## **District Representative - Kate Lewis** 

Kate Lewis took the floor for a district summary 

Kate started by telling the meeting that after a tough 18 months of covid restrictions, Scouting had now returned to a green status, where everyone could meet ‘normally’. Kate thanked the leaders for continuing with scouting throughout the lockdowns by doing virtual sessions. 

Kate went on to say that the scout association numbers had dropped at this year's census, with the association dropping by 24%, with the district reporting a 19% drop. However the number on the waiting list is now growing so things are changing. 

Following a national Press release recently, The District is currently looking at a provision for Squirrel Scouts (The new Section which will start young people as young as 4 into the movement). Planning is still under way as to where and when but it is hoped the sections will be under way shortly. It is hoped that the Panto Trip will return this year (19th December), as well as the remembrance parade (14th November). Both of these are subject to there being no change in the Covid Restrictions. 

Kate Finished off by Thanking all of the team (scouters and exec) for keeping the Group going during the covid restrictions. 

## **AOB.** 

Nigel took this opportunity to thank Kath and Alan Roberts for their hard work over the years. Alan has retired this year from the role of Treasurer, due to Ill Health and Kath has taken a back seat (but still wants to be part of the Group). Nigel has said that they have left some very large shoes to fill, and wishes them both all the best for the future. 

Nigel Also thanked John Moon for all his efforts over the years as a group holding trustee. Although John is stepping down as a holding trustee, he will continue to sit on the exec committee.

## **Group Report** 

**2021-22** 

This year we have seen the group's numbers bounce back up following a couple of years of restrictions. Nigel Has had the opportunity this year to spend some time with the sections, and it is nice to see all the young people back together smiling and enjoying the activities on offer. 

12 months ago, the Leadership teams were sketchy about planning activities too far in advance for 

the fear of the activities being canceled due to covid restrictions, And now look at us go… Every young person in the group has been given the opportunity to attend a nights away experience this year (with some more coming up before Christmas). The young people have also taken up numerous adventurous activities from Axe-throwing, to Kayaking, from Crossbowing to tobogging. 

Our thanks go to Emma, Sirrena, and Martin for keeping the sections going with a wide range of programme activities. I wish I was young again to take part in some of the activities on offer! Thank you to the leadership Teams of the group for engaging with the young people every week. Not only the time you spend on the section nights with the young people, but the time you spend planning and organizing the sessions. 

From behind the scenes, The Group is one step closer to getting the new roof that has been in the planning for the past few years, unfortunately Covid got in the way, and a lot of revenue streams were directed to help the fight against covid and tackling the loneliness caused by Covid and the restrictions. We are about £5000 short of the target to get the external works done but we are slowly reducing this number. (The External Works will include a New Roof to include sky lights, External Cladding incorporating insulation, and Replacement windows). When these works are completed, it will help us reduce our carbon footprint, as well as our energy consumption and spending.

Fingers crossed that early in the new year, The External works will be completed, and we will be looking at raising money to make the inside of the building look good again. (it is hoped that by 2024, in our 110th year, all the building works will be completed).

We would also like to thank Rob and his team who have written applications for funding  (who have done a great Job in securing a lot of money), and liaise with the builders to obtain quotes.

A mention to Gary and Angus who have come on board as holding trustees in the last year and have made sure The Gilcraft Den is a Safe place to meet in and have put policies in place to keep it safe. Our new Treasurer, Allan,  has done a sterling job in 'streamlining processes' to make the role easier.

**Beaver Colony Report 2021-22** 

We have 16 beavers in our group at the moment. These are 5 girls and 11 boys. 

Throughout the year we did many activities that the children enjoyed and linked well with the Beaver badges. Some of these activities are a bike ride, tracking in the woods, laser tag in the woods, problem solving sessions, family den building, climbing, team building and many more activities. 

Beavers attended an Easter science camp, which they really enjoyed. This event also entailed a hike to Kewstoke and an afternoon doing axe throwing.  It was really nice to have a camp with the beavers, since we have not run one for 3 years, due to Covid 19. This month we will be attending a district activity, where the Beavers will go to Crealy together and engage with other beavers groups, from North Somerset. We are also putting together a camp for Halloween and a Halloween party with the cubs attending. 

We have awarded 7 bronze badge awards throughout the year. These are the highest awards that heavers can earn through their journey as a beaver.

## **Cub Pack Report** 

**2021-22** 

Following a difficult year in 2020-21, we were very pleased to be able to start to gradually return to more ‘normal’ scouting activities this last year. 

We currently have 20 Cubs in the pack. In the last year we completed the Skills Challenge, World Challenge and Adventure Challenge badges, with many also doing their Personal Challenge. Despite the challenges in delivering a full programme during their time in Cubs, six of our Cubs achieved their Chief Scout Silver Award, which is a fantastic achievement for them all. 

We also completed several activity badges, including Collectors, Cyclist, Astronomer and Artist. We took part in a wide range of activities, including more traditional scouting activities such as tracking, building shelters, wide games, hiking, fire lighting and scavenger hunts. We also went did some shooting, went Tobogganing, had a trip to Clip and Climb, visited a church, went on a bike ride and held a mini-Olympics. We were also lucky enough to have a visit from the police who talked about their jobs and let us sit in their police car and try on some police uniform! 

We were also finally able to have our first proper Nights Away experience since pre-Covid times,doing a (very cold!) Night Hike and sleeping over at the Den. We are also looking forward to our first Summer Camp for three years in August 2022. 

I am as always very grateful to both Nikki and Barbara for their commitment, support and dedication in everything they do for our Cubs. Sadly two of our leaders left last year, with Rachel stepping down and Anthea also currently unable to attend on Tuesday evenings for the foreseeable future. My sincere thanks to both of them for all their hard work with the pack, and I hope one day they will both be in a position to return to Scouting. Unfortunately this has left us in a difficult situation where we do not have enough leaders, and with only a couple of parents left on our parent rota (to whom I i am also exceptionally grateful for their time and flexibility, often stepping in to help at short notice), it is becoming ever more of a challenge to keep the pack running, particularly with my own shift work, the covid situation which has not entirely resolved, and the required ratios to be able to run activities safely. 

We are now in desperate need for another leader, and more parents on the parent rota. If anyone is interested in becoming more involved and would like to find out more, please speak to myself or Nigel

## **Scout Section Report** 

## **2021-22** 

We currently have 15 scouts in the section, 6 are boys and 9 are girls. 

This year we have been getting the scouts used to some traditional scouting activities, with some adventurous activities. The Activities have ranged from tracking signs, and backwards cooking, to shooting and crossbow sessions. 

We have been on a few trips this year, ranging from a trip to the fire station to see the fire engines and learn about fire safety to kayaking in Bristol Docks. 

We have managed to get a night away at the Scout hut this year, following a night hike. We are planning to have another opportunity for a nights away in october for JOTI/JOTA, with hopefully a summer camp in August year ( we are currently looking at this) 

It is good to get back to face to face scouting after a couple of rocky years of facing restrictions from both the government (lockdowns) and The Scout Association (red, yellow, amber and green status). But the Scouts are back, and we have managed to scout all the way though, with a blend of virtual and F2F Scouting. 

We have a great bunch of scouts at the moment and it is always rewarding to see them achieve the things that they do.
