Withypool Village Hall Management Committee

Annual Report for the year ending 31[st] March 2021

The Withypool Village Hall Committee Members are the Trustees of Withypool Village Hall.

The Hall is used by the local community and by people from further afield for a variety of events. It is run as a charity, with any profits from fundraising activities going into the funds of the Village Hall which cover general running costs as well as a necessary maintenance and repairs.

During the year 3 meetings were held outside and the Annual General Meeting was cancelled to comply with Covid 19 pandemic restrictions. The attendance was over 90%. The use of email allowed the committee to organise other things without the need for meetings.

The other committee members during the year were Sue Wakeham and David Guy . Illness during the year has meant that David has been unable to attend meetings but he remains a supporter of WVH. Alan Collins provides practical support for the Flower Show and planning for any work required on the hall, but does not attend any meetings.

Lyn Fisher oversees the accounts for the committee. We are members of the Community Council for Somerset.

The Flower Show and Fete were cancelled as the committee felt that it would be impossible to hold them and conform to Covid 19 safety restrictions. The country was in lockdown 3 times during the year March 2020 to March 2021.

The insurance company required the hall to be checked weekly during any periods of closure and in February 2021 they offered an updated assessment of the current value of the hall and costs of rebuilding. The committee accepted their recommendations.

Nat West bank accepted the ruling of the Financial Ombudsman and repaid the £13,000 fraudulently removed from the Village Hall account in 2019.

Somerset West and Taunton Council gave village halls a Government funded grant of £10,000 to help with costs during Covid restrictions. There were further grants during lockdown periods of £1,334, £4,000, £238, £2001and £2,096.

We did not receive the grant available during Tier 2 as Mr Prole was still allowed to use the hall at that time and so we were not impacted financially. Mr Prole and his son have started to use the hall on Sunday mornings for judo when Covid restrictions allow.

Mike and Val witney donated a table tennis table to the hall.

We continue to manage without a cleaner for the Village Hall, thus far members of the Committee have been able to deal with the cleaning.

The general condition of the fabric of the Village Hall remains good. The kitchen window locks have been repaired, all the windows serviced and the “blown” windows replaced by the Window Lady. Andrew Blackmore applied hypochlorite and washed the external walls but was unhappy with the result so

Richard Lock has been asked to advise regarding further painting.

The committee agreed that we should use some of the money in the hall accounts and plans are underway for Richard Lock to build a second storage shed behind the one which is already present, improve the surface of the disabled access pathway and concrete the access area to the sheds. The existing shed roof felt is in need of repair and the committee have also asked for the floor inside to be reboarded and wood preserver to be put on the outside. Kitchen equipment improvements are also being planned.

Fire and Electrical inspections have been successfully carried out and MD continues to do the weekly checks. The 5 yearly electrical inspection was carried out in June 2020.
