MINUTES OF LITTLE WALDINGFIELD PLAYING FIELD

ANNUAL GENERAL MEETING

24TH MAY 2022 @ 7.30pm

THE PAVILION

  2. Approval of Minutes: The minutes of the AGM held in 2021 were approved as an accurate record of the meeting.

  3. Chairman’s Report: The Chairman reported that the pavilion upgrade was largely complete. Following a snagging inspection, a new, additional heater was fitted and outside sensor lights were identified as being necessary.

A concrete slab was laid outside the shed and garage, which has made access to bth storage units safer.

5. Financial Report:

Income: Several COVID grants were received because the Pavilion pays Business Rates. These grants helped fund the refurbishment of the Pavilion, which was in serious need of renovation. The 100 Club income higher than in previous years, due in part to several winners donating their winnings back to the pavilion. Donations were also up. The Pop-Up Pub generated a good income

Expenses: The new fencing that has been erected round the children’s play area is, unfortunately, of a poor quality. The contractor came with good recommendations and also submitted a reasonably priced quote for the work. He has returned and completed some remedial work, but there is more to be done.

As at 31st March 2022, Income at the bank - £17,129 Cash in hand - £748

There was a lengthy discussion about further improvements that might be undertaken to make the best use of the funds available, with the understanding this was £17,129. Ideas included; purchasing a new tractor (Ivan Carter to be approached about possible costings); renovating the tennis court; marking out a

football court; installing outside showers and toilets; installing adult fitness equipment. It was later confirmed, by JJ via email on 26th May, that the current balance at the bank is £1300. The difference as a result of the purchase of new furniture since the start of this financial year (2022/2023).

TH reported that he had received a complaint about parking in Grove Avenue by people using the playing field. There was a suggestion that the barrier installed at the entrance to the PF from The Street be removed. Following discussion about the original reasons for the barrier’s installation it was decided to retain the barrier.

It is now possible for payments to be made to the PF via contactless card as a wifi card reader has been purchased.

  1. Resignations/Elections: TH reported that after several years as Chairman he was hoping to step down from the role. The Committee agreed that more members were needed to share the load and also introduce ‘new blood’. How to attract new members was discussed and it was agreed that a proactive approach should be taken, starting at the Jubilee celebrations. In the meantime TH confirmed he is willing to continue in the role of Chairman.
