Chairman’s Welcome

Jim Martin welcomed everyone and thanked everyone for making the time to attend on the AGM. St. Luke’s has been very active over the last year. JM gave everyone an update on the Scout Association: Transformation. Explaining the new names that will be used for The Executive committee and key leaders within the group. He reassured that this was process only and the young people will remain at the heart of everything the group does and they will continue to have a great time in scouting. 1 Business will proceed as quickly as possible and will be compliant with the Charity Commission and The Scout Association. The AGM will be followed by a Group BBQ.

Minutes of the Last AGM

The minutes had been circulated to all at the AGM, there were no amendments and the minutes were approved by everyone present.

Group Scout Leader Report

Gavin Mills started his report by showing a video of this year’s Scouting highlights, which included all sections. Scouting at St Luke’s continues to go from strength to Strength and the amazing work of our Leadership Team

continues to impress make him continually very proud of their achievements. His only wish is to extend the opportunities to even more people as we also for the first time have waiting lists for all 3 of the younger sections and are held back only by the number of adults within the team. If you believe in the good that St Luke’s is doing in Maidstone and think that more people should be involved, please, please take the plunge and get involved. Scouting is great fun and is incredibly flexible so you’ll be surprised at what we can come up with.

Group Membership

At the time of the census in February, there were 138 members in the Group, including the adults. Due to the way scouting works, this doesn’t consider the Explorer Scout Section as its not technically part of the group where there are another 33 young people and an active leadership team. As you can see this makes the group the biggest it has been for nearly 10 years (and possibly longer but records don’t go back that far).

Leadership - There has, as always been some changes to our leadership team over the course of the year. Dave Brooks has now stepped down from Monday Scouts completely due to other commitments but will be joining the Group Leadership Team to support our programme and develop activities for the Leaders past and present. On a Wednesday we have said goodbye to Tim and Christine Price who supported Graham so well for many years. We are sorry to see them go and would like to thank them for all their effort, but welcome Jeremy Martin and Alan Sullivan to the team who are already proving invaluable with running activities. On a Thursday we have been joined by Zaye Harry as a section Assistant and Carrie Revell is now helping as an occasional helper to keep the section expanding. The Beaver team has been strengthened by Victoria Wisniewska who has been brilliant.

Events

St Georges day parade – despite the weather, the young people at St Luke’s did the group proud an impressive (if slightly damp) sight to all the crowds who lined the street in the town as we proceeded to the Church. Thank you to all of the, and to the support from the side lines.

Group camp is next weekend, the planning is well underway for a post Covid return. We can’t wait for the pirate themed activities and 140 young people taking over Hamlet Wood. Thanks to Sarah Wood for taking the lead and putting it all together.

Thanks

Gavin thanked the leadership and the Exec for their support of him and for keeping things going. Section Leaders Derek Long, Torz Dervisoglu, Halvor Wood, Graham Embleton, Sam Hurley, Henry Mann and Jim Lakin were thanked for their rise in numbers and providing high quality scouting that is in high demand. Jim Martin continues to be extremely helpful and an effective Chairman. Dave Hubble Treasurer and Clare Foulsham Secretary, along with all member of the Group Executive continue to provide support in decision making and making sure the group continues to thrive. Thanks go to Sarah Wood for her dedication and extreme organisation as AGSL.

The newly formed Maintenance committee has started to make an impact. Gavin thanked his wife Cath and children Amie and Tom for letting him spend so much time either in the hut or in front of the laptop doing all the “behind the scenes” stuff which makes the group function.

Another fantastic year at St Luke’s.

Jim Martin thanked Gavin Mills and his family for all the hard work he has put into the group alongside his Deputy Sarah Wood. Zara Foulsham was invited to give a presentation on her 25 the World Scout Jamboree Experience.

Election of Officers for 2023/24

Jim moved on to the election of the Group Executive Committee members.

Gavin nominated Jim Martin as Chairman, and this was seconded by Sarah Wood and agreed by the meeting. Clare Foulsham was nominated for Group Secretary by Jim Martin; the motion was agreed by all at the meeting. Dave Hubble was thanked and proposed by Sarah Wood. Seconded by Sam Hurley and agreed by the meeting.

District Commissioner Address

Linda Waring was unable to attend the evening due to personal reasons. 3 Julie McGowan - ADC Cubs attended on her behalf. Julie thanked the group and the parents for their continued success. The group have been awarded a certificate to congratulate the growth of the group for the second year in a row. The Growing the Group award was accepted by Gavin Mills.

Presentations

Wood Badge – Olaf Revel and Neil Hurley

The Group awarded Derek with his framed certificate and a fabulous cake of a scout uniform for all to enjoy. Jim and Rebecca Martin were also congratulated on the award of their Silver Wolf awards (the highest in Scouting) earlier in the year.

The official part of the meeting closed at 8.04pm Jim Martin thanked Zara Foulsham for her Jamboree Presentation and urged any young people who will be old enough in the future to put themselves forward. Enjoy the BBQ and Cake

Chairman’s Report 2024

It’s been another great year for the St. Luke’s Scout Group celebrating 70 years of Scouting in our community.

With over 100 youth members the group continues to provide the parish (and wider) with a very high standard of Scouting. The highlight for many being the camps that all sections undertake.

The Leaders at St. Luke’s do an amazing job as volunteers, giving up countless hours of time and giving their all to ensure that your children experience as many activities, learn new skills and have the opportunity to challenge themselves and work in teams. Thank you to each and every one of them. Special thanks to Gavin who leads the Group, giving up countless hours to support the teams and to complete the necessary paperwork! Thanks to his family too, for allowing Gavin out to play!!

In April 2024, after a long illness we lost a great Scout Leader, Peter Taylor (Trant), who had been a leader with the group since 1963. He influenced thousands of young people over 60 years. He will be remembered for all the opportunities and the adventurous activities that he led for young people, and for the support he gave to the Scout team and the Group.

The Scout Association is going through a process of transformation within the organisation and one of the outcomes will see us having a Board of Trustees overseeing the Group. Don’t worry there will be a few new names to get used to but no change to the great programme of activities and skills training for young people.

We would love you to get involved with Scouting at St. Luke’s. You can help with a section or give time supporting with fundraising, hut maintenance or as a Trustee. There is something to suit everyone. It’s a proven fact that volunteering is good for you and the communities in which we live. So come on talk to us and find out about how you can get involved and join the adventure!

Treasurer’s Report 2024

The group consolidated account for the year ended 31[st] March 2024 has been compiled and is published following this report. To the best of my knowledge the accounts have been prepared in full accordance with the rules and guidelines as prescribed by the Charity Commission and policy, organisation, and rules of the Scouts association.

Receipts and Payments account summary

I am very pleased to be reporting on a healthy set of accounts. The Group has had a surplus of £1825, This is mainly due to a gift aid receipt of £7565.

Apart from the Gift aid receipt the income for this year is up due to a £1500 grant from South East Water. There has also been a small increase in the amount received through subscriptions due to increased members.

Payments out have also increased this year with the capitation fee having increased 15%. More money has been spent this year on the upkeep of the hut & hut improvements. Insurance costs and utilities bills have also increased this year.

The accounts summary is the same as the last few years, which we hope is clear to read. On the next page shows a summary of the receipts and the payments as well as the funds held by the group at the end of the year. We only publish the abbreviated account, however if you wish to view the full set of accounts, we’ll be pleased for you to view them this evening or you will be able to do so on the Charity Commission website in the coming months.

Group Lead Volunteer Report 2024

Happy 70[th] Birthday! Our birthday year has been a fantastic celebration with activities (including this one) to celebrate our 7 decades. It has also been an emotional year for many reasons with highs and lows, but throughout 2023 & 2024, the one thing that you have been able to count on is the dedication of our wonderful volunteers, the huge range of activities and experiences that they have provided and the enthusiasm, warmth and excitement that our youth members bring.

The Scout Association is going through transformation at the moment and some systems and processes are changing behind the scenes. St Luke’s is also going through its own transformation too, with roles that are changing - including my own.

For those of you who don’t know already, I have decided to step back from the Group Lead Volunteer position and so this will be my last report in this role. You will know how much the group means to me and can rest assured that I am not going away completely and I know that St Luke’s will continue to go from strength to strength in the future.

Group Membership

Leadership

There has, as always, been some changes to our leadership team over the course of the year.

Torz Dervisoglu , our fantastic Monday Scout Leader, has sadly made the decision to step down from her role. We are very sorry to see her go and will miss her creativity and enthusiasm. Heather Brooks will be stepping into the breach on a Monday night with a wealth of experience and we thank her for taking on the job. Nicola Beesley joined the Monday Scout team in September and has been a great addition to that brilliant team.

Henry Mann , who has taken Jaguars from strength to strength, has also sadly resigned as the Explorer Scout Leader at Jaguars. Henry has been an absolute rock on a Tuesday evening and Jaguars have enjoyed huge success on his watch, but time commitments have meant that he needs to step down whilst remaining part of the team. Halvor Wood will be transferring to Jaguars and taking on the Explorer Scout Leader role. We wish him every success!

Jessica Beesley has joined the leadership team on a Thursday, having already played a huge role as a young leader whilst Carrie Revell has taken on a Group Section Assistant role on the same night. Thank you to them both for supporting Sam so well. Sadly though, we have lost Ben Homewood as a regular leader on a Thursday as he returns to studies but we’re sure that we will see him again in the future.

Our Wednesday team has been strengthened by Jeremy Martin and we thank him too for volunteering his time.

As I mentioned above, I have also announced by resignation from the Group Lead Volunteer role due to my heavy and increasing commitments at work and the need to enjoy my Scouting with perhaps a little less responsibility for a while. I am thankful that Sarah Wood agreed to take on the role and will be handing over to her in the next 6 months or so.

Peter Taylor (Trant)

I cannot overstate the grief that I and many others felt in the Scout Group this year when we heard about the passing of Peter Taylor on the 2[nd] April this year. Peter had been with St Luke’s since 1963 and had been a Scout Leader in some form ever since. The outpouring of emotion and heartfelt messages on Facebook and elsewhere showed his memory will live on the minds of the people who have had contact with St Luke’s Scouts whilst he was here. For me, he was a mentor, a guide, a friend and an important part of my life who was there for some amazing laughs and also there at some of my lowest moments. I, along with many others, will miss him. Thank you, Peter.

Group Camp – Pirate Camp

Pirate Camp was a fantastic weekend of games, activities, singing and laughter which brought all our sections together. St Luke’s Group events are like no either and this one featured a pirate ship built of scaffolding so you could walk the plank, crafts, axes and much much more.

70[th] Birthday Challenge

The Group Leadership team started our 70[th] birthday challenges earlier this year and we can’t wait to see the results.

70[th] Birthday Camp – Horrible Histories

What an extravaganza! With 4 zones – Medieval, Stone Age, Wild West and Futuristic – the activities were off the chart this weekend. Tomahawks, archery, crafts in the roundhouse, horseshoe throwing, cave painting, rock climbing, the space challenge, as well as a campfire and even a silent disco for the Scouts and Explorers. The best way to celebrate 70 years!

Church Development & Scout Storage

Working with Group Executive Committee, we have been developing solutions to the loss of some of our storage caused by the church developments. You will have seen the building of the new storage building on the Scout HQ grounds which should hopefully give us a lot more space. Thanks in particular to Jim Lakin for his expertise in guiding us through the whole process.

In the coming year, we will have to deal with car park closures, some more disruption and potentially some temporary tenants from the church when the main building work happens.

Wow! 2024! What a rollercoaster of emotions and through it all, St Luke’s has continued to develop and thrive. I know that you will join me in thanking all the section leaders Derek “Rikki” Long, Torz Dervisoglu, Halvor Wood, Graham Embleton, Sam Hurley, Henry Mann and Jim Lakin as well as all their team members.

Jim Martin, David Hubble & Clare Foulsham’s work on the Trustee Board is greatly appreciated by us all and my two Assistant Group Lead Volunteers, Sarah Wood & Dave Brooks are exceptional in their support, knowledge and dedication. Thank you.

My family has put up with my stress and my boring admin for so long. I thank them every year and this is no different. Thank you to Cath, Amie & Tom .

At present we have 12 Beavers, 9 boys and 3 girls. The number is low because in recent weeks 10 Beavers have either gone up to Cubs or otherwise moved on. This is an ongoing result of the pandemic because when we reopened most of the children we took in were exactly the same age and all moved on at the same time and this is still occurring. As I said last year the pandemic will have changed some things forever. During the year we have invested 11 Beavers, 12 have gone up to Cubs and 5 have left, mainly because they didn’t want to be Cubs.

We have continued to work towards the Challenge Badges all of which have been regularly awarded during the year and 5 Beavers have been awarded the Chief Scout’s Bronze Award which is the highest award a Beaver can get. We have also achieved the following activity badges: Explore, International, Communicator, Experiment, Book Reader and Creative.

We have enjoyed a full range of activities during the year and our programmes have covered a wide variety of topics which have qualified the Beavers for the Challenge Badges. We have visited Mote Park, Penenden Heath and Cuckoo Woods. We had several international evenings with appropriate food. We had a visit from the Kent Education Team to teach the Beavers all about apples. We had our traditional Walk In The Dark. We should have ended the summer term with our traditional sausage sizzle and tiger hunt in Cuckoo Woods but sadly this year that was rained off for the first time ever. I expect the tiger was pleased! Nevertheless Jim Lakin still sizzled the sausages for us so thanks Jim.

13 Beavers attended the Group Camp in September 2023 and had a great time. We attended a Christmas Carol concert at Bearsted Church on the 16[th] December 2023. Only 3 Beavers turned up but they thoroughly enjoyed themselves. We attended St. George’s Day Parade on the 28[th] April. It was disappointing that this year the Kent Messenger did not report on this event. 7 Beavers attended the District Outing to the Museum of Kent Life on the 18[th] May 2024 and had a really good day. 2 Beavers attended the Group 70[th] Anniversary Camp and another 7 Beavers came for the Saturday only. They all had a wonderful time and one little boy described Saturday’s activities as a magical journey.

So far as the adults are concerned we still have Mrs Sarah Davis and Mrs Alyss Hutchins but Miss Heather Brooks is no longer with us. William Wood is now a Young Leader and is a huge help and really popular with the Beavers. Sarah and Alyss are the mainstay of the Beaver Colony and it just couldn’t run without them. Their hard work is amazing.

I should like to thank Gavin, the Group Lead Volunteer, for all his help and support during the year. Thanks to all the leaders and members of other sections who have helped. I expect I have forgotten to thank someone who has helped us and I hope they will forgive me because I am just as grateful to them as I am to everyone else.

Thanks to the parents who have turned up when asked and thanks to all the parents for trusting us with their children because, as I always say, there is no greater trust you can put in anyone.

Beavers Lead Volunteer

It’s been another busy year for Wednesday night cubs with plenty of fun, activities and badges!

This year we have taken part in many exciting activities from playing with fire lighting (with flint and steel) including how to manage and be safe round fires cooking our own sausages to canoeing and climbing. We have looked into issues around the world, served our parent tea and cake all made by the cubs. We managed to get free from an escape room (well most of us did!), made torches and learnt how they work and have even created structures with rope and poles (pioneering)

We had a great time shooting each other at laser quest and playing with chemicals for our science badge. The cubs also enjoyed looking into the stars and find out how the planets work together. We have even set off fireworks and thrown some tomahawks!

This summer we spent the weekend at Otford Manor for our Sixers’ camp. Unfortunately, the weather wasn’t kind to us but the cubs still had a great time cooking all their own food, building shelters (in which 2 brave cubs slept in for the night!) and all this despite in the torrential rain for the majority of the weekend!

The combination of this fun and activity resulted in 330 activity badges, 58 challenge badges and 5 silver chef scout badges being awarded to this great bunch!

All thanks to two of our young leaders including Clark O’Shea, as well as Chris, Jeremy, Alan, Michael, Ricky and Kathryn without whom most of the activities could never happen.

Cubs Lead Volunteer (Wednesday)

We’ve had another fun and varied year at Thursday Cubs.

We currently have 21 cubs, having sent 2 up to Scouts just before the end of the summer term, with another 1 due to move to Scouts soon. We will be welcoming some new cubs at the beginning of term. At the moment we have 1 Cub Scout Leader, 1 Assistant Cub Scout Leader. 4 Section Assistants and 4 Young Leaders. Jess turned 18 so we lost her as a Young Leader but are delighted to now have her join us as a Leader. Carrie Revell has now upgraded from an occasional helper to a Section Assistant. Sadly we have now lost Ben Homewood as an Assistant Leader as he starts a new chapter of his life in Exeter. We’d like to say a huge thank you to him from Thursday Cubs as he has been with us as a Young Leader and then Leader and has been a tremendous asset and will be much missed. We have established a good cohort of parents that are willing to help out when necessary.

Our cubs have earned 7 Chief Scout Silver Awards and 46 challenge badges over the year plus numerous activity badges.

September 2023 – we had our pirate themed Group Camp and Kent Scouts Cuboree at Kingswood Activity Centre. The rest of the term consisted of cooking, Communicator badge work, craft, firelighting and finished with Kent Scouts Christmas party at Lower Grange Farm.

Spring activities included a science night, chip shop hike, celebrating Burns Night with haggis, crafts, cooking and learning about our community. We did a sleepover in The Mall, Maidstone with other Maidstone Cub Packs to highlight and learn about homelessness. We also learnt about lack of sleep!! Over Easter we arranged a trip to see Maidstone Gang Show at The Hazlitt Theatre to support our members taking part.

Summer term included the St George’s Day parade with a fantastic turn out from the Cubs. We had our annual sausage sizzle plus pond dipping and duck racing at Loose stream, kayaking, archery and tomahawk throwing. Less adventurous activities included an astronomy night and a visit from Kent Police with one of their patrol cars. We also enjoyed our 70[th] birthday group camp in July and finsihed off the term with a brilliant Sixer and Seconder camp at Hamlet Wood.

We are looking forward to more fun over the next year, welcoming new cubs and learning more new skills.

All this wouldn’t be possible without the fantastic Thursday Cubs leadership team of Nathalie, Ray, Zaye, Carrie, Jess, Ben, Rikki , and our 4 Young Leaders, Josh, Edie, Alex and Bella. Thanks also to the parents who have helped out when we have needed extra adults, and in general the support of all the parents, it has been much appreciated. Of course the biggest thank you goes to our Cubs, who are the most fantastic group of young people and make us look forward to seeing them each week.

A big thanks to all the St Luke’s leaders, who are always on hand to help out or to give advice, and to my family for allowing me the time for planning, preparing, training and camps etc to be able to run Thursday Cubs.

This year has been a fantastic adventure for our Monday Scouts, filled with exciting activities, new experiences, and plenty of fun along the way!

One of the highlights is that, Alfie as games master, has grown Table Top Club into its very own standalone monthly event, giving everyone a chance to indulge in some epic games on a regular basis.

You know we have spent a fair amount of time on the usual, pioneering, whittling, fire building, cooking and the usual expected basic scout skills, and on top of that, we’ve celebrated loads of fun events throughout the year, including Day of the Dead, Diwali, St. Patrick’s Day, and more. For St. George's Day, we went all out with an impressively long hike, followed by a movie marathon sleepover! That wasn't all – the next day, we proudly took part in the annual parade.

One of the most memorable adventures this year was our overnight trip to Ramsgate Tunnels. We took the train, explored the tunnels, and even spent the night there, learning about the history and experiencing what it was like to live during World War II. It was an unforgettable experience.

Speaking of the World Wars, our JOTA-JOTI camp was unbelievably cool! We set up our very own radio and antenna in the woods, with some fantastic old-chaps joining us. Not only did we earn our Communications Badge, but we also learnt Morse code using real kit from the war and got a sneak peek at a private collection.

In between, we enjoyed our Skills Camp and Group Camp, where we dove into all sorts of awesome activities, being Horrible Histories themed camp, which was a hit! We also had a fantastic Week-Long Summer Camp in Wales that none of us will forget.

Beyond camps, we took part in some super fun District Days, earning loads of cool badges and making new friends. We even joined forces with other troops in Maidstone for wide games, campfires, and other epic adventures.

To top it all off, we welcomed Nicola to our leader team this year, and she's been nothing short of amazing!

It's been a very, very cool year, and we can’t wait to see what next year has in store!

It has been another busy year for Friday Scouts. We currently have 23 scouts and 4 regular adult Leaders.

Since the last AGM, the troop have continued working towards their Chief Scout Gold awards with many well on their way to achieving the Scouts top award.

The troop held a Science Camp where they successfully constructed a single seat hovercraft and a Plasma Popper earning those involved their Scientist Badge. Neil successfully upgraded his camping permit to a Greenfield permit with the Scouts enjoying a weekend at Lordship Wood Campsite, in Horsmonden, near Goudhurst.

We had a visit from a Martial Arts instructor who put the troop through their paces earning them their Martial Arts Badge.

Other Badges awarded include Chef; Craft; Fire Safety; Fund Raising; Navigator1 and Hobbies.

Friday Troop took part in the St Luke’s 70[th] Birthday Group Camp at Hamlet wood; enjoying the activities put on by the group leadership team.

Our final activity of this Academic year saw St Luke’s Scouts on Tour in Wales for a weeklong camp. A big thank you to Dave Brooks for organising a great camp with the general theme of Resilience. A topic very much put to the test on the Sunday Night when we had the strangest weather I have ever experienced with 50 mph winds, 22° and a clear view of the Milky way constant throughout the night. Then the rain came a couple of days later! The Scouts weathered the storm and returned all the better for not having any phone signal.

All these fantastic experiences couldn’t happen without the dedication and hard work of the team at Friday scouts so a massive thank you to Neil, Asa and Matt for all your support.

I would also like to thank our wives and partners for putting up with our crazy plans, ideas and support when we put on the uniform and daft hats!

I also must acknowledge Trant. To all at St Luke’s he embodied the spirit of scouting with over 60 years’ service. A Friday Leader, who became my mentor when I took over the troop, I / we miss his knowledge experience and enthusiasm.

1a. Member Subscriptions

The Group Trustees reviewed the member subscription and agreed for the first rise in subscriptions for eight years was required for the forthcoming yea will continue to be reviewed annually to ensure that the Group's unrestricted costs are being met by it's unrestricted income.

1b. Contribution from Jaguar Explorer Scout Unit

Jaguar Explorer Scout Unit is not a part of the Scout Group and is under the jurisdiction of Maidstone East Scout District. The Explorer Scout Unit is however based at the Scout Group premises by Partnership Agreement whereas the Unit is permitted to use the Scout Group's Assets in return of a nominal contribution based on the following formula calculated annually on 1st April and paid quarterly:

Scout Group Running Costs (per annual accounts) / Total number of members x Number of Explorer Scout members Due to Covid-19 no contribution was asked for.

4. District Membership Subscriptions (Capitation)

District Membership Subscriptions (or Capitation as it is sometimes referred to), has been set this year at £56.50 per young person. A prompt payment rebate from Maidstone East District Scout Council remains if payment is received on time however this is now deductable when making payment as opposed to a rebate being refunded at a later date.
