## **REPORT OF THE TRUSTEES FOR THE YEAR ENDED 30TH SEPTEMBER 2025**

The trustees present their report and financial statements for the year ended 30th September 2025. The registered charity number is 302802 and the principal address is Meopham Village Hall, Wrotham Road, Meopham, DA13 0AT.

## **Membership**

The charity is administered by the Trustees and representatives of clubs and other organisations that use the hall and grounds forming a Management Committee.

The Trustees who acted during the year were :

Clare Bourke - Vice Chair Nigel Tate - Booking Secretary Keith Fuller - Treasurer Victoria Morris - Secretary

Maeve Davies was appointed as a Trustee on 16th January 2025 and is now Chair of the Trustees.

## **Aims and Performance of the Charity**

The object of the charity is the provision and maintenance of a village hall for the use of the inhabitants of Meopham.

There are currently over 30 local groups regularly using the hall. In addition it is also used for one-off bookings and the grounds house the local tennis, table tennis and country clubs.

Expenditure on repairs and renewals was higher that in previous years. This comprised both planned and unplanned works, including remedial works on the drains and on the hall floors. In respect of the latter we were very grateful to receive a grant of £2,000 from what was the Frances Smith and Clay Cottage Trust via the Kent Community Foundation. We also submitted a claim regarding recovering the cost of the . drainage works. The insurers have proposed a settlement figure in excess of £7,000 for the work done and have authorised a further £5,800 of work to be undertaken. These sums are not reflected in the financial statements.

Elsewhere we also installed a new front door for the hall and new front and back doors for the caretaker's cottage. The repainting in both halls was widely appreciated.

Despite these additional costs a surplus was generated, but the Trustees remain mindful of the age of the building and the need to update the facilities and consider the current level of funds as necessary for these purposes. Our next planned major expenditure is on redecorating the Main Hall and improving the audio visual facilities offered. The Management Committee are in the early stages of considering what is feasible.
