TRUSTEES’ ANNUAL REPORT, FINANCIAL STATEMENTS AND INDEPENDENT EXAMINER’S REPORT FOR THE YEAR ENDED 31 DECEMBER 2023
TRUSTEES’ ANNUAL REPORT
The Trustees present their Annual Report and the Financial Statements for the year ended 31 December 2023.
REFERENCE AND ADMINISTRATIVE INFORMATION
Playing Field and Recreation Ground, Docking is a Registered Charity No. 303937 established by a Conveyance Deed dated 15 February 1951. The address for correspondence is Cardaglo, Fakenham Road, Docking, King's Lynn, PE31 8NW.
.
As at 31 December 2023 there were 11 Trustees (2022 = 9) following the resignation of 2 long-standing Trustees and the election of 4 new Trustees. The Trustees have overall responsibility and accountability for the Playing Field and Recreation Ground, and they are also the Management Committee with the responsibility for the day-to-day running of the Playing Field and Recreation Ground.
REVIEW OF ACHIEVEMENTS AND PERFORMANCE FOR THE YEAR
The Trustees met monthly throughout the year with full minutes recorded and approved at the following meeting. Accounts were updated and presented each month and included in the minutes. The Charity's AGM was held on 18 October 2023, again with full minutes recorded.
Financially, 2023 was an extraordinary year. In addition to the typical income and expenditure associated with the day-to-day management of the Playing Field, the Children's Play Area, the Pavilion, and the Tennis Court, the Charity received two large Grants towards our planned refurbishment of the Pavilion and the conversion of the Tennis Court into a brand new Multi-Use Games Area (MUGA) which will provide the Local Community of Docking and the neighbouring Parishes with a broader range of recreational facilities.
We are extremely grateful to the Borough Council of King's Lynn and West Norfolk (BCKLWN) for the two large Grants we received during 2023. Both were awarded from the Council's section 106 funding which had been contributed to by the Developers of the Pound Lane and Limagrain sites in Docking. It is highly significant that the Community will benefit greatly from these two new developments.
We are also extremely grateful to Chiplow Wind Farm for granting us £4,000 towards decorating the Pavilion, and to Jacks Lane Wind Farm for granting us £5,000 towards the repairs to our Play Area equipment, specifically the roundabout.
All of these Grants are awarded on the basis that they are to be used solely for the purpose for which our applications were made and approved; as such they are recorded as ‘Restricted funds’ in the year's accounts and managed separately as project funding rather than day-to-day maintenance funding. In terms of our day-to-day running costs, our largest expenditure was for the annual insurance. Over the year we were able to offset this and our other expenditure with income from the hire of our facilities and through donations. We are delighted at the continued support of our local Community.
