Report on the work of Farmborough Memorial Hall Committee April 2023 to March 2024
This year we have had some real success with grant applications enabling us to move forward & complete work helping to reduce any draughts from external doors & electricity costs. This was important to try & achieve by the middle of 2024 as we have to look at a new electricity tariff, our present one, set up before large increases happened, is coming to end. The grants covered the cost of battery storage installation & preparatory work linked to this which has included more secure storage space for use by regular groups in the cupboard off the hall. With money we had been earmarking for supporting work on this & adding the Parish Council grant* to it we were therefore able to replace the external stage door & patio doors quicker than we expected to something which is a much better quality & fit so improving further the insulation of the hall.
Fund raising with the Annual Craft & Gift Fayre in October & the Quiz evening in January meant we were able to raise over £2K in total on these events alone thanks to support from users & local residents. I must say, regarding the Quiz night a huge thank you to Nicky Stone for running the bar, Dawn, Trudi, Ann & Sue for organising the food, Jan for running the raffle & of course to Patrick for being our Quiz master & making sure it was a great evening.
I would like to alert you to the Craft Fayre Oct. 19[th] 2024 & Quiz night Jan. 25[th] 2025!
Hire rates, due to increasing costs, have been phased in at various rates depending on whether the hirer is a ‘one off’, regular non-commercial or commercial user, this action has been reflected in other halls, so we remain competitive in the area. I would like to thank regular users for their continued support & co-operation as we have had work completed & helping us to keep the hall attractive for all users.
We have changed our caretaker/cleaner roles as our caretaker has moved, in the end we have decided to go with a cleaner for 3 hours per week, maintenance work is now an agenda item so we can identify tasks & get them addressed as required & bookings for one off users are covered by committee members as required. All hirers are expected to leave the hall as they found it, clean & tidy & take their rubbish with them so at present this seems to be working thanks to the co-operation of all users but we will review if required.
We looking at making sure all policies recommended by the Charity Commission are being addressed & those which are relevant will be included in our documents section of our website.
Recently we have been discussing our long term strategy for hall improvements & general maintenance, this will help us with our budget planning, to date we have identified

replacing our crockery, looking at cutlery & glasses position

needing to make sure committee room is a functional & attractive space for hire to increase its use
-
floors, both carpet & wooden, needing to be kept in good condition, possible costs & frequency to be identified
-
internal doors being replaced, costs being sought
-
repair inner UPVC doors
-
programme for redecorating
-
commercial dishwasher in kitchen may need replacing
-
deep clean of cookers
Our next hall meetings we will be firming up our plans & budget implications so if you have any ideas of what else we should be doing please let us know.
Finally, as Chairman I would like to thank all committee members for their hard work & willingness to help us move forward, the new website is up, running making bookings & invoicing quicker but we haven’t forgotten those without computer access, we are able to meet everyone’s needs.
