## **Trustee Board Report:** 

The **Trustees** are appointed in accordance with the Policy, Organisation and Rules of the Scout Association. 

The **Group** is established under the rules of the Scout Association and in accordance with the Constitution of 1st Hatch End Scout Group 

The **committee** met three times (plus the AGM) during the year. 

The Trustees and I particularly wish to thank our Group Lead Volunteer, Section Leaders and Scouters, without whom our young people would not enjoy the fun and learning that they do as members of the group. 

After over 50 years of dedicated commitment and service to 1st Hatch End Scouts, David Poole stood down as Group Lead Volunteer and retired from active Scouting due to ill health in January. David’s vision, determination and the priority he placed in 1st Hatch End was the driving force that made the Group the success it is today. As a Group we will be forever grateful for all he has done for us and send our heartfelt best wishes for the future. Liz Doulton, previously Assistant Lead Volunteer kindly agreed to take over from David and has continued to run the Group with the same sense of enthusiasm and determination maintaining a strong commitment to the Scouting ethos built up over the years. 

Our prime purpose is safe and effective delivery of Scouting activities, Liz Doulton, our Group Lead Volunteer will outline our continued commitment to this purpose in her annual GLV report. It is particularly pleasing to see the continued development of all sections. We will also be re-adopting our constitution at this AGM. This will align us with our new Trustee Board structure which will become commonly adopted across Scouting in the UK to support good governance at all levels. This is the third year we have adopted our own local constitution; we will continue to fine tune as the new committee structure settles in to place. 

We have a new, strong, enthusiastic and committed Trustee Board, I would like to thank all trustees for their hard work and contribution this year. 

I would like to thank Gill Barron our Group Treasurer for her continued support and diligence in managing all financial aspects of the group. I would also like to thank Ann Lumley and Liz Doulton for standing in as Group Secretary whilst we recruited into the role. I am delighted that Puja Patel agreed to become a Trustee and Group Secretary and thank her for her support in this role. Treasurer and Group Secretary are both important roles ensuring the Group’s effectiveness, and I appreciate Gill and Puja’s ongoing support. I would also like to thank Ann Lumley who has managed our relationships with our hall lettees ensuring this important revenue stream for the Group is maintained at a level sufficient to support the Group. During the past year, Jigsaw nursery ceased operating at 1st Hatch End. Whilst unfortunate, our robust licence agreement with Family First (Jigsaw owners) has ensured that the withdrawal from our premises has been effective and has also ensure that we secured ongoing rental for the 12 months’ notice period allowing us to continue with important improvements at the Scout Hut. We have initiated a bidding process for new nurseries to apply to use the hall, which is ongoing, we are hopeful that a new nursery will be secured. 



As Trustees, we wish to provide the best possible premises for group activities and ensure that we are attractive for essential lets. To this end we have undertaken some major works during this year, including removal of the loft in the main hall and replacement of most of the heating system including a new boiler, all radiators in the main hall and a new hot water system. We continue to plan for further refurbishment, nevertheless, some major works such as the external cladding remain under review pending our ongoing review of our financial position. 

Thank you to those parents who have signed up to the Gift Aid scheme, which, for very little effort, means that the group receives 25% additional funding from subscriptions. 

The accounts for the year to 31/3/2025 have been audited and signed off ready for submission to the Charity Commission. Gill will review in her treasurer’s report. 

The Group Trustee Board continue to part fund a number of activities for the Beavers, Cubs, Scouts and Explorers to further develop the group and individuals. Continuing these events is excellent for the group and I would like to thank all of our lead volunteers, parents and Explorers who have helped to make this happen through the year. Liz Doulton, Group lead volunteer will expand further in her report. 

Our relationship with Grimsdyke School to share use of a minibus with joint branding between Grimsdyke School and 1st Hatch End Scouts has continued successfully. We are now entering our tenth year together with the Scout group making good use of this valuable facility. 

The Trustees are continually concerned about the difficulty of recruiting and retaining section leaders. Liz Doulton, our Group Lead Volunteer will tell you about current vacancies and we will be happy to discuss with you at the end of the AGM. We need to ensure that we pursue every opportunity to preserve the prime scouting activities of the Group. We are also keen to recruit volunteers to help support operational activities such as buildings management, risk management etc again happy to discuss with anybody interested. 

Please this year support your group by again: 

- Paying subs as soon as possible and signing a Gift Aid declaration. 

- Helping on the parents’ rota for the younger sections. 

- Supporting some of the other social events arranged during the year 

- Very importantly, I would also like to thank all those people who have voluntarily given up their time to run the sections, without whom we would not have a scout group.
