Trustees Annual Report to the Charity Commission – Year ending 31[st] March 2024
The Trustees of North Cadbury Village Hall are dedicated to maintaining and improving the Hall, Reading Room, Recreation Ground, Playing Field and adjoining Hall Cottage to provide facilities and activities for the benefit of the people of North Cadbury and the surrounding area. The Charity is administered by the Village Hall Management Committee (the Trustees) according to a constitution dated 11th February 1985. Bank accounts are held with Barclays Bank Plc. The last set of accounts were independently examined by Darrel Chainey.
Our buildings and contents insurers are NFU Mutual. At 31/3/2024 the committee had a membership of seven representatives for the organisations which use the hall on a regular basis, six elected members and two co-opted members. The 13 trustees of North Cadbury Village Hall voluntarily give their time to maintain the Hall and playing field, which provides a place for local organisations to meet, for social activities, sport and play
Over the last year there have been regular bookings by The Parish Council, Table Tennis Club, Gardening Club, Folk Night, Women’s Group, Art Club. Band Practise and Little City T
We would like to firstly thank the parish council for their support and funding over the last year, which has helped with the ever-increasing costs.
. Our monthly 200 club coffee morning is going from strength to strength with raised numbers last year, it’s been a great place to meet new community members. We still have some numbers available so please grab them whilst you can.
We have a very successful film night ongoing from Sept last year to May 2024, on the last Friday of each month,
In June we had the North Cadbury School hold their primary sports day as well as their summer fair in late July, it was very well attended and it introduces the younger folks to the Village Hall set up and helps with bookings. They also use the playground regularly during and after school which is great to see.
The hall is used as a polling station for local and national elections.
The NCVH Quiz in October was again a great success, due to it being sold out on a regular basis now we try to get teams to book early to avoid disappointment. The next quiz night is 26[th] October and a few places are still available.
This year has been great for events but also a big year for expenditure. We have had a large volume of events, parties, a race night, bands, many private bookings and this has put us in good stead to get repairs done to both the cottage and the playing field. We have had various art acts over the year from Murder Mysteries, to bands, musicians and plays and subsequently we had Rocking the Joint again in September as this band is very well liked across the community and we plan to hire them again but with a different set list.
The annual harvest lunch, organised with St Michael’s Church, was a great hit again which everyone looks forward to and thanks to everyone who volunteers cottage pie and puddings.
Camelot players were back with a Christmas play (A Christmas Carol) spanning 3 nights, they will be putting on a 2-night play with sea shanties in May and and we are very much looking forward to a pantomime in December.
The cottage has had secondary glazing fitted at a large cost to help solve heat and damp problems in the cottage. A new front door was fitted and other essential repairs have been carried out.
We have installed Wi-Fi in the hall this year to provide additional user groups with added technology and we are looking to circulate this fact over the coming months. Wi-Fi will give us the opportunity to open the hall for the men’s football Euros and with the woman’s events coming up, we hope its supported as well as this event. We are always on the lookout for grants or donations to help this great hall progress in line with technology. We intend to undertake a sustainability and energy efficiency survey to see what we can do to save money.
The Hall trustees are responsible for the playing field, the equipment provided and the trees on site. We will need to replace the camel rocker this year but funding for new equipment is becoming very difficult so we do ask that people respect the rules at all times. It’s a great place for the community to meet up and its being used a lot.
Finally, a big thank you to all the committee for your hard work and efforts over the year, it’s been very busy but also very rewarding. The events would not take place without their time and commitment, The majority of the committee works full time and have family commitments and I appreciate the time and effort that they put in. We also have a great group of senior members who have also worked tirelessly to improve the facilities for everyone including the majority of the day to day running of the hall and grounds. Without this group of trustees this hall would not thrive.

I report to the trustees on my examination of the accounts of the above charity (“the Trust”) for the year ended 31/03/2024.
Responsibilities and As the charity trustees of the Trust, you are responsible for the preparation basis of report of the accounts in accordance with the requirements of the Charities Act 2011 (“the Act”).
I report in respect of my examination of the Trust’s accounts carried out under section 145 of the 2011 Act and in carrying out my examination, I have followed the applicable Directions given by the Charity Commission under section 145(5)(b) of the Act.
Independent examiner's statement
I have completed my examination. I confirm that no material matters have come to my attention in connection with the examination which gives me cause to believe that in, any material respect:
