Reports for the Ash Victoria Hall 2024 AGM

Chairman’s Report

Once again it has been a very successful year for the Hall. For that the users are deeply indebted to the management committee. Brian E has had a challenging first year in post as Treasurer mainly due to the increased security demands of the banks. Thankfully we appear to have created back-ups for administering one-off payments. What is noticeable is that the level of efficiency that she previous Treasurer displayed is evident in Brian’s work.

Mick H continues to look after the fabric of the building and, if available, he will jump in his car and sort things out. He oversaw a re-wiring exercise and has always been around for the plumbers. The Hall has recently installed a new timer for the main boiler and a new thermostat. The new timer has been secured but the thermostat can be accessed which might cause the odd problem.

Susan B has continued as Secretary and will soon be working on the website. After the Fire Inspection she worked on a new booking form which is now issued to all one-offSharon W has been a great help with showing potential bookers around and she oversaw a tremendous coffee morning raising a lot of funds for MacMillan Cancer Support. Both she and Bobbie are valuable assistants with the, increasingly popular, quizzes.

Paul G absorbed the role of APC rep and has also taken over at a new Pantomime Company who are just coming up to their first performance. It is also noticeable that, since he oversaw the installation of the security system we have had little or no issues from interlopers. Jan Chas overseen the safeguarding work but it should be a priority in the New Year to check on any groups that may have vulnerable members.

Mark H joined the committee last year and has really mucked in, literally, particularly with his extended cleaning brush and maybe deep cleaning. He is also investigating the value of some of the donated books and has also assisted at quizzes.

Finally I must give a heartfelt thanks to Gemma. She comes down either early morning or late at night and does a great job. Just this morning I had a comment from a booking which mentioned the ‘well equipped and clean’ hall.

The charity events have continued apace with a monthly quiz for a range of local, national and international charities. The Out of the Shadows gig is imminent. There was also a gig from the TR5s Additionally there was a Brass Quartet recital and a Coffee Morning for MacMillan Cancer Support. In the calendar year 2023 the amount raised from charity events at the Hall fell just £400 short of the £10,000 hoped for. The total for 2024 is already in excess of £10,000 with the Hall being used by the Cats Protection League very successfully. The Hall is also offered, free of charge, to local schemes to help the community eg Good Neighbours. Age UK also held a symposium during the year and various other groups are offered space free of charge.

Where we are able, we help out APC with tables for their two events, Fun Day and Fantasia.

Booking Secretary Report

The Hall continues to be very popular with every weekday evening being regularly booked out. Also, there is often one or two daytime activities There are also many one-off events for children’s parties, significant birthday celebrations, anniversaries and even a music festival. A paranormal night is booked in for January. The Caged Bird Society Show featured again. However, I have been informed that they are folding which is a great pity as they have been using the Hall for many years. The reasons are not to do with the Hall but DEFRA regulations and the price of bird seed. Ash Garden Club held the usual show and plant sale. There was a Flower Arranging event held in April. There has been a spate of craft exhibitions and shows. PALS, after many shows, was wound up but there is a new company, Ash Pantomime Theatre Company who will be performing their pantomime in a couple of weeks. The Hall has hosted quite a few craft based exhibitions and appears to be the default venue for a couple of organisations. At the meeting I will distribute a list of groups and when they book the Hall.

Charity update. Since the last meeting there has been a quiz and coffee morning held for MacMillan Cancer Support. The coffee morning was very well organised by Sharon with some input from the local Oddfellows group. Between the two events £1130 was raised. The October quiz was for RSPCA and was packed out. They went away with £647. This gives the total from Hall events only as £7414 during 2024. With two quizzes and the gig from Out of The Shadows the total should exceed the £10,000 aimed for the beginning of the year.
