## Annual Report and Accounts: 13 March 2023 to 12 March 2024

## Corpusty & Saxthorpe Village Hall: Charity No 304039

Purpose: the Corpusty & Saxthorpe Village Hall is managed by the trustees for the use of the inhabitants of Corpusty and Saxthorpe and the neighbourhood without distinction of sex or of political religious or other opinions and in particular for use for meetings lectures and classes and for other forms of recreation and leisure time occupation with the object of improving the conditions of life for the said inhabitants.

The trustees worked hard to meet the above purposes, partly to earn income to cover the costs of running the village hall, and partly to make the village hall and its surrounding area a living building loved and used by the local community. During lockdown, and in the months following, use of the hall was poor. The committee rolled up their sleeves, gave the entire hall a thorough clean, employed a new cleaner who is not only good at keeping the hall clean but is very accommodating when asked to undertake other tasks such as cleaning gutters, windows, small paint jobs, etc.

The number of regular groups and private bookings using the building increased. The committee organised and ran several events during the year; a Northern Soul evening proved very popular and it is planned to repeat this; Scam Aware, Defibrillator Awareness, and Digital Phone Talk all useful for the community. A major purchase was the audio visual equipment and this has enabled films to be shown regularly on the first Friday of the month.

The corpustyandsaxthorpevillagehall.org.uk website was built during the year and is a useful tool to publicise events as well as notice boards, word of mouth, the church and village news, etc.

The grounds surrounding the hall include allotments, a children’s play area, the old railway station building, and a large grassed area.

Synergy continues to pay the rent on the old village hall despite the school having stopped use of the hall at the end of the summer term 2023.

I have been asked to review the financial accounts for the Corpusty and Saxthorpe
viILage haLI for the year March 2023 to March 2024.
From the evidence provided I can report an opening bank balance of £5331.00. and a
closing bank balance of £8715.43. Which demonstrates a cash positive position for the
year of £3384.43. This is evidenced by income of £28.494.45 and expenditure of
£25,110.02, and on this basis the books baLance.
This year has been somewhat unusual because of the large receipt from Synergy. This
has been invested in assets with the intention of improving income, l.e the movie nights
and also investing into assets to save expenditure such as the new lawnmower bringing
the grounds maintenance system in-house. Both of which are positive steps.
I suggest a system of audit traiL is put in place for Hall bookings, evidencing from start to
finish the transaction and receipt of funds. This should be passed to the Treasurerfor
cross referencing to the bank and filing with the financial records. A simple ticket book
may be handy for this purpose.
I have asked the treasurer to ensure that there is evidence of ALL income and
expenditure for the coming period and again a ticket book system could be used where
no receipts are offered.
All of the above to protect members in the event of criticaL queries.
