BOXTED AND HARTEST INSTITUTE Registered Charity No 304864 Annual Report
The Charity address is The Green, Hartest, Bury St Edmunds IP29 4DH. The Charity does not organise any activities these are provided by our users who are responsible for arranging any necessary insurance, the hall is insured for third party risks.
The Charity provides a community hall available mainly for the residents of the villages of Hartest, Boxted and Somerton on the county of Suffolk. Its income comes mainly from the hiring of the hall and income from an invested Endowment Policy (held by the Charity Commission) as shown in our accounts. Expenditure relates to maintaining the building (built in 1888), heat and light, cleaning etc. again as shown in our accounts.
During the year the charity received grants of £28,053.67 from both Suffolk County Council and Babergh District Council for the installation of insulation to the roof and walls, solar panels, professionally fitted secondary glazing and additional radiators. These works were finished in February 2025. Additional grants have been received in our accounting period ending 31 January 2026. These works will make our hall more comfortable for our users and should reduce our electricity and heating oil consumption in future.
Trustees normally come from the villages of Hartest, Boxted and Somerton and are elected each year at our AGM. Trustees are not paid, any out of pocket expenses are reimbursed. A part time cleaner is the only employee. The Trustees are:- Richard Weller-Poley, Chair, Trevor Webb, Booking Secretary, Peter Chapman, Treasurer and Jo Pask, Secretary. In addition the other Trustees are Valery Seal, Norma Cohen, Maureen Rocknean, Ralph Carpenter and Sam Stevens
The only long term contracts are with Octopus Energy for the supply of electricity and with BT for the supply of Broadband. Accounts are prepared annually, where income is below £25,000 the figures are independently verified.
The Charity whilst owning the hall and adjacent land (deeds held by the Charity Commission since 1946) is in the process of registering the hall with the Land Registry and has instructed our solicitors to proceed.
In future we hope to attract more users, we are financially viable and apart from the grant aiding mentioned above do not depend on any financial assistance.
Peter Chapman Treasurer and a Trustee
